HOW CAN WE DEVELOP OGX?
As you understand as one of OGX people, we have procedures and standards to follow. Also, we have to manage EPs during the process for all customer flow. We have the same things like to have good results and our EPs have the best experiences for themselves.
Purpose of this session, to talk about our process time according to customer flow, and some points that we really need to have some attention.
What is this session about?
Some General Informations
Do not remember that EPs have some qualifications to apply or to be one of those projects, so we have to give them right expectation setting the best way on our hand.
How should be the process time?
Do you know that what is the process time exactly?
We always talk about the process time, but what is it?
The process time starts to OPEN to COMPLETED for each EP in the process.
How Can We Manage Our EPs Process? What Do We Need?
When EP signs up, we need to contact with them in 24hours. If EP do not answer your calling or mailing, don’t worry. Try again. Never give up.
When You Contacted EP…
Do not miss that which product for you are calling them, GV or GTa/GTe.
There Is Some Tips To Share Opportunities With Our EPs…
As you know, it’s really hard to keep in touch with EP, you can give some DDLs to them for prepare and take CV or etc. from them.
If EP started to not get back to you. Do not give up! Try again and again. May be you can change EPs manager too…
After EP Applied
When EP has applied the project, you should contact with LC which you applied to have fast process from app2acc.
EP needs to be invited an interview in 24hours, and EP needs to have their result of interview in 24hours.
Keep in touch with EP every step of the process. Try to feel free and confident, you need to be honest and open to them. You need to give them right expectation setting.
Do not think like that there is a only professional connection between you, you can be their friends.
Before real interview, you can make the interview simulation to EP to feel more comfortable.
Try to find the right opportunity for EP, we need to think their motivations too.
Make sure that, EP will not apply more than one project!
If EP Rejected
Firstly, contact with ICX side to ask them what was the problem, and take their feedbacks about EP. Do not forget to ask the LC which EP rejected, is there any opportunity to our EPs suit.
Secondly, have a call with EP to explain LC’s or company’s feedbacks, and if it’s possible that talk about another opportunity for suits them.
Do not lose your time! You need to be hurry up because we have lots of EPs who wants to have experiences in AIESEC opportunities.
If EP Accepted
Firstly contact with EP to celebrate them, and explain again how will go on the process then ask that EP, does they have some doubts for the process or somethings, to help and convince them all. (If EP has doubts, contact with LC to fix them.)
Prepare the contract and ask your VP F&L about payment. Send everything to EP about all documentaries for contract and specify a DDL for EPs.Then check EP regularly for the payment.
After APD Until REA
Send an mail to EP about documentaries for follow up the process, the same time we need this mail for audit.
Documentaries will be insurance, tickets, contract, project photos, passport or ID, visa (if needs), emergency contact numbers.
Prepare and deliver the standards for home Entity.
Send an Invitation for OPS, set a time for OPS and make real. Do not forget to take pictures.
About OPS, there has to be a few things to mention to our EP;
When there is a problem, firstly we have to contact with ICX part to have more informations from their sides, and the same time we need to keep in touch with our EP to, understand the problem with both sides.
WE HAVE TO KEEP CALM!
If we can not, our EPs will not too…
Then, according to the process, we have more than 2 strategies to process.
When EP Rea
You need to keep in touch with host LC very well to track your EPs process.
The same time, you need to get in touch with EP very well to know all details or problems about the opportunity or different things to solve.
You can contact with EP the least twice a week and the most four times a week.
Ask EP, is standards delivered or not?
Be available to help every time, you need to be accessible for all the time.
Make sure that to send EP that mail of Invitation to Debrief the Debrief at least 1 week before the EP finishes the experience and have everything ready beforehand.
