ICE: New Process for Scheduling/Changes

House Ice Scheduler – Heidi Henry (housescheduler@mvihockey.org)

  • Avario is our contracted scheduling partner and ice source of truth (Do NOT contact Avario directly)
  • Use the House Hockey Ice Schedule Change Request Form for ALL updates to your team’s schedule that involve ice
    • Include as many details as possible in your request: team, opponent, rink location…
    • Expect 24 hour turnaround
  • The season schedule will be released in three phases to align with key league milestones and allow for necessary adjustments as rosters and matchups finalize. Please forward to your coaches and managers.
    • Phase I: Schedules will be posted for ice until Sunday, November 9. This initial phase includes practices and pre-scheduled events to get teams up and running.
    • Phase II: The next block of the schedule, covering November 21 through the end of the month, will be released once the Girls High School teams are finalized. This allows our association to adjust 15U rosters and schedules as needed based on high school tryouts.
    • Phase III: The final round of scheduling, covering December through the end of the season, will be published once Junior Gold game schedules are finalized, likely early December. At that point, we will finalize all remaining House ice through the end of the season.

ICE: SE Calendar Update Guidelines

  • Be sure to notify the House Ice Scheduler of these changes/updates.

  • After making any SE Calendar updates, use “Notify Team” in the SE App to inform your team.

  • Ask first — check with the House Ice Scheduler and/or House Manager Coordinator before removing or deleting any calendar item.

Volunteer Hours and Fundraising

  • Volunteer Policy located on MVI Website
    • 10 Hours of Volunteer Hours are required for each family from Mite Evals/8U to a final year 15U/Bantam
    • Volunteer hour opportunities are emailed first and then released on our website
      • Examples: MVI Hosted Tournaments and other events
    • A $600 per family credit card authorization is assumed by virtue of the family’s MVI Hockey Registration
    • If required hours are not met, the family will be charged the prorated amount of the missing hours
    • No volunteer requirements for Mini-Mavericks, Mite 1 or 6U.

  • Each Team is given 40 hours to distribute amongst the coaches and manager(s)
    • Head Coach = 10 hours

    • Remaining 20 distributed amongst the rest of the coaching/manager staff

Development Training: Skills & Skating

  • Amy Udvig and Lindsey Merritt will be leading skating and skills sessions with all Mite Eval and 8U teams on Sundays two times per month November – February.
  • The focus of these sessions will be on level appropriate:
    • Skating skills (power, edgework, speed)
    • Stickhandling/shooting skills (especially puck protection and possession)
  • Although Amy and Lindsey are leading each session, coaches are asked to be on the ice to assist with instruction and player support.

We want coaches on the ice helping for this to help manage kids.

Development Training: Goalies

  • Find the Mite/8U SNGT schedule here: Mites/8U SNGT
  • Every 8U and Mite Evaluation team should send a goalie who will play in their games to Goalie Training each Sunday. Coaches are encouraged to attend as well.
  • Who should try/play goalie?
    • All players should try goalie at least once in practice.
    • Teams can have more serious goalies who rotate games (these players should rotate attendance at SNGT; 3rd graders who plan to play goalie at traveling can attend all sessions).
    • Goalies are part time at this age, no more than 50/50 mix
  • At travel levels goalies get coaching in practice and goalie training. We can also provide gear as needed.

BOWLING - Team Bonding Event

In the next two weeks after this meeting please schedule an Off- Ice Event with your team.

This is so important for the kids to start getting to know each other, giggling, and getting to know each other off the ice. Also, a great way for parents, managers, and coaches to get to know each other too.

We have partnered with Flaherty’s Bowling for an *MVI Hockey Team Special*

$7/person player for an hour of Bowling includes shoe rental.

Call and ask for Keith - and tell him your calling for the � MVI Hockey Bowling HourThis cost will come out of your budget. �Anything additional like pizza/pop pay out of pocket.

Guide for bowling: � 5-6 kids can bowl one game in one hour on one lane.

Goal: Pair a traveling team with a house team to foster community across hockey levels.

Budget Management

  • Team Manager and Head Coach determine how utilize the Team Budget
  • Each team will receive a Base Budget for standard team expenses which is managed by the MVI Treasurer
    • Ice time, uniforms (jerseys/socks), team gear, league fees, association fees, etc.
  • Team Manager and Coach will manage a Team Budget to use for additional expenses (discretionary items)
    • Additional jamborees, more ice time, scrimmages, team parties, etc.
  • Final Team Budget Submission
    • Finalize and submit Team Budget to MVI Treasurer in Late March-Early April
    • Fiscal year ends at the end of April

  • Receipts and invoices emailed to MVI Accounts Payable team:
    • Boys coaches, managers and team expenses should be emailed to: boysap@mvihockey.org.
    • Girls coaches, managers and team expenses should be emailed to: girlsap@mvihockey.org.
  • All reimbursement requests must have the following information:
    • Team name and cost description in the email subject line (Example: Bantam A - Team Party - Inv# 34887)
    • Attached copy of the receipt/invoice (pictures or scans are acceptable)
  • Proactive eChecks for away scrimmages can be sent to opposing managers or can be sent to MVI managers made out to opposing managers/referees.
    • Please notify Accounts Payable 1-2 days prior to away scrimmage dates
  • We aim to provide reimbursement within 1-3 days
  • Reimbursement via Deluxe eCheck
  • Expenses must be for entire team only
