School Leader Expectations

  • Create the KTX testing procedures and expectations aligned to 2024- 2025 KTX Assessment Calendar
  • Provide training and resources to support the KTX assessment strategy
  • Develop the infrastructure including systems for campus data collection (folders) and platform setup e.g., Cambium, TestHound, and NWEA
  • Periodically provide campus testing coordinator check-ins and/or office hours
  • Progress monitor assessment completion and communicate completion rates
  • Communicate STAAR results to CTCs and provide guidance for parent access to scores
  • Attends KTX testing trainings (required)
  • Read all manuals, training materials, and emails
  • Serve as a liaison between campus and RAC/DTC

ACT

  • The ACT test is divided into four separately-timed sections, English, math, reading, and science, and one optional writing section that does not contribute to the composite ACT score.

ACT

  • ACT test scores range from 1 to 36, with 36 being the highest possible score. Each section of the ACT is scored separately. One point is awarded for each correct answer, and you don’t lose points for wrong answers or unanswered questions. Once the entire test is scored, each raw score is converted to a scaled score. Finally, the four scaled scores are averaged to create a composite score. The Writing Test, if you choose to take it, is graded based on four separate domains: ideas and analysis, development and support, organization, and language use and conventions. Each area is assigned a score ranging from one to six, with six being the highest possible score. The Writing score is not counted in the final ACT composite score.

Prohibited Behavior:

  • Room Supervisors and proctors should move quietly around the room to discourage and detect prohibited behavior
  • Document all prohibited behavior and any actions taken on the Irregularity report
  • If you suspect an examinee but are uncertain, warn the examinee of the behavior and ask ACT for a decision before the examinee is dismissed
    • If the behavior continues after one warning, promptly dismiss the examinee
    • If you dismiss an examinee for prohibited behavior, follow the directions exactly (see Dismiss for Prohibited Behavior in manual)

On test day:

    • Post check-in instructions, Wi-Fi name, password, start/stop times, and room code
    • Follow seating requirements when assigning and directing students to seats in the testing room
    • Distribute a sign-in ticket to each student

Hall/Room Monitor Responsibilities

(Rover Proctor)

  • Help set up the school for testing
  • Direct students to their assigned rooms and to the restrooms
  • Answer students’ questions (as needed)
  • Monitor the testing room, hallways, and restrooms for student misconduct such as using prohibited devices, talking during breaks, or sharing information
  • Ensure students in the school who are not participating in testing don’t interrupt or distract testing rooms and students during their breaks

The test coordinator is responsible for identifying people of integrity when selecting their testing staff.

  • current or retired faculty members
  • school administrative or clerical employees
  • substitute teachers, student teachers

Athletic Coaches:

To protect athletic coaches and student-athletes from the appearance of a conflict of interest, an athletic coach:

  • May not serve as test coordinator

  • May serve as a room supervisor, but may not supervise one-to-one testing for a student athlete
  • The policy applies to any head or assistant coach of any high school or college athletics, whether or not the sport is in season at the time of testing.

  • High school students
  • Volunteers
  • lower-division undergraduates
  • Anyone who intends to take the same tests within the next 12 months
  • Anyone involved in test preparation activities for the same tests at any time during the current testing year (9/1-8/31)�

Relatives:

  • if any relative or ward will test at your test site or any school in your state on the same test date:
    • You may not serve as test coordinator or substitute test coordinator for the administration of the tests that day. You must delegate all supervisory responsibilities for that date—including the receipt and return of test materials—to a qualified colleague.
    • You may not have access to the secure test materials before or after the test day/window.
    • You may serve as a room supervisor or proctor, provided that the examinee is not assigned to test in a room where you are working.
    • You must not have access to any of the examinee’s test materials.
    • Relatives and wards include children, stepchildren, grandchildren, nieces, nephews, siblings, in-laws, spouses, and persons under your guardianship. Scores for an examinee will be canceled if any of these policies are violated.

Exam Environment

To ensure an effective and secure administration, testing rooms must meet these requirements:

    • Cover or remove material that may give students an unfair advantage (charts, strategy maps, aids for test taking, problem solving, test topics, etc.)
    • Ask the building’s administration to turn off audible signals that normally sound at the beginning and end of classes (quiet testing zones)
    • Ensure that announcements are not made on the public address system during test sessions.
    • Post signs outside the test rooms to warn others that testing is in progress and that quiet is required.
    • Select locations with optimal access to power and strong internet with enough bandwidth to support the expected number of test takers
    • Provide power strips, surge protectors, and extension cords as devices may power down during administration (required for spaces more than 3 hours)
    • Testing locations must be located away from noisy areas and distracting activities
    • Testing locations must be near restrooms for use during breaks
    • Testing locations must be near the help room for students who need technical support during testing.
    • Testing locations must have proper lighting and ventilation
    • Have a whiteboard space available to write or display Wi-Fi sign-in information and other test day instructions for students e.g., posting the START and STOP times only
    • Proper seating that follows the seating requirements (3 ft from other examinees- front/back and side/side)

Exam Rooms (Large Spaces)

Recommendations if you must test a large number of examinees in a large space (e.g., a gymnasium or assembly hall):

  • Divide it into sections.
  • Assign examinees, materials, and staff to each section like you would an individual test room.
    • This makes check-in, handling materials, and monitoring testing more manageable. Example: Rows 1–4 are “Section A” and rows 5–8 are “Section B,” or the northeast quadrant is “Section 1” and the northwest quadrant is “Section 2.” Testing in a large room requires additional planning, as well as special attention to documentation.

  • Ensure that room setup and seating arrangements meet all requirements.
  • Ensure that each section follows the policies for number of staff required e.g., proctors and hall monitors.
  • Ensure that the space has optimal access to power and strong internet connection
  • Develop a roster for each section by using the TCM to assign students to rooms before test day. Proctors must have a copy of their section’s roster to verify ID, seating assignments, and computer distribution (as needed).

Specialized Environments

Accommodations and Supports:

  • Students testing with accommodations must test in a separate room if:
    • Different timing code
    • Small Groups (no more than 15 examinees)
    • One-on-One administration (possess their own space-NO exceptions)
  • Students with the same accommodations can be grouped together in the same room.
  • Recommendation is no more than 20 examinees in one room for varied accommodations

Help Room:

  • Designated room that students can utilize for technical support from the technology monitor
  • Ensure there are adequate desks or tables, outlets, and that it’s near the testing rooms
  • Space should located near the testing rooms for student access

Seating Requirements

Follow these seating requirements to prevent security problems and ensure student comfort:

    • Proctors will assign seats (REQUIRED), and students who arrive together should be seated separately
    • Chairs have backs
    • Students are seated so they can’t easily see each other’s screens
    • You have unimpeded access to every student and can easily see them
    • Students are separated by at least 3 feet on the right and left (measured from center of desk) to allow for the proctor’s freedom of movement during active monitoring and to reduce distractions
    • Seating is arranged to provide optimal access to electricity without overloading outlets or creating unsafe conditions. Students with more than 3 hours of testing time should be seated closest to power outlets
    • Tables that seat more than 1 student have enough space for students to sit 3 feet apart
    • Students have a large, smooth writing surface, such as a desk or table
    • Tablet-arm chairs must have a minimum writing surface of 12 × 15 inches (30 × 38 centimeters)
    • Students must not be seated around rectangular tables or at round tables, study carrels, seats with lapboards, language laboratory booths, or tables with partitions or dividers. (Partitions and dividers are allowed only if testing in a computer lab and they are low enough so that proctors can see students’ testing devices.)

Recommendations:

  • Using single-level classrooms
  • Avoiding multiple-level seating (it makes it easier to see another examinee's test)
  • Seating 20 to 30 examinees in a room for standard time administrations (No more than 100 examinees in a room
  • Proper seating that follows seating requirements despite the room size or desk/table (3 ft from other examinees- front/back and side/side)
  • Cover or remove material that may give students an unfair advantage (charts, strategy maps, aids for test taking, problem solving, test topics, etc.)

Individual irregularities: Affect single person or small group

      • Examinees who leave and return

Group irregularities: Affect the entire group

Checking in on Test Day

  • Examinees must be identified and check in at the test room, even if they were identified at a central checkpoint�
  • Approved forms of identification
    • Drivers license
    • Passport
    • School ID (must be hard plastic)
    • State ID
    • Staff recognition if they do not have a formal ID�
  • Examinees must be directed to a specific seat
    • They are not permitted to select their own seat
    • Separate friends and relatives

Test Administration

  • Begin students with the online testing instructions no later than 9:30 AM
    • If you start later than 9:30 AM, an internal irregularity report MUST be completed
  • Test must be administered in this order (Standard Timing Codes)
    • Test #1 - English (45 min)
    • Test #2- Mathematics (60 min)
    • Break-15 minutes
    • Test #3- Reading (35 min)
    • Test #4- Science (35 min)
  • The computer system will keep track of the time remaining
  • The full time for each test must be given
  • Break
    • 15 minutes after Test 2
  • Calculators are allowed only on the mathematics test
    • Check the calculator policy provided with your shipment for acceptable calculators
    • All Test Administrators must be given a copy of the calculator policy

  • Develop a plan for lunch if deviations to the schedule should occur
  • Test rooms should be ready prior to leaving on Monday, March 24th

      • Desks/tables arranged following ACT guidelines
      • Test bins ready for pick up by Monday, March 24th
  • Set up a reminder call/email to families/students about testing
