Department of African American Studies student lounge/conference room reservation request
Students may request to reserve the Department of African American Studies student lounge or our second-floor conference room for student organization meetings and events. Please submit requests no later than one week in advance. We will review your request and contact you. Confirmation is dependent on space availability. 

If you need to cancel or postpone your event, please notify us as soon as possible. 

Hours of operation: Our lounge is open to students from 9am-5pm, Monday-Friday. Requests to use the lounge outside of regular business hours will be considered. NOTE: Our building is locked outside of regular business hours. If you have a confirmed reservation during a time when the building is locked, a faculty member will let you in. The front entrance has a doorbell.

Reservation cancellation policy: Your organization can cancel a reservation up to 24 hours before a reserved time and it will be processed without penalty. If your organization cancels a reservation 24 hours or less before a reserved time, you will not be permitted to reserve the lounge for the remainder of the semester. Please be advised that  if no one associated with your event arrives within 30 minutes of your start time, your reservation will be automatically canceled.

Recurring meetings: If you want to reserve the lounge for recurring student organization meetings outside of business hours. Please re-submit the form for each meeting date.

If you need to reach us: During business hours (8am-5pm, Monday-Friday), inquiries can be directed to Christian Thompson at thompsonc19@vcu.edu or 804-828-1371. If you have a weekend or evening event and need to reach someone outside of business hours, please email the faculty member who has agreed to coordinate your access to the building.

- Please respect the reservation schedule and wrap up meetings and events in a timely manner.
- Please do not remove books or TV remotes from the lounge.
- Unless other arrangements are confirmed, faculty advisers should be present for recurring student organization meetings that take place outside of normal business hours. This is not necessary for one-time events.
