Before Sharing Your Screen - Mac Users

If this is your first time sharing your screen on a Mac, please follow these steps.

  1. Go to your System Preferences.

  • Select Security & Privacy.

  • Go to ‘Privacy’ tab.

  • Click the lock at the bottom left.

  • Enter the admin password.

  • Select ‘Screen Recording.’

  • Check off zoom.us.

  • Leave Zoom meeting and re-enter.

Sharing Your Screen - Part One

The green “Share Screen” button in your Zoom window allows you to share files with your participants.

Tip: Before class, have the relevant file(s) or window(s) open on your screen.

You can share:

  • Powerpoint presentations
  • Google Slides files
  • Word documents
  • Image files
  • YouTube videos
  • Your entire screen/desktop

Sharing Your Screen - No Video/Audio

Before meeting:

  1. Open relevant file(s) on your device.

Once in the meeting:

  1. Click the Share Screen button.

  • Select the item you want.

  • Click ‘Share’ button

Tip: Share Screen/Desktop if you want to easily toggle between applications.

Before meeting:

  1. Open relevant file(s) on your device.

Once in the meeting:

  1. Click the Share Screen button.

  • Select the item you want.

  • Check off ‘Share sound’

  • Click ‘Share’ button

Tip: If you are showing a film (full movie, YouTube, etc.) we recommend asking everyone to mute themselves and stop their video. You may also wish to do the same.

Tip: For ‘Optimize for video clip’ make sure you have a broadband connection.

Screen Sharing Toolbar

When you share your screen, a new toolbar should appear, usually at the top of your screen, which provides you with sharing tools.

Note that your Mute and Video buttons are now located on the Sharing toolbar.

The green tag confirms your current share.

When you’ve finished, click the Stop Share button.

Share Screen - Video Panel

You can show or hide your participants by accessing the ‘More’ menu on your Share Screen toolbar and selecting ‘Show Video Panel’ or ‘Hide Video Panel.’

The bar at the top of the video panel allows you to change how it appears on your screen:

  • Grab and drag the bar to relocate the panel

  • The icons on the bar do the following, from left to right:
    • Single Line: minimizes the panel
    • Single box: Show the active speaker only
    • Double box: Show a column of participants. Click the arrow at the bottom to scroll through class members.
    • Grid: Show a gallery view of participants. Expand or shrink the gallery by grabbing the corners/sides of the panel.

Participant View Options

A new toolbar will appear at the top of the class participant’s screen.

Under View Options tab:

  • Class participants can check off ‘Side-by-side mode.’ That will allow participants to have a divided screen with your presentation on the left and class members on the right.

  • Annotate tools are also available here.

Breakout Rooms

Breakout Rooms allow your participants to separate into small groups in order to focus on specific tasks or discussions.

  • You can assign members to a room manually or automatically, as well as reassign or switch them after the room is open.

  • You can set a time limit for Breakout Rooms.

  • You can join any room at will.

  • You can send a message to individual rooms or to the entire class.

  • When you choose to close a room, room members will receive a message that the room will close in your chosen amount of time.

Breakout Rooms Setup - Part One

To build Breakout Rooms, select that option from the toolbar; the Breakout Room panel allows you to edit settings.

Automatic assignment: Input desired number of rooms, the program sorts your class participants randomly.

Manual assignment: Plan the number of rooms and number of participants per room; see next slide for more info.

Tip: Osher Study Leaders have found that 4 people per room works well.

Note: Clicking ‘Create’ does NOT open Breakout Rooms, it takes you to the next setup step.

Breakout Rooms Setup - Automatic Assignment

When you click ‘Create’, a new panel opens that will show either:

  1. For manual assignment, a list of rooms only
  2. For automatic assignment (as shown to the left), a list of rooms and rosters for each room

Breakout Rooms Setup - Manual Assignment

Manual Assignment:

To manually assign class members to specific breakout rooms, click the ‘Assign’ button next to the room name. A checklist will appear - place a check mark next to the names of the class members you wish to assign to that room.

Once you have started adding people to each room, the ‘Assign’ button will change to reflect the total number of people assigned to that room.

Breakout Rooms - Re-assigning Participants

After the initial set-up, you can move participants to different rooms. Hover over any participant’s name to access the ‘Move to’ and ‘Exchange’ tools.

To move one participant at a time, click ‘Move to’ and then click on a new room from the pop-up list.

To exchange two participants from two different rooms, hover over the first participant’s name, click ‘Exchange’, then click on the name of the second participant. They will immediately change places.

Breakout Rooms Setup - Options

The Options button on this panel allows you to:

  • Impose time limits
  • Provide a countdown clock to alert room members that rooms will close
  • Move participants into rooms automatically
  • Add a Room

Breakout Rooms Setup - Options

The Recreate button allows you to start building rooms from scratch.

The Add a Room button allows you to add a room without altering the current room rosters. (You can change rosters after adding rooms.)

You can Rename a room or Delete a room.

When settings are complete, click Open All Rooms to begin the Breakout session.

Breakout Rooms - Participant Status

Once the Breakout Rooms are

In Progress you can:

  • Broadcast a message to all

  • Join a specific room
  • Check that each participant joined the room (white vs green dot)

  • Close All Rooms (A countdown clock shows participants that rooms will close in 60 seconds)
