Welcome once again to Pecan Springs Elementary School!

As the proud principal of Pecan Springs, I am excited and fully committed to fostering strong, collaborative relationships that support the success of every scholar. We aim to achieve this by maintaining high academic expectations and creating a safe, nurturing environment where those expectations can be met. Through a focus on positive school culture, excellence in teaching, and active community involvement, our mission is to ensure that every scholar is performing at or above grade level. Each scholar is valued and deserves our highest level of dedication.

This year’s theme is: One Team, One Dream: Together, We Rise.

We’ve recently updated our Parent and Student Handbook, and we’re excited to share it with you! This handbook is here to help you get to know our school better. Inside, you’ll find information about our policies, procedures, and the roles we all play—students, parents, and staff—in making our school a great place to learn and grow.

Think of it as a helpful companion to the Austin ISD Student Code of Conduct, along with the guidelines from the Board of Education and the Texas Education Agency.

At Pecan Springs, we truly value our partnership with families. We’d love for you to be involved—whether that’s visiting your child’s classroom, joining our awesome PTA, or coming out to school events and activities.

Be sure to keep the handbook handy so you can refer to it when you need it. Most of all, we hope you’ll stop by often and be an active part of your child’s learning journey. We’re looking forward to a fun and successful year together at Pecan Springs!

On behalf of our whole team here, welcome to the Pecan Springs family!

Warmly,

Andrea Williams, Principal

Arrival & Dismissal

Starting Time

Instruction begins promptly at 7:40 am. At 7:40 scholars are considered tardy and report directly to the office to obtain a Tardy Note!

Arrival

The front gate/door will be opened at 7:10 am for all scholars. Parents are to drop off their scholar at the front entrance as noted below. If you arrive after 7:40 am, you are expected to come to the office to sign in.

Dismissal

To help ensure a smooth and safe dismissal, we will begin releasing car riders at 3:08 PM. For everyone’s safety, please follow our designated parent pick-up route—enter from Rockhurst and proceed to Dubuque Lane (marked in blue on the dismissal map).

If a scholar is not picked up by 3:20 PM, teachers will escort them to the front office so we can contact families directly. For their safety, scholars will only be allowed to wait in this designated area—they may not wait in classrooms, or outside.

Please make arrangements to have your scholar picked up on time and no later than 3:45 PM. After that time, we do not have staff available to supervise, and we may be required to contact campus police or Child Protective Services, as part of district policy.

We appreciate your support in helping us keep all of our scholars safe!

Attendance Policy

School starts promptly at 7:40 AM.All scholars need to be inside the building by 7:40 AM to be considered on time. If your scholar arrives after 7:40, they are considered tardy and must be signed in at the front office before heading to class. A tardy slip will be issued at that time.

Please note:

  • All tardies are unexcused unless the office receives written documentation (within 2 days) explaining the reason.
  • If the reason qualifies as excused (e.g., a doctor’s note), it will still count as a tardy, but it will be marked as excused in your child’s record.
  • The Official Attendance Time is 9:45 AM.

Why being on time matters:

  • Your child misses valuable instruction time.
  • It causes a disruption to the class.
  • It interrupts the teacher's flow.

Picking Up Your Child Early

If you need to check your child out early:

  • Come to the office, sign in, and sign your child out.
  • Leaving early is also considered a tardy.
  • Only individuals listed on your child’s Emergency Care Card may pick them up.
  • Valid ID (like a driver’s license) must be shown at pick-up.

If your child leaves for a medical appointment, please remember to bring a doctor’s note when they return so it can be documented properly.

Our top priority is keeping all of our scholars safe and supervised at all times. Thank you for helping us by following these important guidelines!

TEXAS ATTENDANCE LAW

State law requires that a student between the ages of six and 18 attend school, as well as any applicable accelerated instruction program, extended year program, or tutorial session, unless the student is otherwise excused from attendance or legally exempt.

Students enrolled in Prekindergarten or Kindergarten are also required to regularly attend school, arrive on time, and are subject to the compulsory attendance requirements.

State law (Texas Education Code Section 25.085) requires that all students aged 6 through 19 attend school. Compulsory attendance also applies to students who are younger than six who have been voluntarily enrolled in pre-kindergarten or kindergarten. FEA: Compulsory Attendance policyStudents are required to attend school from the time the school day begins until the time the school day ends. A partial day absence occurs when a student is not present for part of the school day. This means that leaving school early or arriving after school begins (tardy), even if the child attended some of the day, may count against the student.

If a student is late to class for more than 50 percent of the class period, the student will be counted absent for that class period. Acceptable reasons for an excused tardy are the same as an excused absence.

Students who violate this law may get referral(s) for court proceedings against the parent, guardian or student to enforce the law.

Violation of the law occurs when students get unexcused absences for 10 or more days or parts of days within a six-month period.

A-

Absences (Excused) for Compulsory Attendance (pertaining to Elementary students)

State law allows exemptions to the compulsory attendance requirements for several types of absences if the student makes up all work. These include the following activities and events:

• Religious holy days;

• Required court appearances;

• Activities related to obtaining United States citizenship;

• Performing Taps at a military funeral;

• Participation in special education assessment and services;

• Documented health care appointments, including absences for recognized services for students diagnosed with autism spectrum disorders. A note from the health care provider must be submitted upon the student’s return to campus; and

• Activities associated with leave, deployment, or return of parent/guardian who is an active member of the military.

Failure to Comply with Compulsory Attendance

AISD will notify parent(s)/guardian(s) if a student is required to attend school and fails to do so for three days or parts of days without an excuse during a four week period. This notice will notify the parents that:

  • Parent(s)/guardians are responsible for monitoring their child's school attendance and for requiring the student to attend school.
  • Parent(s)/guardian(s) are subject to criminal prosecution.
  • Parent(s)/guardian(s) need to request a conference with school officials to discuss the absences.

ABSENCE POLICIES and GUIDELINES:

When your child is absent, we ask that a parent or guardian submit a note within 48 hours (2 days) of the absence. You can either:

  • Parent/guardian should Report an Absence here and any documentation should be submitted as soon as possible (recommended within 48 hours after the absence has occurred). Documentation must support the reason for the absence to be coded correctly.
  • Note: Phone calls are not required to report an absence in advance, per policy we can’t address absences in advance. Campus CANNOT accept phone calls or voicemail messages as documentation for a student's absence.

If your child saw a doctor, please provide a physician’s note. The doctor’s office can fax the note directly to us at 512-926-0001 if that’s easier.

For absences lasting three or more days, please contact the school office before 10:00 AM on the third day.

Important to Know

If a student shows a pattern of frequent absences, the principal or attendance committee may require a doctor’s note to verify the reason for each future absence.

All attendance policies are based on TEA (Texas Education Agency) laws, which AISD must follow. Our campus is required to collect and keep documentation for every student’s daily attendance. These records are subject to audit.

For more details, please visit the AISD Attendance Policy online.

Character Plan

We’re proud to share that Pecan Springs ECP participates in EarlyAct First Knight® (EAFK)—a unique character education program designed for elementary and middle school students. Sponsored by the Austin Rotary Clubs, this program helps students from all backgrounds grow into kind, respectful, and service-minded individuals during their most important developmental years.

A key part of the program is learning and living by “The Four-Way Test,” which encourages students to practice integrity and strong character in everything they do.

In the classroom, teachers focus on a set of essential character traits, also known as our Elementary Level Virtues:

  • Tolerance
  • Responsibility
  • Confidence
  • Perseverance
  • Discipline
  • Respect
  • Honesty
  • Compassion
  • Friendliness
  • Service

Throughout the year, we host six EAFK Assemblies to celebrate students who consistently demonstrate these positive traits. 🎉 If your child is selected to be honored, we’ll notify you so you can attend the celebration!

To learn more about this inspiring program, please visit the official EAFK website: www.eafk.org

COMMUNICATION

Stay in the Loop! – School Communication at Pecan Springs

We want to make sure you’re always informed and connected! Here are the main ways we’ll keep in touch throughout the year:

📁 Check the Daily Folder

Your child will bring home a Daily Folder, which is our primary form of communication between school and home. Be sure to check it every day! Inside, you’ll find:

  • Teacher and school contact info
  • Daily/weekly class schedules
  • Newsletters and updates
  • Daily objectives and conduct grades
  • Homework assignments
  • Expectations and reminders about upcoming events

More details about how to use the folder will be shared by your child’s teacher at Back-to-School Night.

📧 Email Communication

Teachers may also send emails (via AISD/ClassDoJo) to keep you updated on class-specific information or to communicate directly with you.

📞 School Messenger-Thrillshare

We may also send messages through the district’s School Messenger system (calls or emails). To receive these, please make sure the front office has your current email address—either through your child’s registration form or by contacting the office directly.

Telephones

Each teacher at Pecan Springs has a private phone number with voicemail, which will be shared with you at the start of the school year.

If you need to reach your child’s teacher, please call their direct number and leave a message. Teachers are not able to answer calls during instructional time, but they check their voicemail regularly and will return your call as soon as they can.

📌 Important Reminder: If you need to make changes to your child’s end-of-day dismissal plans, please send a written note to the teacher first thing in the morning. This helps ensure a smooth and safe dismissal process.

COMPLAINT/CONCERN

At Pecan Springs Elementary, we believe that strong communication builds strong partnerships. If you or your child has a concern, question, or complaint, we encourage you to share it with us directly so we can work together toward a solution.

Here’s how to express a concern:

  1. Start with the Source: If your concern involves a classroom situation, please speak first with your child’s teacher. Most issues can be resolved quickly through open and respectful communication.
  2. Contact Campus Leadership: If further support is needed, you may schedule an appointment to meet with an assistant principal, counselor, or the principal. We’re here to listen and collaborate.

GRADES/GRADING

  1. Teachers will develop, through collaboration with their elementary grade-level team or secondary campus department, a clearly defined grading procedure consistent with District policies.
  2. Each teacher will distribute a copy of the grading procedure to students and parents at the beginning of each school year or semester and to all new students and parents thereafter.
  3. Teachers must include, through collaboration with their elementary grade-level team or secondary campus department, late work and makeup work procedures that promote student responsibility without denying students reasonable opportunities to exhibit mastery of curriculum concepts and skill.
  4. Teachers will accept and award at least partial credit for late work turned in within three consecutive school days of the due date. Because of differences in short-term assignments, teachers have the option of giving students an alternative assignment that will be due within the same time frame as the original assignment. Students will be made aware of the deadline established by the teacher.
  5. Through collaboration with the campus principal, each elementary grade-level team or secondary campus department will determine the redo and reassessment guidelines to provide a reasonable opportunity to a student who earns a failing grade.
  6. Teachers will use professional discretion in awarding a grade or accepting assignments missed due to extended absences and/or extenuating circumstances. [See EIAB(LOCAL)]
  7. Accurate and complete documentation of each student's progress will be recorded by teachers in a timely manner.
  8. Varying grading procedures and expectations for students in special education programs will be based on recommendations of the admission, review, and dismissal (ARD) committee.

CON’T

9. Each teacher must be able to justify student grades using valid, District curriculum-related criteria.

10. When a student transfers from one school to another within the District, the sending school must complete the withdrawal form that includes information from the current grading period.

11. As the instructional leader of the school, the principal has the ultimate responsibility to enforce fair and consistent grading procedures that are consistent with District policies and developed by the elementary grade-level team or secondary campus department in each school.

12. The District will provide parents with communications about the importance of grades and the supportive role that parents may assume is helping students achieve success in academic work.

13. Each school, with support from the District, will provide alternative programs for students having difficulties, i.e., specialized interventions, tutorial support, mentoring, and the like.

14. The parents and the school will share a mutual responsibility for assisting students in their achievement and success.

15. Parents may request conferences with teachers, counselors, and/or administrators concerning their child's academic progress.

IMMUNIZATIONS

Our school enforces the state laws for requiring records of mandated immunizations or proper exemptions. Any information, guidelines and forms are available from the school nurse.

MEDICATION POLICY

Only those medications that are necessary for a student's medical care and need to be given during school hours will be administered at school. Most medicines that are needed (even up to three times a day) can be given at home. Since our school nurse and student health assistant are only on campus part time, this will help relieve the office staff of this additional responsibility. When your child must receive medication at school, please send a note to his/her teacher stating the time the student should be sent to the office to take the medication.

When a student's medicine must be stored or administered at school, Texas Education Agency Code requires that:

1) Medication must be in its original container, labeled with the student's name, name of medication, directions for administration, and current date. Prescription medicine must have the doctor's name on the label and the doctor must be licensed in Texas. Non-prescription medicine must have the student's name handwritten on the container.

2) The "Parent Authorization of Medication at School" form must be completed, one form for each medication. Directions for administration may not conflict with instructions on the medication label. This form is available in the Health Room and also on the AISD website (Parents>Health Services>Forms>Parent Medication Authorization).

N-

Medication that is needed for known emergencies, such as asthma, diabetes, or serious allergic reactions, may be stored and administered at school, but MD and parents must complete specific forms. Please ask the school nurse for the necessary forms. Students that have asthma may carry their own asthma inhaler if approved by the school nurse and if forms are completed by MD and parent.

Over-the-counter, non-prescription medication that is taken daily for more than two weeks must be accompanied by a doctor's order. The parent authorization form must include the appropriate dose for the age of the student; otherwise a doctor's order is required. If there is a change in dosage or frequency, a new "Parent Authorization of Medication at School" form must be completed and a doctor's written order must be given to the school nurse. This order may be faxed to the school (fax 512- 926-0001).

Medications that cannot be identified in the "Physician's Desk Reference" cannot be given at school. This includes medicine from other countries, herbs, loose medicine in envelopes or baggies and different kinds of pills in a single container.

The school will not provide any medications, including acetaminophen. Parents must provide all medication.

For prescription medicine, ask the pharmacist to prepare two labeled containers, marking one for school use, so a container may be at home and at school.

NOTE: Changes in medication dosage or frequency are to be documented by the physician’s written authorization.

WHEN A STUDENT BECOMES ILL

Please do not send your child to school sick. The best treatment for minor illness is at home. You may contact your child’s teacher to request school work if you feel it is needed. Please notify the school of any infections that may put other students at risk.

Please keep your child home from school if he/she is experiencing any of the following:

  • Fever (99.9˚ or higher) in the night or morning before the start of the school day. Student must be fever free without using any fever reducing medication (ibuprofen *Advil/Motrin or acetaminophen *Tylenol).
  • Vomiting during the night
  • Diarrhea at the start of the school day
  • Eye infection with discharge
  • Frequent coughing

Please cover any wound with a dressing before student comes to school. Instruct your child in basic infection control (hand washing before meals and after using restroom, coughing into elbow rather than hand, not putting fingers in eyes, nose or mouth). Please ensure your child receives at least ten hours of sleep and never misses breakfast before school. ENCOURAGE YOUR CHILD TO DRINK PLENTY OF WATER AND GET PLENTY OF REST.

Parent/Teacher Conferences

One of the most important ways parents can support their child is by staying in regular contact with their teacher. Throughout the school year, we hold regular parent-teacher conferences to discuss your child’s progress. Additionally, the district sets aside one conference day in the fall and one in the spring for all schools.

Of course, parents are always welcome to request a conference with your child’s teacher or school administrators whenever needed.

Parents: Your Role as Your Child’s First Teacher

Good discipline starts at home. As a child’s first and most important teacher, you set the foundation by modeling positive behavior and attitudes. To help your child succeed, please consider these important guidelines:

  1. Support and cooperate with the school’s discipline policies and consequences.Guide and encourage your child by modeling good habits and socially acceptable behavior.
  2. Stay informed about your child’s homework and academic expectations.
  3. Keep your contact information, especially phone numbers, up to date.
  4. Read all communications and materials sent home from school.
  5. Attend parent-teacher conferences to stay connected with your child’s progress.
  6. Participate in scheduled PTA meetings to engage with the school community.
  7. Volunteer for school committees when you can—your involvement makes a difference!
  8. Visit your child’s classroom regularly to show your support and stay engaged.

Together, we create a strong partnership to support your child’s growth and success!

PTA

The PTA is an advocacy group for parents, teachers, and children. The PTA is committed to fostering a community atmosphere where all parents feel comfortable being at Pecan Springs. All parents are invited to join us for a productive year. Attendance at PTA functions is important to us. Please consider joining our PTA!

Parent Visitation

To keep our classrooms focused and minimize disruptions, parents are not permitted to visit classrooms during instructional time throughout the school year.

However, we warmly welcome you to eat lunch with your child on Tuesdays and Thursdays (unless the campus is closed). If there are any changes to this schedule, we will be sure to notify you in advance.

Thank you for helping us maintain a positive learning environment for all students!

Report Cards & Progress Reports

Report cards will be available every nine weeks through your Parent Portal. After reviewing the report card, please sign and return the Progress Report Envelope to the school.

If a student is failing or at risk of failing a subject, parents will receive an interim report halfway through the grading period to keep you informed.

Teachers also offer tutorials during instructional time to help students improve in areas where they need extra support.

You can always check your child’s grades anytime using the Parent Cloud at: http://www.austinisd.org/technology/parents-guardians/cloud

SECURITY PROTOCOLS

If a family has experienced divorced or has special custody or security concerns, it is their responsibility to inform the school in writing and provide copies of court orders that give or deny permission to specific parties. The school can only enforce formal orders signed by a judge.

Special Educational Needs for Students

Options and Requirements for Providing Assistance to Students Who Have Learning Difficulties or Who Need Special Services.

If a child is experiencing learning difficulties, the parent may contact the person listed below to learn about the district's overall general education referral or screening system for support services. This system links students to a variety of support options, including referral for a special education evaluation. Students having difficulty in the regular classroom should be considered for tutorial, compensatory, and other support services that are available to all students.

At any time, a parent is entitled to request an evaluation for special education services. Within a reasonable amount of time, the district must decide if the evaluation is needed. If the evaluation is needed, the parent will be notified and asked to provide consent for the evaluation. The district must complete the evaluation and the report within 60 calendar days of the date the district receives the written consent. The district must give a copy of the report to the parent. If the district determines that the evaluation is not needed, the district will provide the parent with a written notice that explains why the child will not be evaluated. This written notice will include a statement that informs the parent of their rights if they disagree with the district. Additionally, the notice must inform the parent how to obtain a copy of the Notice of Procedural Safeguards- Rights of Parents of Students with Disabilities.

The designated person to contact regarding options for a child experiencing learning difficulties or a referral for evaluation for special education is Andrea Williams, Principal @ 512-414-4445.

Safety

Student Searches and Seizures (Purses, Backpacks, and Desks)

For the safety and well-being of all students, school officials (teachers, principals, assistant principals) may conduct reasonable searches of student purses and backpacks if there is a justified belief that a student has violated school rules, the student code of conduct, or the law. This practice is supported by court rulings such as New Jersey v. T.L.O. (1985) and Coffman v. State (1985).

Parents are encouraged to remind their children not to bring prohibited items to school, including guns, knives, weapons, drugs, and other items forbidden by the student code of conduct.

Sexual Harassment

At Pecan Springs, we are committed to maintaining a safe and respectful learning environment for every student. We believe in treating everyone with dignity, respect, and equality.

Sexual harassment of students, teachers, or staff will not be tolerated—whether it happens at school or during any school-sponsored or related activities. All students are expected to avoid any behavior that is offensive or inappropriate, and to immediately stop if asked or told to do so.

Consequences

Any report of sexual harassment that is confirmed will lead to appropriate disciplinary action based on the severity of the offense and the AISD Student Code of Conduct. In certain cases, the incident may also be reported to law enforcement authorities.

  • Reporting

Students who believe they have been the target of sexual harassment by a student, employee of the school district or any third party on the campus should IMMEDIATELY contact a counselor, teacher or school administrator.

  • False Reporting

False reporting is a serious offense. If the school discovers that someone made a false report on purpose, the person making the false report will be disciplined. We appreciate your support as we work together to teach our students to become constructive and productive individuals.

Technology

Today, technology is within all of our reach through mobile phones, tablets and other devices. In addition to being safe in our physical world, we also need to be concerned about ‘Cyber Safety’ or ‘Digital Safety’.

  • Cyber Safety

Cyber Safety is one of our primary concerns in AISD. We believe that students should have access to technology resources. Having that access, students need to understand how to be good digital citizens and use resources to enhance learning. Our staff is expected to show digital citizenship just as much as our students. Every year they sign an 'Acceptable Use Policy' (AUP), a promise they will live by the rules of safe online behavior. Because the safety of your student comes first, the AISD Technology Department is not only training all staff on Cyber Safety Awareness and Response, but your student will also receive a lesson on this topic. Among other things, Cyber Bullying and Predators will be addressed. You and your family can also be pro-active by talking to each other about this topic.

  • Cyberbullying *ANTI-HARASSMENT STATEMENT

AISD prohibits acts of harassment of any kind, including harassment based on race, color, religion, gender, gender identity, gender expression, sexual orientation, national origin, disability, or any other conduct prohibited by law, including bullying or harassment carried out via electronic forms of communication (e.g. cyberbullying via social network sites).

Should you believe that you have been subjected to harassment based on sex, report the harassment immediately to the 1) Campus Administrator or the 2) District’s Title IX Coordinator at (512) 414-1700. The Austin ISD encourages students, parents and employees to work together to prevent acts of harassment of any kind by fostering a climate of mutual respect for others. However, if any student or employee is found to have engaged in acts of harassment, he/she will be promptly disciplined. The discipline may include various remedies, up to and including, suspension or removal of students and termination of employment of employees.

  • Reporting cyberbullying

If you have a concern about anyone you know in regards to cyber safety or bullying you can complete a form, providing as much detailed information as possible, so that the complaint may be properly investigated.

It is important that you report the facts as accurately and completely as possible and that you cooperate fully with the persons designated to investigate the complaint.

Where to file: Complaint forms will be available from any counselor or administrator. Once completed, the principal or designee will handle all complaints.

Confidentiality: To conduct this investigation in a confidential manner, the school will disclose the contents of your complaint only to those persons who have a need to know about your complaint. In signing the complaint form, you authorize the school to disclose, as needed, the information you have provided, and may in the future provide, regarding your complaint. Your complaint form will not be shown to the accused.

STUDENT AND PARENT ACKNOWLEDGMENT

We believe all parents want their children to be successful. You can help us help your child in the following ways:

Ready to Learn

One of the most important parental responsibilities is sending children to school ready to learn. A student is considered ready to learn when he/she has:

-immunization shots up-to-date

-a positive attitude toward school

-necessary materials for class

-homework completed and in the backpack

-a good night’s sleep and a healthy breakfast

Instructional Time

The time spent between a teacher and his/her scholars is important. It is imperative that interruptions of instructional time be minimized. Distractions such as announcements, disruptive behavior and telephone calls will be minimized so that learning time is held sacred.
