Knights of Columbus Council Communication Guidelines

Key Knights of Columbus communication will come via email. At the council level, emails will be sent to the Grand Knight at GK(councilnumber)@mikofc.org, the Program Director at PD(councilnumber)@mikofc.org, and the Membership Director at MD(councilnumber)@mikofc.org.

It is essential that each of you obtain the password for your respective email account from the current or outgoing officer. You are expected to check your email at least weekly.

Your District Deputy will follow up persistently until all three officers have responded using their official email accounts. These accounts are monitored for login activity.

This policy is critical, which is why it is one of the first items covered. Please ensure compliance to maintain smooth communication within the council.

Inviting a new Knight isn’t just about getting him to sign up—it’s about welcoming him into a brotherhood where he can grow in faith and service.

First, Educate & Vet—Make sure the Knights are a good fit for him, and that he aligns with our values and mission.

Next, Admit—Encourage him to take that first step. As an E-member, he joins the Order right away while considering which council to join.

Then, Invite—Get him involved! Bring him to council events and meetings so he experiences our work firsthand. Once he’s comfortable, personally invite him to join the council.

Once he joins, Welcome—Assign him a mentor to guide him and help him connect. Introduce him to fellow Knights and make him feel at home.

Finally, Activate—Engagement is key. Involve him in programs, get him hands-on with service, and ensure he stays connected to the council’s mission.

This process doesn’t just bring in members—it builds strong, lifelong Knights who truly live out our principles of Charity, Unity, and Fraternity!

1️⃣ Church (Delta) Drives – Organizing invitation weekends after Mass with an engaging message and sign-up opportunities is one of the most effective ways to bring in new members.

2️⃣ Nearby Parishes and Schools – Partnering with neighboring parishes and Catholic schools expands your reach. Many men are looking for a way to serve but haven’t been personally invited yet.

3️⃣ Council Program Activities – Every successful program is a invitation opportunity. Whether it’s a pancake breakfast, fish fry, or charity event, use these gatherings to engage potential members.

4️⃣ RCIA/OCIA Candidates – Those coming into the Church are already seeking a deeper faith journey. Introduce them to the Knights as a natural next step in their commitment to Catholic life.

5️⃣ Friends and Family – Some of the best members come from personal invitations. Encourage Knights to invite brothers, sons, cousins, and close friends to join.

Exemplifications are the gateway to full Knighthood, and ensuring they are meaningful and well-organized is key to retaining engaged members.

🔹 Schedule and Plan Regular Exemplifications – Each quarter, update the Exemplification Sheet with your council’s planned events at mikofc.org/resources/exemplifications.

🔹 Prepare Your Team – Make sure you have all necessary supplies: pins, rosaries, baldrics, and ceremony materials.

🔹 Hold In-Church Exemplifications – The best setting is after a Saturday or Sunday Mass, inviting the entire parish to observe. This not only welcomes new members but also serves as a powerful Invitation tool.

🔹 Online Exemplifications (Last Resort) – In-person ceremonies are far more meaningful and memorable. However, for those who cannot attend, online exemplifications are still available.

Planning:

Collaborate with your Grand Knight, Membership, and Program Director
Establish committees for Inviting, admissions, exemplifications and retention
Establish a list of Inviting events using the Council Recruitment Tracker system

Inviting:

Hold Inviting events at least 4 times / year
Incorporate Inviting into your Faith in Action Programs (where non-members attend)
Advertise your councils within your parishes and communities

Admissions:

Hold regular exemplifications after Inviting activities
Work with your F.S. to ensure all new members are added to the council roster
Assign each new member a Mentor to get him active and feeling welcome

Retention:

Keeping members active and paying their dues
Work with the Retention Director to execute the Retention process

Successful invitation starts with strong planning—work closely with your Grand Knight, Membership Director, and Program Director to establish committees and plan Inviting events using the Council Recruitment Tracker (CAT) system.

Invitation should be ongoing—hold at least six events per year, integrate invitation into Faith in Action programs, and actively promote your council within the parish and community.

Once you bring in new members, admissions must be seamless—hold regular exemplifications, work with your Financial Secretary to update the roster, and assign mentors to keep new members engaged.

Finally, retention is just as important as invitation. Keep members active, ensure they pay dues, and work with the Retention Director to strengthen engagement so every Knight remains a part of the brotherhood.

With consistent planning, outreach, and follow-through, your council will grow and thrive!

Spiritual & Formation Events

Men’s Retreat or Spiritual Reflection Night – Focus on faith, brotherhood, and the mission of the Knights.
Rosary Night & Fellowship – Encourage prayer and discuss how K of C strengthens Catholic men’s faith.
Catholic Speaker Night – Host a guest speaker on topics relevant to Catholic men and their families.

✅ Awareness – If they don’t know about it, they can’t join! Use announcements, post QR codes, emails, and social media to spread the word.

A council, assembly, district, or state council provides financial assistance to a seminarian or religious.
The Knights of Columbus refunds $100 for $500 donated.

Aid and Support After Pregnancy (ASAP) Program

For every $500 your council or assembly donates to a pregnancy resource center or maternity home (up to $2,000), Supreme will donate $100. Complete this form and submit supporting documentation to request the grant on behalf of the center or home. Supporting documentation must include either an ASAP Donation Receipt Letter or a copy of a cancelled check drawn from the council's account. A W-9 (U.S.) signed and completed by the pregnancy resource center/maternity home must also be provided as an attachment to this form. The W-9 is not required if you have previously submitted one for the organization or it appears on this map.
Money or items donated to each qualifying organization must be donated between July 1 and June 30 within the fraternal year applied for. Please submit this form within 1 month of your donation, or as soon as possible.
