CutTime is our program’s awesome digital assistant! It is super mobile web friendly and does everything that a native mobile app can do, without the installation and update hassles.

We use it to manage our communication with you (announcements, events, volunteer jobs)

We use it to manage our financials with you (view and pay your account balances)

We use it to manage our paperwork with you (view and sign documents)

We use it to manage our inventory assignments with you (see what instruments, garments, library and/or equipment items you have)

CutTime is made for artists, by artists. Their team is comprised of former fine arts educators, booster leaders, and they are constantly improving how CutTime works. We expect more new features and cool enhancements as we roll through the program year.

Why are we using CutTime for our program? In a nutshell - to make our busy lives much easier so we can all focus more on learning and performance as artists in our program!

Accessing CutTime is pure magic as you will soon see with their ‘Magic Link’. Gone are the days where parents-guardians shared IDs/Passwords, struggled with forgetting and getting locked out at the worst possible moment. AND waiting on me to reset them for you.

You also can see everything you need in one simple page. You don’t have to go clicking all over the place to find what you need to know and do. It all comes to you via Magic Link.

I’m especially excited about the reminder capabilities CutTime provides for us around 2 very important areas:

Keeping up with your account balances each month (you just pay down the balance - it applies towards the cost items that are due the soonest!)

Making sure you know about volunteer jobs you signed up for the night before

CutTime will be bringing more handy reminders like these to us in the near future - which eliminates the need for a separate app like Remind or Band App

Believe me, your personal CutTime Magic Link will be your new best friend. Students and Guardians EACH have their own personal Magic Link to log into CutTime. No sharing!

You can bookmark it for easy reference on your desktop or mobile web browser, or even add a shortcut on your mobile phone screen just like you would have an icon for a native mobile app

If for any reason, you cannot locate your Magic Link, you can go to the CutTime app and request for it to resend to you. Important to note - Parents-Guardians have a spot to request a resend and Students have another spot. You can find these links by going to our Program Website as well as the Help Article listed in your How to Use CutTime Cheat Sheet that I will email out to you.

A word about CutTime’s method of using SMS text versus email. I was a bit skeptical of this at first I’ll admit. But now, I’ve seen how powerful and wonderful their approach is for us - let me tell you why:

Instead of sending you an email that gets lost in your inbox and sending you 2 additional text messages, a Facebook post, and another email to read the message - you just get the 1 from me via SMS Magic Link
Instead of digging through an email inbox trying to find a specific email from me - all of your announcements, events are listed in chronological order in your Parent Portal - so if you miss the one - you can always see it as part of the list when you log in with your Magic Link
I typically send 2-3 announcements per week. I’ll aim to schedule them to go out to you on X and X days at Y times so you’ll know to expect them.
If your student does not have phone or restricted use on their phone - no worries, they’ll receive Magic Link notifications via the email I have on file for them.
Similarly if for some reason a Magic Link notification is not delivered to your phone number, I’ll know and also the system will automaticaly resend it to the email address we have on file for you. We want to keep your email inbox clutter free as possible.

Then you can also add your parent / guardian details

You and your child will need to complete the Registration through CutTime. If your child has NOT YET registered, then scan the QR code you see on the screen to access the registration form. Enter their details first and click on the green Sign Up button. You will then see an option to add your information. You can add multiple guardians as needed for your child.

What You Need to Do Next with CutTime

Watch for your Welcome Message from CutTime with your personal Magic Link

Authenticate using 2-factor code to confirm its you

Go to your Portal Page

Bookmark your Magic Link

Subscribe to Events

That’s it! I will be sending out your Welcome Message with Magic Links shortly. The first time you receive the Magic Link from CutTime, you’ll need to authenticate yourself through what is commonly known as ‘2-factor authentication’. Basically fancy talk for getting a unique code via text that you type into confirm your identity with CutTime and our program. Takes 5 seconds and once completed - you are IN!

Go to your Portal Page to see announcements, events, starting account balance with the costs for the season. As you scroll down the Portal Page, you will see a spot that says ‘Student Calendar’ - tap on that and you will then see a screen that says ‘Add Events to Your Calendar’. Follow the instructions to sync your personal calendar so it has the relevant events from our program.

Make sure to bookmark and add a shortcut to your Personal Magic Link on your mobile device. Instructions for that are also on our website and you can view the help article on this topic from the How to Use CutTime Cheat Sheet that I will send you this evening.
