BEFORE YOU REGISTER

Before registering for an event, make sure you consider the following to determine if the event is a good fit for your organization.

  • Pay attention to the theme, location, and purpose of the event. Certain programs are located only at certain campuses and so you may not see the students you are looking for if they are at a different campus.

Ex: A healthcare employer located in Ashburn may not get much traction with applicants at an event located at the Loudoun Campus when our medical programs are mostly found at the Medical Education Campus in Springfield. Similarly, a Museum network is most likely not a good fit for an Automotive Technology fair.

  • We have noticed that smaller employers tend to have more difficulty in seeing students especially at large virtual events. As much as we would love for every employer to see students at our events, we cannot guarantee you will see a certain number. Students will speak to who they want to speak to and as much as we try to encourage students to speak to all employers, in the end it is their choice.
  • Registering for an event does not mean you are automatically approved. There is a review process and how soon or late a registration is received rarely determines approval. Our events are made with a purpose in mind and we try to create a balance of representation to ensure students from as many academic fields have someone to speak to. Even if the event focuses on a specific academic pathway we still try to ensure there is a balance.

REGISTRATION OVERVIEW

Most of our event registrations follow a similar structure but there may be some differences depending on the event type but they will usually share a similar concept. Most registrations will ask for information on the following.

Registration type: If the event is charging a fee, we have varying rates depending on if your organization is For-Profit, Non-Profit, or Government.

Contact Information: This information should be imported since you are logged in but it will be your information (name, email, phone, etc.)

Profile Information: This information will be about your organization. You will need to provide a copy of your logo, a brief overview (if that is not already imported), and depending on the event type, a job posting will be required. Some information asked on this page is optional but please feel free to input applicable information.

If you have an existing job posting you can import it into the registration. If you do not, we highly recommend posting the job separately through the “Jobs” tab and then importing. Many employers have experienced errors or other issues when trying to post a job directly from the registration.

Representatives: Fill in the information for who will be attending the event. If you are planning to attend, please still include your information there. For in person events we typically have a maximum of 2 people per organization due to space and furniture limitations. For virtual events, representatives need to have their own Career Connection account and be listed as a contact under the same organization in order to access the event once it is live.

REGISTRATION OVERVIEW CONT.

Virtual Career Fair Details (if for a virtual event): In this section you may be asked for the anticipated time you expect to spend when speaking with students in 1 on 1 chats. In addition, you can include a link for optional group chats. Group chats are useful as they allow a separate space for students to interact with while they wait for their turn in a 1 on 1 chat. For an overview of how our Virtual Career Fairs work, click on this link and view the PPT or video within https://drive.google.com/drive/folders/1RqN_ECKBwyxN1aDAaf1ca2Kl42vqzQLM?usp=sharing

Payment Information: This is where you will provide your card information if the event requires a fee. While credit card is our preferred payment method, we will accept checks. The most important part to know about this section is that payment does not occur until a registration is approved.

Payment has to manually be processed by a NOVA Career Services staff member and as such your card will not be charged upon submitting your registration and we also ask that you do not send us a check until your registration has been approved.

Additional Questions/Acknowledgements: This area is usually the last fillable section of the registration and is where we have our acknowledgements such as refund policy, health protocols, and other items. The last acknowledgement will be addressed on the next slide.

FINAL ACKNOWLEDGEMENT AND SUBMISSION

Final Acknowledgement: When getting to the end of the registration you may see a final acknowledgement that states “PLEASE READ THE FOLLOWING STATEMENT”. In this acknowledgement we try to emphasize the importance of clicking the final confirm button.

On the final page of the fillable portion of the registration there will be a green “Review and Confirm” button at the bottom of the page. When clicking the “Review and Confirm” button you will be brought to a summary of your registration. This will be your opportunity to make final edits or adjustments if you realize you input wrong information or errors.

On this review page is a green “Confirm” button. Selecting this is the final step and is what submits the registration.

We highlight this because there have been several instances where employers select the “Review and Confirm” button and think that submits the registration when it is just bringing you to the next page. They then close the tab or leave the site and in the process lose their registration as the “Confirm” button was not selected.

You will know your registration was submitted when you receive an email doing so. If you do not receive an email, check your spam folder, or it means the registration was not received. You are always welcome to connect with us at novacareerservices@nvcc.edu to confirm if it was received.
