Grant Application: PyCascades 2023
This form is for Grants allocated to PyCascades Attendees, Speakers, and Sprint Coordinators.

How the grant works: if your grant request is accepted, you will need to provide receipts after the conference. The Python Software Foundation will issue an electronic disbursement of funds within 7 business days after all of the following: completion of the conference, the reimbursement method is provided, and receipts are submitted. We will be reaching out with more information regarding the best way to submit your receipts as well as arranging some time at the conference for you to meet with the financial aid committee to verify your identifying information. We will ask for an ID, and can offer reimbursement in the form of a check, PayPal or wire transfer.

Attendees, Speakers/Sprint Coordinators All: Complimentary tickets In-Person: Travel (Airfare), Transportation (Uber/Taxi, Parking fees, etc), Lodging, Visitor Visa costs, Childcare, Food (per diems)  Remote: AV tech (Equipment needed for speakers), Food (per diems)

In-Person Main Conference Days

Grant Application (Attendees, Speakers, and Sprint Coordinators)
For PyCascades 2023, we have separated cost coverage for In-Person and Remote attendance for Attendees, Speakers, and Sprint Coordinators. Please review the below cost breakdown
** COSTS Coverage for IN-PERSON Attendance (Attendees, Speakers and Sprint Coordinators) **

Costs covered by the Grant award for in-person attendance (Attendees, Speakers, and Sprint Coordinators) include:

  • TRAVEL
Airfare: tickets and baggage fees for travel to/from the conference. 

Transit receipts: taxi, bus, train, and mileage to/from airport, bus station, train station, lodging or conference center, and parking at these locations.

Driving: We will be following the 2022 IRS mileage rate. Please be sure to provide a PDF or screenshot of the mileage for your trip. Please do not submit gas receipts.

  • LODGING / ACCOMMODATIONS
Lodging: Hotels, motels, hostels, AirBnB, etc. for the days you attend the conference. Reimbursement is limited to the shared cost if the room has more than one occupant.

  • FOOD (Per Diem)
Covers food during the days you attend the conference plus a travel day at the beginning and end of your trip at a fixed rate. Please do not upload food receipts.

Per diems are automatically granted to you based on the days that you are attending PyCascades, plus up to one travel day before and after conference attendance.

  • CHILDCARE
PyCascades offers reimbursement for off-site childcare providers during the conference days. 

  • CANADA VISITOR VISA / FEES
If you are a non-Canadian national and must have a visa to attend the conference.

** Costs Coverage for REMOTE Attendance (Speakers and Sprint Coordinators only) **

The costs covered by the Grant award for Remote attendance (Speakers and Sprint Coordinators only) include:

  • AV SETUP

Equipment setup for Speakers and Sprint Coordinators only. Will be reviewed on a case by case basis.

  • FOOD (Per Diem)
Covers food during the days you attend the conference plus a travel day at the beginning and end of your trip at a fixed rate. Please do not upload food receipts.

Per diems are automatically granted to you based on the days that you are attending PyCascades, plus up to one travel day before and after conference attendance.
