How come my Outlook calendar & Google calendar aren’t playing well together?

We are currently transitioning over to GSuite, and while all of us have the productivity apps, most of us DON’T yet have access to Gmail.
ACTIVITY:

Who on the call uses Outlook for meetings & emails? Raise your hand.

When the gmail push is completed the google calendar will work properly
The extension we need to make the two calendars work seamlessly together isn’t available for us therefore if you are scheduling a Meet from Google Calendar you’ll notice they don’t populate on YOUR Outlook calendar
In the next few slides we will review one of a couple ways to schedule a Google Meet and have it appear on EVERYONE’s Calendar.
This is just the work around until we get gmail integrated companywide, and there are other ways to do this.
If you already have been granted gmail then congratulations you are ready to go - I’ll show you the process to set up a meeting on the google calendar also

Step 2:

Open your google calendar by going to the menu [CLICK] in the upper right corner of google.com [CLICK] then click on the calendar icon.
[CLICK] click the “+Create” icon in the upper left corner of the screen on the calendar

[CLICK] Add a Title
Change the date and time to match your outlook appointment
Do not add guest to this google invitation unless you have gmail, if you do then go for it!

If you send the outlook calendar reminder and the google meets to the same recipients they will have two invites show up on their outlook calendar
But for our example today, we do not have gmail - so we won’t be adding recipients to the Google Meeting

[CLICK] Click add rooms, location or conferencing, it will pop open and then you will choose conferencing
It will generate the “google meets” information - [CLICK] click the tiny arrow on the right to see the “meets” information [click] then starting in blue “Join a Hangout” drag your pointer and highlight all the information down to and including “Pin”
[CLICK] Copy and paste this info into the body of the outlook calendar appointment you still have not sent yet.
[CLICK] Click “Save” on the google meets appointment
[CLICK] And “Send” on the Outlook appointment

If you have to reschedule this meeting you will have to move the invite in both calendars

Let’s Review why is this the best solution?

You won’t receive two invitations to the same meeting
If you schedule the meeting in only google calendar it will deliver the invite to your attendees but it will not schedule itself into your outlook calendar; leaving this time open which may result in double booking or it may cause a missed meeting

Muting and Unmuting is very important function for collaboration
[CLICK] After you click the meeting link, you will be taken to a landing page before you join.

Here, you can make the decision to join the meeting with your camera on/off or the mute on/off

If you want to set up your audio through a headset or your computer mic/speakers click on the 3 dots on the bottom right [CLICK]
This will also give you some options for switching cameras (if you have 2) turning on captions and settings [CLICK]
Once the settings pop up is open you can switch between your Audio and Video options [CLICK] - this is where you can choose between your headset or computer speakers - make sure you test them; when you speak, the 3 dots next to the mic should move and when you press test you should hear a chime.
If you change the microphone or speaker option please give it a min and test it again - sometimes it takes a second for the switch to happen.
Best to do this a few minutes before your meeting to make sure the set up is correct

[CLICK] When you click the 3 dots in the bottom corner you will see these are some of the same settings - so, for example if your headset runs out of battery you can quickly use the settings to change it.
From this menu you can also change your layout or use full screen and use a phone for audio. Another great option you see in this menu is the record meeting [CLICK] - if you need to replay the meeting or send it to someone to review later this can be done from this feature.
Click on the “record meeting” option and a [CLICK] a pop up will appear asking for consent to record after you hit accept [CLICK] the recording starts when the red “REC” in the upper left corner is visible red. It’s worth noting that this feature will NOT ask the other participants for consent; they leave that up to YOU.
To stop the recording [CLICK] click on the “stop recording” function on the menu [CLICK] a pop up will appear and tell you the location of the recording and finally you will hit the stop recording to finish the end of the recording
Don’t expect the video immediately but you will get an email when it’s been added to your drive - you can find it in your drive in a folder named [CLICK] “Meet recordings”

Other options under participants: are a pin, a microphone and a circle with a line through it

The Pin :

Click the Pin icon in a participant's thumbnail image to pin them to the top of the list.

The microphone:

To mute or unmute yourself, click mute at the bottom of the screen
*Important to note if you have more than (4) participants in a meeting everyone will log in on mute and they will need to unmute themselves. If there is just a few peer to peer they can chose to enter unmuted.
[CLICK] This will appear by clicking anywhere on the screen when the participant window is closed
*privacy reasons, you cannot unmute another person. Ask the participant to unmute their audio.
*Important to note: Anyone on the call CAN mute ANYONE else.

The final Icon: (circle with a line through it) is to remove someone from your meeting

A participant from the domain that organized the video meeting can remove another participant, if necessary.

Presenting is easy on Google Meet - just remember ANYONE can present on the call
In the bottom-right corner select present now

select your entire screen,
an application window,
or a Chrome tab which is best for video and animation- select share

[CLICK] If you are a participant and you don’t see the screen share/presentation

look for the presentation icon on the participants list

As a presenter you will see the

“you’re presenting to everyone” on the meet tab
and the “stop presenting” button which is right below that message

[CLICK] When you present a chrome tab you will see

the blue square at the top and the message at the top left.
Your participants can only see the tab where you see this message
if you open up another tab and want to share that one instead it will have an option that says “share this tab instead”

Don’t forget, if you are sharing your entire screen - make sure you’ve properly cleaned up your virtual workspace!
[CLICK] And when you are ready to stop presenting then you just click “stop presenting”
