How to organize a jolly and circular

SWAP PARTY

in three simple steps

3 of 5

1 Plan it

  • First of all in order to plan your swap party you will need to identify a suitable location. This could either be a space you decide to rent for the occasion or simply if you have enough space where you work, or you might decide to include your event within a bigger event (e.g. literature or a charity event, or a music festival).

  • Once you chose the location for your swap party you need to identify a date. If you chose to include it within a bigger event identify with the owner of the event an appropriate moment for your swap party.

  • Finally make sure you have in mind the activities and times you expect to perform for the duration of your swap party. This could involve storytelling of the object or simply people engaging with each other and finding an object they might need. When swapping you can decide whether to simply swap or use some creative form of currency.

2 Share it

Now you have to make sure that people attend your event.

Creating a leaflet with key information about your event can be a simple and intuitive way of communicating your event. Canva is a good platform to use to easily create graphics (https://www.canva.com/it_it/)

Make sure your leaflet is visible.

You have to share it on your organization’s social media and you can create an event:

  • Create a post to share on social media platforms (Instagram, Facebook, LinkedIn)
  • Create an event on Facebook
  • Create an event on Eventbrite (https://www.eventbrite.it/)

3 , 2, 1 …enjoy it!

  • While you wait for your swap party to take place make sure you continue to post reminders and monitor the people who register for the event. Don’t stay quiet, people need to see your event more than once before they decide to join it

  • Make a list and check that you have all the materials you will need on the day

  • Revise the set of activities you planned for the day and assess whether you need more or less time to deliver them

  • On the day engage with people attending tell them more about your initiative and have fun swapping!
