Women in Machine Learning (WiML) 2020 Organizer Application (NeurIPS & ICML)

WiML (

) is an organization dedicated to the advancement and promotion of women in machine learning.
This year, we have a single application for an opportunity to organize several events. The application is divided into 3 parts:
1) WiML Workshop at NeurIPS 2020
2) WiML "Un-Workshop" at ICML 2020
3) WiML Small Events at ICLR, COLT, CoRL 2020
You will be asked to indicate which event(s) you are applying to organize. More details about the events are provided below.
Organizers must self-identify as women or non-binary, and ideally have attended and/or volunteered at a previous WiML event. If selected as a WiML organizer, WiML will cover your travel expenses to the event.

WiML Workshop @ NeurIPS 2020 (main workshop)
WiML's flagship workshop, now in its 15th year, is a full-day workshop with talks, reviewed abstracts, and structured mentoring. Last year's workshop:

The duties of a WiML Organizer for the workshop @ NeurIPS include:
· Selecting invited speakers
· Overseeing submission of abstracts
· Raising funds from corporate sponsors
· Reviewing submissions and selecting presenters
· Making logistics arrangements with the venue
· Maintaining the website
· Managing event budget
· Publicizing the event
· Organizing mentoring program
· Reimbursing travel funding participants
These duties are shared across the organizing team. We envision that each organizer will have a leadership role in one of the following domains:
1. General Chair: Primarily responsible for coordinating the 2020 Organizers and the promotion of the main workshop event. This includes serving as the main point of contact between the 2020 Organizers and WiML Board as well as managing the workshop email account, social media pages and coordinating WiML Organizer meetings.
2. Senior Program and Mentorship Chair: Primarily responsible for choosing the invited speakers, recruiting area chairs for the reviewing process, identifying topics for the mentoring sessions, and identifying excellent mentors for the mentoring and networking sessions.
3. Student Program and Travel Chair: Primarily responsible for soliciting abstracts for the poster session, orchestrating the abstract reviewing process, and overseeing travel funding applications. Selects and communicates with student speakers.
4. Finance and Sponsorship Chair: Primarily responsible for coordinating fundraising efforts and handling sponsorship. This chair is in charge of providing information to major sponsors and filling out the appropriate vendor forms (if required) to receive funds.
5. Logistics Chair: Primarily responsible for coordinating with NeurIPS organizers and staff in charge of catering, physical space and media assets (projectors, microphones, poster boards). This person should be prepared to arrive early to the events to make sure all local arrangements are in order.
All organizers will jointly share responsibilities, as the workload on each aspect varies throughout the year, and we are all here to help each other succeed.
Time commitment: Organizers should commit to the role from March 2020 to January 2021, and should expect to be on-call in 2021--2022 for any questions from the following year's organizers. From around June 2020 until the workshop in December, organizers should be prepared to spend between 5 and 10 hours per week on their WiML responsibilities.

WiML "Un-Workshop" @ ICML 2020 (new event)
WiML is piloting a new event format in 2020, with this "un-workshop" being different in style from WiML's flagship workshop @ NeurIPS. Inspired by events such as the Self-Organizing Conference on Machine Learning (

) and Pan-Canadian SOCMLx (

), we envision this "un-workshop" being more interactive and decentralized, where participants drive the event agenda and conversation.
The duties of a WiML Organizer for the "un-workshop" @ ICML include:

WiML Small Events and Volunteering
We are additionally looking for organizers for smaller WiML events, such as lunch/dinner at ICLR, COLT, CoRL, as well as longer-term volunteers who are interested in assisting the WiML board with organizational activities (e.g. social media, website, impact evaluation, etc.).
------ Small events ------
WiML small events at ICLR, COLT, CoRL are typically a lunch or dinner event, with informal mentoring and networking. Example of previous event:

Typically we seek one organizer per small event, whose duties include:
· Sourcing the venue (typically a restaurant near the conference location)
· Making logistics arrangements with the venue
· Managing event budget
· Publicizing the event
------ Volunteer to the WiML board ------
Since WiML is an event-based organization, primary opportunities for getting involved with the WiML organization are as WiML organizers. However, WiML has started a longer-term volunteer program where volunteers commit to assisting the WiML board with a project for 6 months. Example projects (non-exhaustive): managing social media, maintaining website, performing impact evaluation, designing visuals, database management, etc. If you have a particular skill that might be helpful to WiML, we are also interested in hearing from you! Volunteer positions open to all genders.
