What managers need to know about registration

Some Basics

  • Membership
    • USYSA (through WYS and SYSA)
    • US Club (as needed for participation in US Club events, and for all ECNL players)
  • Contact for registration matters:

  • US Club Seasonal Year – August 1 – July 31

Player Requirements to Practice/Play

  • Current year registration (2023/24)
  • Birth certificate & player photo upload (new players only).
  • Payment in full or payment plan in place
  • Medical release – hardcopy to manager/coach
  • For summer tournament guests from outside WYS, there is the $30.00 insurance registration. Provide full name and birth date to Paige to confirm eligibility prior to submitting tournament roster requests.

Completing Current Year Registration

  • If a player is on the roster, registration is complete and they are able to practice & play.
  • If not on roster, they are not to play until cleared by registrar, and added to the roster.
  • Note on family privacy: Financial matters are between the club and each family. Team volunteers will be informed only as required.

Coach/Manager Registration

    • All Coaches/Managers – must register in Affinity annually. Background check approval expires each year on April 30.
    • National Background Check Required – through Affinity and JD Palatine (& included in the coach/volunteer registration).
    • All required certifications must be complete and ‘synced’ to your Affinity admin profile.
    • No coach or manager cards will be released until registered per USYSA.

WYS/USSF sanctioned�Tournaments

    • Check WYS soccer website for sanctioning for all in-state summer tournaments.

    • 2023/24 registration required for all players
    • Current background check for all admins.
    • Rosters need to be signed
      • Review tournament rules to see what is required.
      • All teams: Paige will set up a Google Doc where you will confirm tournament participation and list any guest players.
      • Rosters requests due the Tuesday prior to the tournament (in state).
      • Roster requests due two weeks prior to the Monday of tournament week (out of state travel). These requests must include the travel dates for all team members in the ‘comments’ section of the request.
      • Rosters will be processed each week on Wednesdays, and you will receive email notification.
      • Note: each week in the summer, there can be between 30-65 teams playing in tournaments. I move as efficiently as possible, but they can be long days. You may receive your roster late in the day – after ‘regular business hours’.

    • Player cards (usually) not necessary in-state.
    • Out of state – Paige files intent to travel form. Notify her as soon as you have a chance of your team’s summer travel plans.

League Play

  • ECNL teams play in the ECNL or Elite Clubs National League
  • Premier teams play in WYS’ ‘RCL’ or Regional Club League’
  • Select (Regional) teams play in the NPSL (North Puget Sound League).

League Registration

  • Club registrar will register all players & teams for the ECNL, starting on July 1. Watch for an e-mail then with specific forms and requirements.
  • Club registrar will register/submit all teams for RCL league registration before league deadline.
  • Club registrar will register/submit all teams for the NPSL as well by July 15.
  • SYSA registrars review, submit, and provide follow-up for all NPSL registration.
  • Club pays all league registration.

The WYS Player and Coaches Membership Pass (Player Cards)

  • The WYS membership pass, also known as the player card, denotes that you are a member of the largest youth sporting organization in the United States.   The "Pass" entitles you to participate in sanctioned WYS and US Youth Soccer Leagues, State Cups and Summer Tournaments. 
  • As an adult team staff member, the "Pass" indicates that you have passed the WYS Risk Management Acceptance Program.  The "Pass" will provide proof that all of your players are properly registered and are age appropriate.   You may obtain a membership pass from your association registrar.
  • To be valid, a membership pass/player card must have a current photo of the player and be laminated.  Membership pass/player cards are valid from the time of receipt through the following July, and will be used for participation in league play, state cup and summer tournaments (as required).

Player Cards

  • Prior year cards used until receipt of 2023/24 cards – get them from previous team.
    • Not team specific for summer tournaments
  • SYSA will distribute 2023/24 cards to team managers by the mid-August (earlier for teams traveling to Surf Cup or other out-of-state events in July)
  • Update all player photos now (but before July 15).
  • Any photo older than 2 years should be deleted.

  • Cards are team specific for league play.
  • Digital cards can be used for RCL play, but paper cards should always be carried as a back-up.

How to Prepare Player Passes

  • Verify that all information on the pass is correct Legal names must be used .
  • Laminate card- *REQUIRED
  • Attach all the passes, both coaches and players, on an "O" ring so they can be kept together and handled easily by the referee.
  • Do NOT photo copy or create a duplicate set.

State Cups

  • Different deadlines based on gender, age and specific cup.
  • Registrar will register all teams for state Cups.

2. Gender: B or G

3. Birth Year (last two digits of year): 12, 07, 01, etc.

4. Color level: Blue, White, etc.

    • E.g.: South G00 Blue, West B04 White

  • Pre-season managers’ meeting to cover league routines

Share the Workload!

We want to encourage all of you to share the workload with your team community. The manager role is primarily administrative, meant to support the coach with those tasks for the length of the season year. Be sure to have a treasurer, and set an expectation that other parents lend a hand, too: recruit folks to help you with game day tasks, find a fundraising coordinator, etc.

Seattle United 2024 Gala

  • Tentatively set for March 2, 2024. New venue.
  • Mandatory team donation: value $150.00/team. Include in team budget to ensure funds are available.
  • Ask for each team will be communicated in November.
  • Welcoming new volunteers to our committee.
  • Please consider your team community – your awareness of your families is greater than ours – potential donors, volunteers, and the like.

  • Please consider joining us as we work to make it the best one yet!
  • As our long-time fabulous committee members age out of the club, we need to rebuild the committee to reflect the current club population.

Financial Aid

  • Club financial aid is a three-tiered program:
    • Program fee waiver (80 percent)
    • Team Fee Subsidy (100 percent)
    • Uniforms
  • Program overview, application and process is detailed on the club’s web site.
  • We follow the Federal Poverty Guidelines to determine aid whether an applicant qualifies or not.
  • Applicants must complete and submit an aid application.
  • The Financial Aid Committee makes award decisions.
  • Treasurers must submit their team budget along with a request for team fee subsidies to Kyle Rodeheaver (kyler@seattleunited.com).

Banking

  • All SU teams are required to have a 1SB acct.
  • All teams are required to have treasurer to manage the team bank acct.
  • Team bank accts stay with team, even when the treasurer does not.
  • Treasurers must complete a bank packet that is submitted to Kyle for approval; Kyle sends to the bank for processing.
  • Club accounts are opened in 3-5 business days.
