Accessible Meetings

Accessible remote meetings - Kim Wee MNIT

  • One person speaks at a time.
  • Say your name before speaking.
  • When possible, send accessible documents to be discussed ahead of time.
  • If you use a whiteboard feature, share your screen, or if you present a PowerPoint, describe what is on the screen.
  • If using a method for asking questions or requesting a chance to speak, we suggest using a method such as hand raising or indicating this in the chat.

How to: Pin the Interpreter

Pin or Spotlight Video

  1. Start a new or scheduled meeting.
  2. Tap Manage Participants on the Zoom Room Controller.
  3. Tap the Host or Participant's name > tap Pin or Spotlight Video.
  4. If you have multiple screens in your Zoom Room, you can choose which screen to pin the video to.

  1. Click Live Transcript to choose a transcript option.
  2. Show Subtitles displays subtitles on the screen.�View Full Transcript displays subtitles in real time with both the speaker's name and a time-stamp within the transcript window. We recommend this setting as best practice. �Subtitle Settings will open a window where you can adjust the font size of both the subtitles and the chat window.
  3. Click View Full Transcript to view subtitle and speaker.

  1. Open and log in to the Ava Web application (https://app.ava.me/#/web/login).
  2. 2. Click on the option to “Join conference call”
  3. Paste the Zoom meeting link (e.g. https://zoom.us/j/660571xxxx) in the box that says “Paste meeting invitation” and click on the green “Dial-in” button.
  1. “Copy the API token”. Note: only the host can access the token.
  2. Paste the API token in in the Ava web box and click the blue “connect” button.
  3. Go to the “CC” carrot and select “show subtitles”

How to Pin on Microsoft Teams

Switch between people and content

When someone's sharing a presentation, you can switch between viewing that content and watching the people in the room by simply clicking on the video you're interested in. Try this when there's a presentation taking place in a meeting room and you want to see who's talking and note their body language.

Pin a video

To focus on a particular video, right click and select Pin. The video will be pinned to your view regardless of who's talking. You can pin as many videos as will fit on your screen. If you change your mind, right click again and hit Unpin.
