Pre/Post tours are a key element of OWAA's annual conference as they can make a huge difference in the value that one of our media members can get out of the event. Thus, they're an important contributing factor in their decision to even attend conference. So it's important that we provide them good information about what they can expect in a tour - and what stories they'll be able to garner from it.
Good information also helps OWAA and the host agency manage and execute the tour in the smoothest, most efficient manager possible, which also ensures the attending media have a positive experience and come back with nothing but great things to say about their time in the destination.
If you are managing multiple tours, then you'll have to fill out this form once for each tour offered.
We also use this form to track the key details for the spouse/partner trips as well. While tours for our active media members are pre- and/or post-event, the spouse/partner trips occur during the actual conference.
It is expected that the tour host will provide:
- Single accommodations for each attendee (double for couples)
- Ground transportation
- Most meals
- All activities and excursions
- Ideally tips for guides too (but if that's not possible, please make that clear in the itinerary copy)
Some hosts are able to provide alcohol (even if just a drink or two per dinner) and some are not. Please also just make that clear in the itinerary so that attendees know what to expect.
It's certainly not unreasonable for a host to ask the media attendees to pay some nominal fee, if that's absolutely necessary. As these are media, it's ideal to keep any fees to an absolute minimum, if possible (and it helps with participation too. If there is a fee, please make that clear in your copy as well. Many hosts do ask for a fee for non-media attendees (such as spouses/partners or non-media members) and that's totally reasonable.
Please note that OWAA will manage all registrations for all tours. So do not include contact information in the actual promotional copy or itinerary. If an OWAA member approaches you directly to secure a space on a tour, please do not allow them to do so. Tell them to contact OWAA staff directly instead.
