Prior to the Meeting

  • Review and distribute materials ahead of the meeting so membership has an opportunity to go through them – preferably use PDF so rendition on phones is consistent
  • Be sure to customize/modify the last slide to add local announcements etc.
  • Assign tasks proactively (a week ahead of the meeting)

During the Meeting

  • Start on time and end on time
  • Keep a time check through the meeting
  • Introduce new members
  • Manage the discussion
    • Normally Zaim should lead but this task can be delegated
    • Create a safe environment
    • Establish ground rules
    • Facilitate with respect and encourage others to show respect
    • Guide members to listen actively
    • Be a coach and aske everyone to engage and speak
    • Set an environment which welcomes contributions
    • Clearly explain where the materials are coming from

During the Meeting

    • Remove language barriers
    • Ask that members address the head of the meeting
    • Discourage domination of discussion
    • Timebox conversations
    • Discourage cell phone usage
    • Avoid derailing and stick to the topic
  • If disagreements arise, address them with respect
  • Guide the attendees to work on the same goal
  • Keep the direction of the meeting toward positivity
  • Periodically summarize longer discussions
