Appointment Letters

  • Spring 2022 appointment letters for graduate students (2110 union) and professional adjuncts (7902) should now be sent for the courses that you believe will run
  • Formal approval in OASIS (via the checkbox) is not required to generate a letter

Missing payroll due to incomplete instructor assignments in OASIS

It is strongly recommended that Departments double check that all positions have compensation before finalizing their staffing assignments each semester/term. OASIS provides a report titled “In SIS, but no pay details in OASIS”. FAS Payroll cannot process payments if compensation is not listed.

  • OASIS Instructor Staffing
    • Change 'OASIS vs. SIS?' droplist in upper right from the 'All' option to the 'In SIS, but no pay details in OASIS' option

Independent Contractors and Insurance

  • Independent Contractors must be hired in accordance with NYU’s Independent Contractor policy
  • Key parts of the policy include:
    • iBuy must be used to issue payments to independent contractors due to tax reporting requirements
    • AP Workflow (reimbursements) can only be used by NYU employees. Payments to individuals/contractors cannot be processed through AP Workflow
    • A Master Independent Contractor Agreement is required
    • A ‘scope of work’ should be included that details the work deliverable and the pay rate (per hour, per word, per chapter, etc)
    • “Guest reimbursements” in iBuy may only be used for reimbursements and not for work performed
    • Insurance is required for all independent contractors (even for work off-campus)
    • Insurance waivers may be requested via an online form, but are typically only granted for one-time assignments and not extended assignments
    • Vendor onboarding into iBuy and PO creation can happen before insurance approval. However, if sufficient insurance is not provided, then vendors will be deactivated in iBuy (prior POs will be paid)
  • Looking ahead:
    • NYU understands that the process is inefficient and is working to improve the process
    • NYU Audit will be increasing their attention to these payments
    • Monthly Zoom sessions are offered by NYU Purchasing and Insurance (typically the 1st Wednesday)
