AV Rules & Restrictions

  1. The judging chair (or whoever is randomizing audition videos if not them) cannot be on the audition video viewing panel for the team selection process.

​

  • An audition video judge may not be a roster member of any raas-garba team (i.e., dancer, manager, or any other affiliation) in the 2024-2025 season.

​

  • An audition video judge may not be (previously or currently) affiliated with a team that has applied to that competition.

​

  • Audition video viewing panelists and judging chairs are not allowed to disclose any information about teams’ audition tapes or other sensitive information to anyone outside of the other audition video viewing panelists or Raas All-Stars.

​

  • An audition video judge is not allowed to judge for the competition they are audition video judges for.

  • An audition video judge may only judge audition videos for 1 competition.

AV Rubric

  • Guidelines:
    • Raas All-Stars XVII will follow a standardized rubric for viewing audition tapes for selecting teams to perform at bid competitions

    • Overall Impression
  • Artistic elements will not be judged

Qualifications for AV Judging

  • All board members of a Raas All-Stars XVII bid competition are permitted to judge the audition tape videos. It is up to the judging chair to ensure that the below criteria are met and disclosed to RAS.
    • A minimum of 5 judges and a maximum of 10 judges must be held for each competition
    • The names and emails of each judge will be required. These must be filled out in the sheet to be provided later.
    • An audition video judge may not be on a roster member of any team (i.e., dancer, manager, or any other affiliation)
    • An audition video judge may not be (previously or currently) affiliated with a team that has applied to the competition

Confidentiality

It is imperative that Judging Chairs keep confidentiality!

  • DO NOT MAKE A COPY OF YOUR JUDGING SHEET
    • If certain sheets are locked, that is intentional. If you are confused, please reach out to us.
  • Please make sure to keep the teams’ videos to only those designated to view and handle them (you)
    • Competition directors and other board members should not have access to these AVs!
  • Sharing confidential information with anyone not in the viewing room can qualify a competition for losing bid status

  2. Notify us when AV viewing will take place November 3rd 11:59pm CST
  3. Submit “Team Viewing Order RAS XVII” November 12th 11:59pm CST
    1. Done prior to viewing (verify that your competition was able to receive all AV videos)
    2. Is the order for the first round of viewing
  4. Have Audition Video Viewing Completed November 22nd 11:59pm CST
  5. Submit the Top 8 teams to Raas All-Stars November 23rd 4:00pm CST
  6. Upload Individual Team Rubrics December 8th 11:59pm CST

AV Viewing Guidelines

  • Viewings will be done in a systematic process with 2 sets of viewings with random ordering of teams
    • The first viewing session will be for all teams that have applied to your competition
    • The second viewing session will be for your competitions top 15 audition videos
    • Only judging chair of each competition will know the identities of the teams being viewed
      • Judging Chair cannot be a judge for the Audition Video

Step 1: Download Audition Videos from Ekta

Step 2: Upload each Audition Video to Google Drive, then rename each Audition Video to “Team X”

Step 3: Link the now renamed video files to the next column

Step 4: Copy over the now renamed links into the team viewing order sheet, make sure that the renamed links are copied over, so it does not have the team name in it November 3rd 11:59 CST

AV Viewing Day Runthrough

Completed by November 22nd 11:59pm CST

  • Judging Chair will play all audition videos based on the order that was set in the Team Viewing Order RAS XVII Sheet
  • AV Judges will score each teams video
    1. Reminder: AV Judges will not know what team is being played, only the judging chair knows
  • Conduct a second round of randomization for Top 15 Teams
  • Conduct a second round of viewing and judging for the Top 15 Teams
  • Final rankings are set and Judging Chair will finalize list before submitting to RAS
