Conversion Weekend Update

  • This weekend BIDMC hit an important milestone in our Epic journey. 
  • Over 300,000 future outpatient appointments were automatically converted to Epic! 
  • At the same time, many of our colleagues worked over the weekend to help transfer an additional 35,000 appointments to the new system.
  • Thank you to our Patient Access & Call Center Team who helped with weekend efforts for HCA.
  •  Starting this Monday, our scheduling and registration teams are working in Epic for all visits taking place after June 1. 
  • Please join us in thanking this team for helping us reach this very important milestone.

  • BIDMC wide scheduling access issues
  • Is often a typical concern during initial, soft go-lives
  • Scheduling team members: please submit a service now ticket for any access issues and report concern to your supervisor/manager
  • Access issues are being worked by the Service Now Team in real time and submitting service tickets helps with reporting and tracking purposes
  • In the interim, staff are tracking check out sheets and patients can also outreach to the Call Center

  •  We want to thank the Scheduling Management Team for reviewing provider templates, hold times, and accuracy between CCC and Epic to ensure it is readily available for staff to schedule. PMs and our Scheduling Management Team are working hard and doing everything possible to avoid rescheduling patients. 
  •  If you are experiencing any discrepancies on your schedule don't hesitate to contact schedule management team HCAScheduleManagement@caregroup.harvard.edu we can review and make the necessary changes. We ask that everyone be patient with the scheduling team as we review ALL MDs, NPs, Residents, and Sub-Specialties (Hypertension, weight loss, Pharm, BH and SW) templates within HCA.
