    • Haunted Hallway - SUCCESS. Financial recap with Liz tonight. What a great first year!
    • THE PLAY- Way to go!!!!
    • Musical auditions - done! It’s going to be great!
    • New sponsor being added to sponsors for the $500 level. Nicole McMahan, Bristol Hospice.

  • Promoting the musical for strong ticket sales
  • Ads in the community, Community Impact, Do512, socials, poster signs up around (20 or more),

  • Rhonda/photographer : Do we want to bring Rob in to do cast photos early? Shoot one show and make pics available to families?

  • Banquet hall Parq Social is booked! We found a way to add more tables to the space too, which gives us a little breathing room. Setup time is earlier as well. Win win!

  • Fall play notes
    • Great team effort all around!
    • Separate table for Yeah Me! Sales AND table for writing notes worked great
    • Themed Yeah Me! works well too (eg for Musical, maybe flapper/business themed ducks :) : Flowers were a hit, sold out! = Great job, Kim!
    • Water and Juice - need to stock backstage waters; icing down water + Juice for meals & icing down for concessions - possibly add volunteer task for set up/clean up + Garbage clean up.
  • Need to keep thinking/planning for spring fundraiser for shop
    • There is a spreadsheet in the share for items that the directors are requesting so we can get an idea of how much we need to raise
      • New costume/prop storage
      • New tools, etc
    • Type of fundraiser
  • Still working out the wire fee for script - Will call bank in NZ to find the issue, but will address when I get back.

Liz Updates

  • Fees
    • Reminder to pay your Class Fees of $50 for Varsity/JV/Tech/Musical Theatre!
    • If your student is NOT in the Musical Theatre class, but made the musical - they will also need to pay the $50 fee
  • ITS Payments
    • All payments are due!
    • We are almost there, just missing $170 from a few students. Invoices have been sent for those.
  • Haunted Hallway
    • We had over 300 people come through – $1,505 total in ticket sales
    • The kids did an amazing job and everyone really seemed to enjoy it!
    • After expenses, the drama club profited approximately $750 (pending final receipts)

Treasurer Priorities FY26

  • Update Profiles for banking, Inc. 501.3-c, etc with non-school address
  • Invest in liability insurance for boosters
  • Spend request process for items like Amazon, Home Depot, etc
  • Add Volunteer coordinator and co-treasurer to spend authorization
  • Process for show budget / overall budget read out for each booster meeting
  • Update pricing for concessions based on current pricing
  • Update schedule for online store and point of sale item load
  • Update process documentation for future handoff
  • Simplify reconciliation process and update spend/income categories
  • Explore Presto for membership management

Creating spirit and give back to the students and teachers

  • Teachers for Theatre
    • Teacher support for show by attending performance – ticket + spirit tshirt for discounted price
    • Special teacher night (one of the performances), encouraging teachers to watch
    • Approval for “volunteer” hours for night of performance for student participants (eg Avid hours)
  • Theatre for teachers
    • Special tshirt made for Spirit wear on campus
    • Donations collected to sponsor teacher appreciation (eg lunch, coffee) possibly funded by % of proceeds in concessions
    • Creates a circular give back to the teachers and encourages spirit wear
