2) Student Acceptable Use Policy
New technologies have become integral to the lives of children and young people in today's society, both within schools and in their lives outside school. The internet and other digital information and communications technologies are powerful tools, which open up new opportunities for everyone. These technologies can stimulate discussion, promote creativity and stimulate awareness of context to promote effective learning. Young people should have an entitlement to safe internet access at all times.
This Acceptable Use Policy is intended to ensure:
• that young people will be responsible users and stay safe while using the internet and other communications technologies for educational, personal and recreational use.
• that school ICT systems and users are protected from accidental or deliberate misuse that could put the security of the systems and users at risk.
The school will try to ensure that students will have good access to ICT to enhance their learning and will, in return, expect the students to agree to be responsible users.
Acceptable Use Policy Agreement
I understand that I must use school ICT systems in a responsible way, to ensure that there is no risk to my safety or to the safety and security of the ICT systems and other users.
For my own personal safety:
• I understand that the school will monitor my use of the ICT systems and email
• I will treat my username and password like my toothbrush – I will not share it, nor will I try to use any other person’s username and password.
• I will be aware of "stranger danger", when I am communicating on-line.
• I will not disclose or share personal information about myself or others when on-line.
• I will immediately report any unpleasant or inappropriate material or messages or anything that makes me feel uncomfortable when I see it online.
I understand that everyone has equal rights to use technology as a resource and:
• I understand that the school ICT systems are primarily intended for educational use and that I will not use the systems for personal or recreational use unless I have permission to do so.
• I will not try (unless I have permission) to make large downloads or uploads that might take up internet capacity and prevent other users from being able to carry out their work.
• I will not use the school ICT systems for on-line gaming, on-line gambling, internet shopping or file sharing.
I will act as I expect others to act towards me:
• I will respect others' work and property and will not access, copy, remove or otherwise alter any other user's files, without the owner's knowledge and permission.
• I will be polite and responsible when I communicate with others, I will not use strong, aggressive or inappropriate language and I appreciate that others may have different opinions.
• I will not take or distribute images of anyone without their permission.
I recognise that the school has a responsibility to maintain the security and integrity of the technology it offers me and to ensure the smooth running of the school.
• I understand the risks and will not try to upload, download or access any materials which are illegal or inappropriate or may cause harm or distress to others, nor will I try to use any programmes or software that might allow me to bypass the filtering / security systems in place to prevent access to such materials.
• I will immediately report any damage or faults involving equipment or software, however this may have happened.
• I will not open any attachments to emails, unless I know and trust the person / organisation who sent the email, due to the risk of the attachment containing viruses or other harmful programmes.
• I will not install or attempt to install programmes of any type on a machine, or store programmes on a computer, nor will I try to alter computer settings.
When using the internet for research or recreation, I recognise that:
• I should ensure that I have permission to use the original work of others in my own work
• Where work is protected by copyright, I will not try to download copies (including music and videos)
• When I am using the internet to find information, I should take care to check that the information that I access is accurate, as I understand that the work of others may not be truthful and may be a deliberate attempt to mislead me.
I understand that I am responsible for my actions, both in and out of school:
• I understand that the school also has the right to take action against me if I am involved in incidents of inappropriate behaviour, that are covered in this agreement, when I am out of school and where they involve my membership of the school community (examples would be cyber-bullying, use of images or personal information).
• I understand that if I fail to comply with this Acceptable Use Policy Agreement, I will be subject to disciplinary action. This may include loss of access to the school network / internet, detentions, suspensions, contact with parents and in the event of illegal activities involvement of the police.
As a Student please confirm you have read, understood and agree to the rules included in the Acceptable Use Policy Agreement. lf you do not sign and return this agreement, access will not be granted to school ICT systems.
I have read and understand the Policy and agree to follow these guidelines when:
• I use the school ICT systems and equipment (both in and out of school)
• I use my own equipment in school
• I use my own equipment out of school in a way that is related to me being a member of this school e.g. communicating with other members of the school, accessing school email, VLE, website etc.

As a Parent/Carer I give permission for my child to access the internet, VLE and Email systems in line with the terms set out in the schools Acceptable Use Policy (AUP)
3) G Suite
At The Priory School we use G Suite for Education, and we are seeking your permission to provide and manage a G Suite for Education account for your child. G Suite for Education is a set of education productivity tools from Google including Gmail, Calendar, Docs, Classroom, and more used by tens of millions of students and teachers around the world. At The Priory School students will use their G Suite accounts to complete assignments, communicate with their teachers sign into Chromebooks, and learn 21st century digital citizenship skills.
The notice below provides answers to common questions about what Google can and can’t do with your child’s personal information, including:
• What personal information does Google collect?
• How does Google use this information?
• Will Google disclose my child’s personal information?
• Does Google use student personal information for users in K-12 schools to target advertising?
• Can my child share information with others using the G Suite for Education account?
Please read it carefully, let us know of any questions, and then sign below to indicate that you’ve read the notice and give your consent. If you don’t provide your consent, we will not create a G Suite for Education account for your child which will impact their educational experience.
This notice describes the personal information we provide to Google for these accounts and how Google collects, uses, and discloses personal information from students in connection with these accounts.
Using their G Suite for Education accounts, students may access and use the following “Core Services” offered by Google (described at

• Docs, Sheets, Slides, Forms
In addition, we also allow students to access certain other Google services with their G Suite for Education accounts.
Google provides information about the information it collects, as well as how it uses and discloses the information it collects from G Suite for Education accounts in its G Suite for Education Privacy Notice. You can read that notice online at
You should review this information in its entirety, but below are answers to some common questions:
What personal information does Google collect?
When creating a student account, The Priory School may provide Google with certain personal information about the student, including, for example, a name, email address, and password. Google may also collect personal information directly from students, such as telephone number for account recovery or a profile photo added to the G Suite for Education account.
When a student uses Google services, Google also collects information based on the use of those services. This includes:
• device information, such as the hardware model, operating system version, unique device identifiers, and mobile network information including phone number;
• log information, including details of how a user used Google services, device event information, and the user's Internet protocol (IP) address;
• location information, as determined by various technologies including IP address, GPS, and other sensors;
• unique application numbers, such as application version number; and
• cookies or similar technologies which are used to collect and store information about a browser or device, such as preferred language and other settings.
How does Google use this information?
In G Suite for Education Core Services, Google uses student personal information to provide, maintain, and protect the services. Google does not serve ads in the Core Services or use personal information collected in the Core Services for advertising purposes.
Google uses the information collected from all Additional Services to provide, maintain, protect and improve them, to develop new ones, and to protect Google and its users. Google may also use this information to offer tailored content, such as more relevant search results. Google may combine personal information from one service with information, including personal information, from other Google services.
Does Google use student personal information for users in K-12 schools to target advertising?
No. For G Suite for Education users in primary and secondary (K-12) schools, Google does not use any user personal information (or any information associated with an G Suite for Education Account) to target ads, whether in Core Services or in other Additional Services accessed while using an G Suite for Education account.
Can my child share information with others using the G Suite for Education account?
We may allow students to access Google services such as Google Docs and Sites, which include features where users can share information with others or publicly. When users share information publicly, it may be indexable by search engines, including Google.
Will Google disclose my child’s personal information?
Google will not share personal information with companies, organizations and individuals outside of Google unless one of the following circumstances applies:
• With parental or guardian consent. Google will share personal information with companies, organizations or individuals outside of Google when it has parents’ consent (for users below the age of consent), which may be obtained through G Suite for Education schools.
• With The Priory School G Suite for Education accounts, because they are school-managed accounts, give administrators access to information stored in them.
• For external processing. Google may provide personal information to affiliates or other trusted businesses or persons to process it for Google, based on Google’s instructions and in compliance with the G Suite for Education privacy notice and any other appropriate confidentiality and security measures.
• For legal reasons. Google will share personal information with companies, organizations or individuals outside of Google if it has a good-faith belief that access, use, preservation or disclosure of the information is reasonably necessary to:
• meet any applicable law, regulation, legal process or enforceable governmental request.
• enforce applicable Terms of Service, including investigation of potential violations.
• detect, prevent, or otherwise address fraud, security or technical issues.
• protect against harm to the rights, property or safety of Google, Google users or the public as required or permitted by law.
Google also shares non-personal information -- such as trends about the use of its services -- publicly and with its partners.
What choices do I have as a parent or guardian?
First, you can consent to the collection and use of your child’s information by Google. If you don’t provide your consent, we will not create a G Suite for Education account for your child, and Google will not collect or use your child’s information as described in this notice.
If you consent to your child’s use of G Suite for Education, you can access or request deletion of your child’s G Suite for Education account by contacting The Priory School. If you wish to stop any further collection or use of your child's information, you can request that we use the service controls available to limit your child’s access to features or services, or delete your child’s account entirely. You and your child can also visit
while signed in to the G Suite for Education account to view and manage the personal information and settings of the account.

4) Using Photographic Images of Children
This section explains why we need to ask for your consent to any photographs that may be taken of your child while he or she is at school.
Generally, photographs of children for school and family use, and occasionally for publication in the local Press, are a source of pleasure and pride and so are to be welcomed. However, we live in an age in which technology has vastly increased the use, and potential misuse, of photographs. ln the past there have been concerns about the possibility of a child being identified by a photograph in the Press, or in the filming of a school event, in case they are put at risk of being targeted for abuse.
Having taken advice from Surrey Police, Surrey County Council (the Local Authority) and other organisations, we believe that the risk of a child being identified by a stranger is so small that, provided reasonable steps are in place to limit the publication of their names and addresses, photography of children at the school should continue, in line with the policy set out below:
The School’s Policy
Our policy is to broadly follow the Department for Education advice: "lf the student is named, avoid using the photograph. lf the photograph is used, avoid naming the student." So we will not use children's full names alongside their photographs in the school's own printed publications, in video films or on our website. However, students' first names may be used, and their full names may be given in group situations where they cannot be linked to individuals in the photograph.
With regard to the Press, the school will allow local newspapers to take photographs of children, when appropriate, provided that parental consent has been given. Some newspapers insist that children's names must be published with their photographs. lf not, they may decline to cover school events. Therefore we will normally give the children's full names (but not addresses) to newspapers. That is why it is important for you to tell us whether you have any objection. lf you do object, the school will not allow your child to be photographed by the Press.
(Please note that the school will seek an undertaking that a child's name will not be used if their image is put on the newspaper's own website.)
Although it is fairly rare for television companies to visit the school, your consent for newspaper photography would also apply to television images. However, children's names are normally not given on television and we would seek specific permission from you if your child's name were to be used.
lf you would like to discuss these matters in more detail, please talk to your child's teacher or another member of staff. lf in the future you should wish to change your decision on whether to give consent, you can do so at any time.
Sometimes we take photographs of children either at the school or when they are involved in organised activities away from the school site. We may use the pictures in school publications, such as the prospectus, and on our website. We may also make video or web cam recordings for use by the school. To comply with the Data Protection Act 1998, we need your permission to photograph or make any recordings of your child.
Occasionally, the school may be visited by the news media (usually local newspapers) to take photographs or film of an event at the school. Students will often appear in these images, which will be published in local newspapers or even broadcast on television.
lf your child is old enough to express their own view, we would encourage you to discuss the matter with them.
May we take photographs of your child and use them (unidentified by their full name):

• on the school's website;
• on video or web cam?
Please note that websites can be viewed throughout the world and not just in the United Kingdom, where UK law applies.

Do you consent to your child being photographed by local newspapers and other news media, on the basis that their full names will be published along with the picture?
• newspapers will be asked to avoid using the child's name if their image is put on the newspapers own web site ;
• this consent will also be taken to apply to television images, provided that your child is not named except with your specific agreement.
As a Parent I agree to the above statement
I have read and understood the school's policy. My decision on whether to give consent will remain valid throughout my child's time at the school, unless I notify the school to the contrary in writing. I promise that if l, or members of my family, take photographs or video recordings at a school event, these will be kept for family use only.
5) Consent for Biometric information
A biometric system is a technological system that uses information about a person to identify that person. Here at The Priory School we use a fingerprint system to allow the students to access their Catering account.
Please confirm if you consent to your child using biometric systems until he/she leaves the school. Once your child ceases to use the Biometric recognition system, the biometric information will be securely and permanently deleted by the school.
As a Parent I consent to The Priory School for the Biometrics of my child to be used as part of the catering recognition system.
6) Confirmation if your child is a Young Carer
At The Priory School we are developing our support for young carers. Young carers are young people who have caring roles for family members or friends with physical or mental health problems or disabilities, or drug/alcohol problems.
Mrs J Trimnell is the main contact person for young carers in the school and will liase with pupils, families and staff in order to ensure that young carers are able to achieve and enjoy their education. The school is in contact with Surrey Young Carers, a charity to whom the school can refer to for further assistance.
If your family is affected by any of the issues mentioned, and you and your child would like support, please let us know. If no help is required at this time, the school would still appreciate you sharing any circumstances that may have an impact on your child’s education as they progress through the school. This will allow us to be aware and offer support as required. Please indicate if your child is a carer and we will contact you directly to discuss your and your child’s needs. Anything you tell us will be treated sensitively and will not be shared without your knowledge.

7) Confirmation if your child is entitled to Free School Meals
Each term every school has to inform the Department for Education how many students are eligible for free school meals. Part of the school’s main funding is based on the number of students who qualify for free school meals (even if some eligible students do not claim free meals). It is therefore very important that you inform us if you are eligible.
Eligibilty Criteria for Free School Meals
Parents do not have to pay for meals if they they receive any of the following:
• Income Support (IS)
• Income-based Jobseeker’s Allowance (IBJSA)
• Income-related Employment and Support Allowance (IRESA)
• Support under Part VI of the Immigration and Asylum Act 1999
• The Guaranteed element of State Pension Credit
• Child Tax Credit, provided they are not entitled to Working Tax Credit and have an annual income (as assessed by HM Revenue & Customs) that does not exceed £16,190 N.B. If you receive WORKING TAX CREDIT you do not qualify even if you receive child tax credit and your income is below £16,190
• Universal Credit
If you receive any of the above benefits, please let us know. All replies will be kept strictly confidential. It is really important you advise us even if you do not wish your child(ren) to take free meals, as our funding depends on it! The school will need to see evidence of eligibility for the benefit you are claiming.
