Approach

Option 1: Delete outdated subject headings and add new DEI subject headings

Option 2: Add new DEI subject headings in addition to the outdated subject headings. Both are searchable and display to staff and patrons.

Option 3: Recommended:

  • Add new DEI subject headings that are searchable and display in the OPAC
  • Suppress outdated subject headings while still indexing them so that they are searchable but do not display in the OPAC
  • The outdated and new DEI subject headings are searchable and display to staff

Implementation

Option 1: Manually going through records, replacing outdated headings, and adding new headings.

Option 2: Using an outside paid service.

Option 3: Recommended:

Developing inhouse automated tools to replace outdated headings and prevent display of outdated terms in catalog.

Subject Headings Proposal and Approval Procedure

  • Start a new DEI listserv where members can propose subject headings
  • Subject headings should come from reputable sources with citations included
  • Members have a month to discuss and vote on subject replacements/additions
  • DEI listserv members vote on and approve subject headings -- each library gets one vote
  • Any changes implemented are reported to the Board at the following Board meeting

Ongoing Cataloging Procedures

  • Continue using authorized LC or MESH subject headings when cataloging in Sierra or OCLC
  • Replacement work will be in LCI catalog only
  • Revert to authorized LC subject headings when LC authorizes any of the DEI subject headings
  • Library staff can request for addition of approved DEI subject headings to specific records by emailing LCI helpdesk

Ongoing Cataloging Procedures

  • Staff involved in original cataloging encouraged to actively include current, appropriate, and inclusive subject headings to applicable resources for more discoverability. Use the following source codes:
      • |2homoit for subjects from the Homosaurus
      • |2gsso for subjects from Gender, Sex, and Sexual Orientation (GSSO) ontology
      • |2local DEI term for subjects from any other source that does not have a MARC source code (In Sierra only)

Record Update Process: Manual Updates

Manual Update

  • When there is no 1:1 equivalent
  • For addition of subjects if missing entirely e.g., from Homosaurus or LCSH
  • For subjects with possible ambiguity therefore requiring review of the records

    • Delete the subjects from the API script list
    • Delete the DEI subjects in 690 with |2local DEI term
    • Change 2nd indicators in the LC, MESH and Fast subjects back to what they were
    • Load updated authority records

Where We Are … Next Steps …

Current status

  • 9252 records with DEI subject replacements
  • 205 record with Homosaurus headings

What next?

  • Keep updating the Indian subjects manually
  • Identify other subjects that should be replaced
  • Investigate new OCLC Macro for adding Homosaurus subject headings
