Two things I should start right now:

  1. Have an infrastructure for Program Monitoring and Activity Tracking
  2. Have a system (internal or another system such as STARS) to record the activity data
    • Do I have to use STARS? No.
    • Can I use my own activity recording system? Yes.

What will I need to do?

  • 1: Create an activity tacking system
    • Establish a consistent format for tracking activities
  • 2: Communicate expectations - who is doing the record keeping?
    • Examples- is there a designated person? 
    • Is there a designated staff member who gathers activity data for different events and enters activity logs?
  • 3: Commit to reviewing data periodically 
    • Are data being captured regularly/accurately?
    • Identify improvements. Are activities needing adjustment?
  • 4: Report on annual progress to CDE

Setting up your tracking infrastructure-TPYE�

Identify personnel who will be responsible for collecting activity data and reporting

      • Designate a person(s) responsible for data/activity tracking at the district/site level
      • Eliminate duplication of effort

What if there are multiple site coordinators?

      • Personnel well connected to other staff

Think about who will be the top people to get data from staff?

      • Incentives/recognition

Recognize good work

Shoutouts, credit, stipends

Provide clear structures and trainings for staff �

      • Do the designated data personnel have the required training and access to the recording system?
      • Do I have training modules as necessary?
      • How often will the personnel collect and record data?
      • Who do they go to for questions?

Schedule regular check-ins (monthly or as required)

      • Review data entered periodically
