The Student Requests screen allows users to add course requests for students for the next school year. When running the Scheduler, student requests are used to schedule students into courses.

  1. Navigate to Scheduling, then Student Requests.

**Before starting, be sure the school year selected is for the year that requests are being scheduled.

  • Search for Student(s)

Search for a specific student(s) by entering the students name or ID number.

More Search Options can be used to search for students based on criteria like grade level.

Then select Search to pull a list of students matching the criteria.

Select the student needed from the list by clicking on the student’s name.

  • Process Student Requests

Once a student is selected from the search results, the Student Requests page will open.

  1. Above the requests table, the number of Requests and Alternates are displayed. Alternates are requests that have an elective priority of 2 or higher. The total number of Credits and Units requested are also displayed. The units are calculated based on the course length set on the course: Full Year is 1 unit; Semester is .5 units, etc. The credits for each course pull from the course catalog.

  1. Select the check box for Include Inactive to include course requests from other schools in the list of requests at the top of the screen. The School column indicates the school the course request belongs to.
  2. Select the check box for Courses for All Grade Levels to add requests regardless of the grade levels set on the course. Only courses available to the student’s grade level are available for selection otherwise.
  3. The Approved by Counselor check box is used to indicate that the counselor has reviewed and approved the student’s course requests.
  4. The Locked for Students check box is used to indicate that the requests are locked for students and they can no longer make changes to their course requests.
  5. The Course Request table will show any current requests. This also allows users to enter one course request at a time by selecting the Course from the drop down.
  6. The Quick List is organized by graduation subject and allows users to quickly add one or multiple requests for the student.
  7. Select a course from the pull down to add a request for that subject area.

Course Dropdown: Single Selection

The Request Table at the top of the screen allows users to see requests that are currently in place and enter new requests.

To enter a new request in the Request Table, use the blank row at the top of the table and select the Course.

The course number will populate automatically.

Enter the rest of the fields as needed.

  1. Select the check box for Schedule First if the Scheduler should attempt to schedule this request first before all other requests not marked as “Schedule First."
  2. Enter the Elective Priority for the request for elective courses. Leaving the box blank indicates a core course, a 1 indicates an elective that is scheduled at the same level as core courses, a 2 or higher will only be scheduled if an elective with a 1 is not scheduled.
  3. If a student will not be enrolled for the full length of the course, select the Term. For example, this may be used if the student only needs one semester of a full year course.

  1. Select the Inclusion check box if the student needs to be scheduled into an inclusion section as well as the primary section.
  2. If the student should be scheduled with or without a certain teacher, make the appropriate selections.
  3. If the student prefers to take the course during or not during a specific period of the day, make the appropriate selections.
  4. This is a read-only field that displays who Last Modified the course request, and the date and time.

Press the Enter key once all fields are completed as needed. The request will be added to the Course Request table and auto save.

Quick List: Multiple Selections

The Quick List at the bottom of the screen is organized by graduation subject and allows users to quickly add requests for each requirement and select multiple choices.

To add a request for a subject area, select the courses from the dropdown menu. One or multiple courses can be selected.

Once the course selections are made, click anywhere outside of the course dropdown menu to close it. Then click Save.

The course requests are added to the Course Request table at the top of the screen.

Elective Priority, for electives chosen from the dropdown menu can be added within the table.

Editing Requests

Within the Course Request table, any request fields can be edited by selecting the field(s) as needed.

Once edits are made, press the Tab or Enter key and changes will be saved automatically.

Approving and Locking Requests

To approve student requests, select the Approved by Counselor checkbox.

A green checkmark will quickly flash on the screen to the right of the Locked for Students field, indicating the selection was saved.

To lock student requests, select the Locked for Students checkbox.

A green checkmark will flash on the screen to the right of the Locked for Students field, indicating the selection was saved.
