Agreement Forms

Before submitting Agreement Forms, please check that:

  • All forms are clear and legible
  • Photographs and scans of forms are clear and easy to read
  • Every box on every form is complete
  • Dates of birth include the correct year
  • Phone numbers include 10 digits
  • School Names are correct and not abbreviated
  • Primary and Secondary Emergency Contacts are different
  • Primary and Secondary Emergency Contacts are different
  • All required signatures are present
    • Digital or physical signatures will be accepted.
    • Typed signatures will not be accepted

Missing or incomplete information could delay the processing of the troupe’s registration

Agreement Forms must be typed and can be found at: gathespians.org/register

Troupe Directors will need two copies of each Agreement Form for all student and adult attendees.

  • One to be placed in each attendees neck wallet
  • One to be in the possession of the Troupe Director at all times while at conference

  • Only the Troupe Director on record with EdTA may create a login. This information is tied directly to your account.
  • The Troupe Director is responsible for all information and correspondence with Georgia Thespians
    • Account Creation Information is not tied to the conference registration. Troupe Directors will have to be registered in the registration process
    • If an account has already been created for your school, please do not create an additional one.

The Information Hub is also where troupe director’s will agree to the Troupe Director & School Administrator Agreement

    • This question will only appear on the initial completion. However, the Agreement will remain populated on the page
    • It is the duty of the troupe director to share this information with their Administration
    • This digital form takes the place of having an Administrator physically sign the completed registration

Troupe Directors are responsible for verifying ages and backgrounds checks against the National Sex Offender Registry for all adult attendees.

      • Transaction history will appear here history and show any current balance

  • School/Organization Name
    • Please use full official school name
  • Troupe Number
  • Conference Track
    • Blue Track begins 1:30 PM Thursday & Ends 6:00 PM Saturday
    • Yellow Track begins 12:00 PM Thursday & Ends 4:30 PM Saturday
  • Opening & Closing Ceremonies Attendance
    • This question is used to distribute tickets to other groups who may not receive tickets

Agreement Forms

  • Agreement forms must be uploaded individually for each registrant
    • Please do not upload all of the troupe’s agreement forms in one file. This will delay your troupe’s registration turnaround
  • Agreement forms no longer need to be printed out and mailed in with with completed registration
  • The following registrants need an agreement form
    • Troupe Directors
    • Assistant Troupe Directors
    • Chaperones
    • Students
    • Support Staff | Only those that will be on conference premises at any time during the conference.

Please change the file name of the Agreement Form to reflect the first and last name of the attendee

Troupe Director Registration

  • The Troupe Director must be registered before any attendees
    • This includes the Associate Troupe Director
  • Please complete all information
  • This information is tied to the troupe Thespian Conference Registration
  • Only 1 Troupe Director Registration will be allowed per troupe
  • The Troupe Director must be the individual on record with EdTA
  • The $55 Troupe Assessment Fee is only tied to the Troupe Director

Student Registration

  • Please complete all information

Thespian IDs

  • When you click “Student” Registrant Type, Thespian ID field will appear.
  • This field may not be left blank.
  • Thespian IDs will be cross checked instantly with our database.

  • In the event that a Thespian ID does not populate in the database, an error message will display
  • A Thespian ID and the student’s information may still be entered.

  • Thespian IDs that do not default in the database must be checked by hand. Troupe Registration will not be accepted, until these individuals have been verified.

Students must currently be currently registered in grades 9-12 to attend the Georgia Thespian Conference.

Support Staff Registration

  • All Support staff should be registered when completing Troupe Registration
  • Please complete all information
  • This information is tied to the troupe Thespian Conference Registration
  • These individuals may be added later by clicking “Modify Registration” on the confirmation page

Support Staff includes:

  • Bus Drivers
  • Interpreters
  • Student Aids (i.e. Paraprofessionals, Nurses)

Only Support Staff that will be present on conference premises wirth students or adults throughout the entire conference should be registered.

Support Staff must be a minimum of 21 years of age to attend the Georgia Thespian Conference..

Support Staff Registration

  • For Support Staff where the name is unknown, please enter “N/A”
    • Only do this for Support Staff, doing this for any other registration type will cause a delay in your troupe registration.
  • Agreement forms for these adults will not need to be uploaded upon registration.
    • It is the duty of the troupe director to upload these files by LeadCon 2.
  • The Registration fee schedule applies to all attendee including Support Staff

  • Credit Card Payments are integrated into the registration software
    • Troupe Directors do not have to print out the payment receipt, nor send it in with their registration when paying by credit card
    • Once payment has processed, the payment and transaction information will automatically populate on the confirmation page

  • Program Registration will open once the Conference Registration has been completed, payment received, and approved.

    • Select the applicable Programs to register for.
      • Only the selected forms will populate above.

    • Follow the instructions for payment, just as in the Troupe Registration step.

The confirmation page of your registration serves as your invoice for your bookkeeper.

Additional Information

  • The Troupe Director is solely responsible for meeting all deadlines, which are “received by” deadlines.
  • The Troupe Directors decide which students from their troupe may attend conference and are responsible for their conduct throughout conference.
  • Troupe Directors must register an adequate number of chaperones for their troupes. While different school systems may have unique chaperone requirements, 1 chaperone for every 10 students is recommended.
  • Name badges are printed exactly as the Troupe Directors enter names when registering attendees. Georgia Thespians does not check names for spelling or capitalization.
  • Georgia Thespians reserves the right to determine who can and cannot attend Georgia Thespians events.
  • Georgia Thespian Conference will cap attendance at 7,000 attendees, if necessary.

The following programs require additional steps and deadlines once registration has been accepted:

  • College & Scholarship Auditions
  • Design Challenge
  • Film Festival
  • Thespys (All Entities)

High School Conference Seating

  • General Admission Seating is utilized for all conference events, with the exception of Opening and Closing Ceremonies
  • Assigned seating is utilized for the Opening and Closing Ceremonies
  • Assignments are made according to the order of the dates each Troupe’s registration status is Accepted.
    • The earlier a troupe's registration is finalized, the better their seats will be
  • Troupes whose registrations are Accepted after the Bill Heard Theatre seats are “sold out” will receive alternative tickets for both the Opening and Closing Ceremonies in the Springer Opera House
  • Troupes registering after the Springer Opera House is “sold out” may not receive tickets to the Opening or Closing Ceremonies

Troupes with tickets in the Springer Opera House or Troupes without any tickets, may be eligible to attend alternative viewing of the All-State Theatre Opening Production.
