Logistics

  • All meetings start at the top of the even hour
  • All meetings are 90 minute speaker discussion, with speakers sharing for ~40-45 minutes
  • 30 minutes are reserved between meetings for fellowship, clean-up, etc.
  • Groups should plan to arrive 30 minutes before their meeting start time to set up and for fellowship

Roles

Responsibilities

Secretary

  • Each Home Group provides 1 secretary
  • Focuses on attention to recovery format (secretary script) and group participation

Speaker

  • Each Home Group provides 1 speaker
  • Speaker shares their experience, strength, and hope for 40-45 mins

Readers

  • Each Home Group identifies 3 readers:
    • How it Works
    • Twelve Traditions
    • Promises

Greeters/Monitors

  • 2-3 people to ensure meeting runs smoothly which includes:
    • Greet people at the front door
    • Help serve coffee
    • Keeping the church clean (food table, trash, kitchen, etc)
    • Directing individuals to the correct restrooms
    • Ensuring individuals do not enter the kitchen

7th Tradition

  • 1 person to collect 7th tradition contributions
  • 7th tradition contributions, literature fees and H&I donations should be placed in the respective envelopes provided with indication of $ for each and then placed in the locked box at the end of each meeting

Literature Person

  • 1 person to collect fees for Big Book and 12 Steps & 12 Traditions
  • Note that literature will be provided by the Alkathon

Rules of the Church

Capacity: Maximum capacity is 100 people

Restrooms

  • The restrooms to be used are located outside on the side of the main church. The restrooms in the hall cannot be used.
  • The Alkathon is responsible for clogged toilets, sinks and providing toilet paper, paper towels, and hand soap

Cleaning

  • Alkathon is responsible for cleaning which includes sweeping, mopping, and cleaning of the fixtures of the hall, bathroom, and kitchen

Garbage

  • Alkathon is responsible for removal of all garbage and all garbage must be removed from the property immediately after the Alkathon
  • During the event the garbage should be stored in the rented dumpster or placed in the dedicated garbage area

Smoking

  • We have agreed to refrain from smoking, including cigarettes or vapes, anywhere inside the building or on church property within 20 feet of the entrance to the Alkathon. Please dispose of your cigarette butts in the cans provided. Do not smoke on the playground or in front of the dwelling areas across the street.

A Few More Things…

�The Alkathon will also provide coffee, tea, condiments, plates, utensils, coffee cups, and other paper goods.

Table ready food donations are appreciated, bring any utensils needed.

The group should take responsibility for maintaining the food tables during the meeting.  

Following each meeting, group members are responsible for removing any / all remaining food and emptying the trash. Please keep an eye on how long things have been sitting out!�

Kitchen Details

Also different this year - the stove and oven in the kitchen is available to us for use. 

�Limited food preparation in the form of carving/slicing/heating/re-heating will be available. The kitchen is small so Volunteers only please.

Suggestion – keep an eye on creamer supply, etc. If you see levels are low, please check the inventory room. Or, if someone from your meeting purchases half & half etc., you can submit a receipt for reimbursement. �

The next slide details our idea for keeping the food fresh and safe for eating.

Food Safety: please timestamp your food

  • Please label food donations with a timestamp (aka a piece of tape with the time written on it) when placed on the table

  • White tape and markers will be provided to label food donations

  • Note that we do have full command of the kitchen and will be able to heat and/or reheat food items. Food thermometers will be available.

  • We have limited use of the refrigerator, coolers will be in the back for perishable food donations

  • Please be respectful of the Church property and help to keep the kitchen area clean and food tables safe.

2025 - 2026 Alkathon Committee Nominations

Nominations will be held on Thursday, Dec 26, at 1:30PM at the Church. If you are interested in joining next year’s committee, please fill out the forms that will be available during the Alkathon or sign up online at alkathonsmc.org.

Roles

Responsibilities

Online Lead

Creates project plan, manages the website and email, creates group/service participation forms, manages the lottery, creates/delegates flyers. 6 months sobriety requirement.

In-Person Lead

Organizes logistics for in-person meetings including, but not limited to, coordinating with the Church, working with volunteers on gathering supplies, open and closing the Church throughout the Alkathon, etc. 6 months sobriety requirement.

Treasurer

Responsible for overall budget for the Alkathon. Creates supply inventory. Receives final funds and distributes accordingly. 2 years sobriety requirement.

Literature Person

Coordinates literature supplies (Big Book, 12 Steps & 12 Traditions, etc.) for the Alkathon. Receives funds for literature purchased. 6 months sobriety requirement.

Volunteer Coordinator

Coordinates volunteer sign-ups and ensures volunteers are aware of roles and responsibilities. 6 months sobriety requirement.
