SRT Process Overview (part 1 of 2)

  • The UMN PeopleSoft system automatically feeds data into the Student Rating of Teaching (SRT) system: students, instructors, course sections; department contacts; report readers (e.g., department chairs)
  • The SRT team sets up projects in the SRT system shortly after start of term
    • Usually set up whole term at once including short, half and full term
    • Occasionally, short courses are set up first, then rest of term later
    • Email (via Google Group) to tell dept. contacts the project is ready for review
  • Department contacts review setup in the SRT system; make corrections to PeopleSoft
    • Correct courses, instructor(s) are listed
    • Correct data collection dates (per class meeting pattern)

Note: If changes are made in PeopleSoft it will take a day or so for the SRT system to update accordingly.

  • All SRTs are being administered online
  • Data collection occurs, ending on last class meeting day before finals
    • Students receive email notifications that their SRTs are open:
      • The first day of data collection, reminder email, and final reminder
    • Instructors and dept. contacts receive email on first day of data collection
    • Data collection windows shown on the following slide
  • SRT (PDF) reports are published in the SRT system approximately 3 weeks later
    • Instructors see results for their own courses
    • Department chairs see results for their unit’s courses
  • Aggregate results for the course items are updated in April, November for preceding terms (Morris, Rochester, and Twin Cities only)

Department/Unit Contacts: Responsibilities

  • Before term begins, ensure courses are set up in ECAS, Peoplesoft, etc.

Things to note

  • Data is tied directly to the course database
  • SRT responses must have all instructors linked to the course with an instructor role of Primary Instructor (PI)/Secondary Instructor (SI) or TA in the PeopleSoft course management database before data collection starts in order to collect the data.
    • If anyone is listed as a “Proxy” in PeopleSoft for a course they will not show up in the Student Rating of Teaching (SRT) system, and thus will not have any SRTs completed by students for them.

13 of 15

Things to note (continued)

  • Courses are “owned” by the DEPTID associated with the course (CLASS_NBR) in the course database
  • Secondary access to view courses in the Student Rating of Teaching (SRT) system can be immediately granted at the subject level
  • Cross listed courses are available to to all units with students in the “classroom”
  • Default settings exclude SRT administration for the following types of courses:
    • Dissertation, internships/externships, and many practicum courses
    • These courses can be added upon request
    • Contact srt@umn.edu to request such additions

SRT Report Availability

  • SRT (PDF) Reports are available to instructors and SRT department report viewers in the Student Rating of Teaching (SRT) system approximately three weeks after the last class meeting date.
  • This is for uniformity across terms, accounting for fall term calendar (study day, finals week, and 2 university holidays after the last class meeting), as well as the standard 3 days to submit final grades.
