Thank you for choosing L &J Daycare Centre Ltd operating as B-Smart Learning Center as a partner in your child’s early learning journey.

The policies within this document are designed to uphold the high standards of B-Smart Learning Center while prioritizing the well-being, safety, and educational experience of all children in our care. Adherence to these policies is a condition of enrollment and helps us maintain a positive and respectful learning community for children, families, and staff.

Please review this document carefully. Completion and submission of the signed agreement is required prior to your child’s first day of attendance. Children will not be permitted to attend until the agreement has been received.

We appreciate your cooperation and partnership in helping us create a nurturing and successful experience for every child at B-Smart Learning Center.

Please note: This Parent Handbook and Agreement may be updated from time to time to reflect program needs, licensing requirements, or changes made in the best interest of the children and the center.

Program Philosophy & Values
At B-Smart, we are committed to providing a safe, organized, and supportive environment where children can learn, grow, and thrive. To ensure consistent care, clear communication, and shared expectations, this document outlines the policies, procedures, and agreement terms that guide our program.
Academic Expectations & Learning Approach Policy

B-Smart Learning Center offers an academic early learning program grounded in the Alberta FLIGHT curriculum framework and delivered through play-based, developmentally appropriate practices.

While our program is academic in nature, learning is never forced. Children are taught through hands-on experiences that support:

  • Fine and gross motor development

  • Social interaction and emotional regulation

  • Language development and communication

  • Curiosity in science and exploration

  • Pretend play, creativity, and problem-solving

  • Foundational early learning skills appropriate per age group

Every child develops at their own pace. Educators guide, encourage, and support learning, recognizing that each child is unique. Academic readiness is nurtured through positive engagement rather than pressure or comparison.

Families are encouraged to partner with the center by supporting this philosophy and understanding that progress looks different for each child.

Enrollment & Eligibility

Enrollment is contingent on:

  • Meeting age and program requirements
  • Completion of all required forms
  • Program capacity and staffing availability

Submission of registration forms does not guarantee enrollment until confirmed by the center.

Admission & Continued Enrollment – Children Requiring Additional Supports

B-Smart Learning Center is committed to fostering an inclusive, respectful, and supportive learning environment for all children. Our goal is to ensure that every child enrolled can participate safely and meaningfully in our program while maintaining the well-being of all children and staff.

To support this commitment, B-Smart conducts a pre-admission consultation process for children who may require additional developmental, behavioral, or learning supports. This process allows us to gain a clear understanding of each child’s strengths, needs, and required supports, and to determine whether those needs can be reasonably and safely accommodated within our licensed program, staffing structure, and available resources.

Pre-Admission Consultation

Enrollment at B-Smart is based on program fit. The center reserves the right to review continued enrollment if a family’s expectations, conduct, or participation consistently conflict with program policies, licensing requirements, or the well-being of the learning community. Families may be asked to participate in a consultation with our team to discuss their child’s individual needs and any existing supports. This conversation helps ensure that appropriate planning, supervision, and accommodations can be considered prior to enrollment.

Admission Decision

Admission decisions are based on an assessment of whether B-Smart Learning Center is reasonably equipped to meet the child’s needs while maintaining program safety, staffing ratios, and the quality of care for all enrolled children. If it is determined that the child’s needs cannot be adequately supported within our program, enrollment may be declined, and families will be encouraged to seek a setting better suited to their child’s needs.

Disclosure of Relevant Information

Parents and guardians are responsible for providing complete and accurate information regarding their child’s medical, developmental, or support needs during the registration process. This information is essential for appropriate planning, supervision, and safety. Failure to disclose relevant information may impact the center’s ability to support the child and may affect continued enrollment.

Continued Enrollment

Continued enrollment is contingent on the program’s ongoing ability to reasonably and safely meet the child’s needs, with or without available supports. If, after reasonable efforts and consideration of available accommodations, B-Smart Learning Center determines that a child’s needs can no longer be supported within the program, families may be given up to two (2) weeks’ written notice to transition to a more suitable placement.

In situations where a child’s continued attendance poses an immediate safety risk to the child, other children, or staff, B-Smart Learning Center reserves the right to implement immediate suspension or termination of enrollment.

All decisions related to admission and continued enrollment are made in good faith, based on program capacity, safety considerations, and the best interest of the child, while also ensuring the well-being of the broader learning community.

Inclusion and Special Needs Policy

At B-Smart Learning Center, we are committed to fostering a diverse and inclusive environment that accommodates the individual needs of all children, including those requiring additional support. We strive to provide reasonable resources and flexibility, where possible within our licensed program, to support meaningful participation for children in our care.

Individualized Support: We work closely with families to understand each child’s unique needs and implement tailored strategies to support their development effectively.
Specialist Partnerships: When additional support is required, we facilitate partnerships with specialists, such as speech therapists and occupational therapists, with parental consent, to ensure comprehensive care.
Accommodations: We provide a range of accommodations, including modified activities, specialized equipment, and additional supervision where reasonably available within staffing ratios and program capacity.
Ongoing Communication: Parents are encouraged to discuss their child’s needs with our team. Regular progress updates will be shared to monitor and support each child’s growth and development.
Speech and Language Screening and Assessment

All children aged 2.8 to 5 years enrolled at B-Smart are scheduled for an annual speech and language screening between September 1 and September 30 of each year. This service is provided by a third-party provider and is free of charge for children enrolled before September 30.

Late Enrollment: For children enrolled after September 30, a speech and language assessment may be recommended if deemed appropriate. In such cases, a $500 assessment fee will be collected. If the child qualifies for government-funded support, the assessment cost will be covered through the applicable funding and the fee will be refunded to the parent. If the child does not qualify for funding, the fee will be retained to cover third-party assessment costs.

Children attending a half-day program at another center must also undergo the same screening through B-Smart’s designated third-party agencies. For children requiring additional supports, B-Smart requires that any speech, language, or therapeutic services provided during attendance hours be delivered through B-Smart’s designated third-party providers to ensure continuity, supervision, and program safety.

Policy for Children Requiring One-on-One Support

If a child requires continuous one-on-one support that cannot be reasonably accommodated within the program’s staffing structure and available supports, and appropriate external or funded supports are not in place, B-Smart may determine that the child’s needs cannot be safely met within the program. In such cases, families will be provided with written notice and supported with referral options to more suitable care settings.

Children Guidance Policy

At B-Smart Learning Center, we believe in fostering a positive, respectful environment where children feel supported as they grow and learn. Our approach to child guidance is based on teaching and reinforcing positive behaviors, helping children develop self-regulation skills, and guiding them to make constructive choices.

Positive Reinforcement: We use positive reinforcement to encourage appropriate behaviors, praising and rewarding children when they demonstrate cooperation, kindness, and respect toward others.
Redirection: When challenging behaviors arise, we guide children by redirecting their attention to other activities or behaviors that are more constructive, helping them learn alternative ways to express themselves.
Setting Clear Expectations: Clear, consistent boundaries and expectations are communicated to all children. Staff model appropriate behaviors and encourage children to follow the guidelines to maintain a safe and supportive environment.
Conflict Resolution: We encourage children to resolve conflicts through communication and problem-solving. Staff support children by teaching them words and strategies to express their needs respectfully and by fostering empathy toward others.
Behavior Support Plans: For children who require additional support, individualized behavior support plans are developed in collaboration with parents and specialists (if needed) to ensure a consistent approach to guidance.

While B-Smart is committed to positive and supportive guidance, the center cannot support behaviors that consistently compromise safety, supervision, or the well-being of others within a group care setting.  
Behavior Support Policy
Behavior Support: B-Smart Learning Center expects parents to support the center’s efforts in managing any biting, hitting, or other disruptive behaviors. Parents will be notified if such behaviors arise, and a behavior support plan may be implemented. Persistent behaviors that pose a safety risk to the child, other children, or staff will be addressed promptly with the family and may result in suspension or further action if safety cannot be maintained, despite reasonable interventions and collaboration with the family.
Behavioral Safety & Bullying Policy  

Zero Tolerance for Bullying:  B-Smart maintains a zero-tolerance approach to bullying, whether written, verbal, or physical. Bullying incidents will be addressed promptly and may result in corrective action, suspension, or termination of enrollment, depending on severity, frequency, and safety considerations.

Property Damage: If a child causes damage to center property, parents are responsible for repair or replacement costs. Parents will be notified of the incident, provided with an assessment of the damage, and billed accordingly. Repeated incidents may lead to a review of the child’s enrollment status.

No Visits Policy: To protect the privacy and security of children attending B-Smart, visitors are not permitted. Only authorized parents, guardians, and designated personnel are allowed on the premises.

Policy on Staff Supervision and Communication; To ensure a safe and focused environment for all children, B-Smart Learning Center asks that parents avoid interrupting staff during their supervision duties. Supervision requires full attention to maintain the safety and well-being of every child.

Communication Requests: Parents with questions or wishing to communicate with staff are requested to send their inquiries through the HiMama app. The center will coordinate with both parents and staff to schedule a suitable time for in-person or phone communication.
Respectful Boundaries: Parents are asked to refrain from initiating prolonged conversations or asking detailed questions during drop-off, pick-up, or while staff are supervising children. This helps ensure that staff can remain focused on their duties without distraction.
Professional Conduct: We kindly remind all parents to approach staff respectfully and avoid any behavior that could be perceived as intimidating or disruptive to the center’s operations.
Health, Illness & Medication Policies  

Medication Policy

To ensure the safe administration of medication:

Original Packaging: All medications must be provided in original, labeled packaging.
Clear Labeling: Labels must include the child’s full name, date of birth, dosage instructions, and expiry date.
Non-Expired Medication: Expired medications will not be accepted or administered.
Emergency Medications: Emergency medications must meet all conditions. The center cannot care for a child requiring emergency medication if compliant medication is not provided.
Authorization: Medication will only be administered with a signed medication form. It must be prescribed and kept in its original labeled container.

Communicable Diseases and Lice Policy

B-Smart Learning Center follows Alberta Health Services (AHS) guidelines to manage and prevent the spread of communicable diseases, including conditions such as colds, flu, and head lice. Our policies prioritize the health and safety of all children and staff and are as follows:

Illness Notification and Exclusion

Parent Notification: Parents must notify the center if their child has been diagnosed with a communicable disease.
Exclusion Criteria: Children must stay home if they show symptoms of a contagious illness (e.g., fever, vomiting, diarrhea, rash, persistent cough, pink eye, chickenpox, measles, etc..) until they are symptom-free or have a doctor’s clearance to return.
Onsite Illness: If a child becomes ill during the day, parents will be contacted for immediate pick-up. Children with contagious symptoms must be symptom-free for 48 hours before returning to the center.

Head Lice Protocol 
Stay-at-Home Requirement: In the event of head lice, children must remain at home until treatment has been administered and the child is free of live lice, in alignment with Alberta Health Services guidance.
Routine Checks: The center will conduct routine checks to help prevent the spread of lice. Parents will be notified if there is a case of head lice in their child’s class, and all families are encouraged to check and treat their children promptly.

Notification of Exposure

If a communicable disease or condition (such as head lice) is reported, parents in the affected classroom(s) will be notified to monitor for symptoms and seek medical guidance as needed.

Hygiene and Sanitation

Hygiene Practices: Staff and children are required to practice frequent handwashing and use hand sanitizer. Surfaces, toys, and equipment are regularly sanitized to minimize the spread of germs.

Return to Center 
Return Criteria: In alignment with AHS recommendations, children may return to the center once they are no longer contagious, symptoms have resolved, or they have a healthcare provider’s note confirming they are well enough to participate in group care.
Exclusion Criteria for Illness:

To protect the health and safety of all children and staff, B-Smart does not accept children who are ill.

Children must remain at home if they have:

  • Fever (38°C or higher)

  • Vomiting or diarrhea

  • Unexplained rash

  • Persistent cough or difficulty breathing

  • Eye discharge (pink eye symptoms)

  • Any contagious illness

If a child becomes ill while at the center, parents/guardians will be contacted for immediate pick-up. The child must be picked up within a reasonable timeframe.

Children may return to the center once they are symptom-free for 24  / 48 hours (without medication), or with a doctor’s note confirming they are no longer contagious.

Outbreak Policy

In the event of a suspected or confirmed outbreak of a communicable illness, B-Smart will follow Alberta Health Services (AHS) guidelines and reporting requirements.

The center will:

  • Notify families of the outbreak while maintaining confidentiality

  • Follow AHS direction regarding exclusion periods and return-to-care timelines

  • Increase cleaning and disinfecting procedures

  • Temporarily suspend sensory play activities (e.g., water tables, shared loose parts, playdough, sand, etc.) to reduce cross-contamination

  • Monitor children and staff for symptoms

Children or staff identified as part of an outbreak must remain home for the period required by AHS.

If directed by AHS or if safety cannot be maintained, temporary classroom or center closure may occur.

We appreciate families’ cooperation in helping protect the health of all children and staff.

Medical Information Disclosure Policy

To ensure the safety and well-being of each child, B-Smart Learning Center requires full disclosure of all relevant medical information at the time of enrollment. This includes, but is not limited to, details regarding allergies, chronic conditions, medications, emergency care needs, and any specific medical or developmental requirements.

  • Purpose: Comprehensive medical information enables our staff to evaluate whether our center is equipped to meet each child’s specific medical needs and to develop any necessary accommodations or emergency response plans.
  • Parent Responsibility: Parents are responsible for providing accurate and up-to-date medical information upon enrollment and notifying the center of any changes in their child’s health.
Emergency Preparedness and Evacuation Policy

Evacuation Routes: Clear evacuation routes are posted at the entrance of each classroom and common area. Staff are trained to follow these routes and assist children safely to the designated meeting points.

Emergency Drills: Regular fire and evacuation drills are conducted to familiarize children and staff with emergency procedures.
Designated Meeting Points: All classes will meet at a designated point outside the building during evacuations. Attendance will be taken to ensure all children are accounted for.
Parent Communication: In the event of an actual emergency, parents will be notified as soon as it is safe to do so through the HiMama app and, if necessary, via phone.
Power & Water Outage Policy 
Power Outage Policy – Parent Notice

In the event of a power outage, B-Smart will immediately assess the situation to ensure children’s safety. Staff will maintain full supervision, complete head counts, and use emergency lighting if available.

If the outage lasts beyond a short period, or if lighting, heating, or overall safety cannot be maintained according to AHS standards, families will be contacted for immediate pick-up.

Reopening will occur once power is safely restored.

Water Outage Policy – Parent Notice

Running water is required for handwashing, toileting, cleaning, and food preparation. If a water outage occurs, B-Smart will assess the situation immediately.

If proper hygiene and sanitation standards cannot be maintained in accordance with AHS regulations, families will be contacted for immediate pick-up and the center will close until water service is restored

Video Surveillance & Security Cameras Policy

B-Smart Learning Center is equipped with security cameras that record at all times for the sole purpose of ensuring the safety and security of children, staff, and the facility.

Recorded footage is accessed only when necessary, including but not limited to:

  • Requests from government authorities for incident review

  • Security concerns, including unauthorized access or intruders

  • Investigation of allegations involving a child, staff member, parent, volunteer, or third-party professional

  • Review of incidents involving injury to a child or staff member

  • Verification of authorized or unauthorized pick-ups

  • Assessment of emergency drills and safety procedures

Access to recorded footage is strictly limited to the Director and authorized government agencies (such as Child Care Licensing) when required. Footage is not used for routine monitoring, evaluation, or parent viewing.

By enrolling at B-Smart Learning Center, families acknowledge and consent to the use of video surveillance for safety and security purposes as outlined above.

Incident Reporting and Accident Policy

Documentation: All incidents, no matter how minor, are documented by staff and recorded in an incident report.

Parent Notification: For minor incidents, parents will be informed upon pick-up and may receive a written report. For any serious incidents, parents will be notified immediately by phone.
Prevention Measures: After an incident, the center will review its policies and take steps to reduce the likelihood of future occurrences.
Attendance and Drop-Off Policy

To support consistent learning routines, children must arrive on time. Repeated late drop-offs that disrupt program flow may result in restricted entry times or review of enrollment.

B-Smart programs operate on fixed schedules based on registered attendance days and sessions. Staffing and ratios are planned accordingly.

Missed days due to illness, vacation, statutory holidays, or other absences cannot be replaced, transferred, or made up.

Drop-Off Time

Drop-Off Deadline: Children must be dropped off between 7:00 AM and10:00 AM each day.

Late Arrivals: Consistent late arrivals may result in the child being refused entry. Continuous absenteeism and tardiness affect the center’s ability to provide effective services and disrupt the learning and play experiences of other children.

Minimum Monthly Attendance

The minimum attendance is 100 hours per month, which averages to about 5 hours per day.

Pickup Times:

Infants (under 18 months): 5:00 PM
Toddlers through Senior Pre-K and Kindergarten: 5:30 PM

Late Pick-Up Fees: A fee of $2 per minute applies for the first 10 minutes after closing, then $5 per minute up to 30 minutes. A $100 fee applies for pick-ups between 30 and 60 minutes.
Visitors During Program Hours

To ensure the safety, supervision, and uninterrupted learning of all children, family members and visitors are not permitted to visit classrooms or remain on-site during the program hours.

Only authorized parents or guardians may enter the center for drop-off and pick-up purposes. All visitors must have prior administrative approval and may be required to sign in and provide identification.

Classroom visits, extended stays, or unscheduled access by family members are not permitted, as they can disrupt routines, compromise supervision, and impact children’s sense of security.

Exceptions may be made at the discretion of administration for pre-approved events, meetings, or special circumstances.

Fees & flat-rate policy
  • Monthly parent fees are a flat rate approved by the Government of Alberta.

  • Fees are not reduced or refunded for absences, illness, vacations, or scheduled closures.

  • A registration fee, first month fee, and refundable space deposit are required as outlined during registration.

  • Extracurricular Activities and Special Events Policy

    B-Smart Learning Center provides a range of enriching indoor and outdoor extracurricular activities, special events, fundraisers, photo sessions, graduation celebrations, and field trips for the children. Please note that these activities are optional and require an additional fee, which covers various associated costs.

    • Purpose of Fees: The additional fee helps cover expenses such as admission tickets, transportation (if applicable), special meals, and any other event-related materials, set up, or activities.

    • Payment Requirements: All fees for extracurricular activities, events, and field trips must be paid prior to the day of the event. Please be aware that this fee is not covered by the monthly fee.

    • Participation in special events is optional. A child may participate only if both payment and the required consent form have been submitted by the stated deadline.

      Payment alone does not grant permission to participate. Children will not be permitted to take part in any event without both completed consent and full payment on file.

      • Extracurricular Activities such as but not limited to field trips, bake sale, and other events
      • Cultural Activities  such as but not limited to celebrating Festivals, International Dress-Up Days, Sports Days
      • Specialized Classes  such as but not limited to Cooking Classes, Spa Days, STEM Exploration, Yoga and Mindfulness Sessions. 
      • Extended Hours (Weekend Arabic & Islamic Specialized Classes): $75 / child / month
      All payments must be sent by etransfer to office.bsmartdaycare@gmail.com before the start date of your children.
    Withdrawal & deposits

    A minimum four (4) weeks’ written notice is required for withdrawal.

    The refundable space deposit is returned only if:

    • Proper notice is provided, and

    • Attendance requirements during the notice period are met, as outlined in registration terms.

    Nap and Rest Time Policy

    Compliance with Regulations: In accordance with Alberta Child Care Licensing Regulations, children must be offered a rest period each day. We are required to meet children’s rest needs and cannot neglect or deny rest if parents request otherwise.

    Nap Times: Nap times are scheduled according to each age group’s developmental needs. Children are encouraged to rest, even if they do not sleep.
    Bedding: Our center will provide labeled bedding, which will be stored individually for each child and be washed at least once a week.
    Supervision: Staff remain in the room and monitor children following Alberta childcare licensing regulations during nap times, ensuring a safe and quiet environment.

    Outdoor Play and Weather Policy

    Daily Outdoor Play: Weather permitting, children will participate in outdoor play daily. Parents should ensure their child is dressed appropriately for the weather.
    Weather Restrictions: Outdoor play will be restricted or relocated indoors if temperatures fall below -18°C, exceed 30°C or if there are poor air quality warnings.
    Alternative Indoor Activities: When outdoor play is not possible, children will participate in indoor physical activities to support their health and energy levels.

    Transportation Policy

    Consent: Written parental consent is required for all trips that involve transportation (Third party charters or the daycare transportation vehicle).
    Vehicle Safety: Daycare transportation vehicles are semi annually inspected and equipped with age-appropriate car seats and follow Alberta’s vehicle safety standards.
    Emergency Procedures: Staff are trained to follow emergency protocols during transportation, and attendance will be taken before and after each trip to account for all children.
    Parental Responsibilities -  Daily Uniform, Grooming & Personal Hygiene Policy

    To support a safe, respectful, and focused learning environment, children attending B-Smart Learning Center are expected to arrive clean, well-groomed, and dressed appropriately for daily activities.

    • Children must attend in the required B-Smart uniform (where applicable), clean and in good condition.

    • Children should arrive with clean clothing, washed hands and face, and short, clean fingernails.

    • Hair must be neatly secured, especially if long, to support hygiene and safety during play and learning.

    • For safety reasons, children should not wear makeup, perfume, or strong fragrances.

    • Children must not wear jewelry or accessories that pose choking, entanglement, or safety risks.

    Maintaining proper hygiene and grooming supports children’s health, comfort, and ability to participate fully in the program. If a child arrives repeatedly without meeting basic hygiene or uniform expectations, families may be contacted to address the concern.

    Personal Belongings & Jewelry

    For safety reasons, children are not permitted to wear or bring jewelry to the center, including (but not limited to) necklaces, rings, small-bead bracelets, or accessories with detachable or choking-hazard components.

    Such items pose risks related to choking, entanglement, loss, and distraction during play and learning activities.

    If any prohibited items are brought to the center, they will be safely held at the office and returned to the parent or guardian at pick-up. B-Smart Learning Center is not responsible for lost or damaged personal items brought from home.

    Toys from Home Policy

    To support a calm, inclusive, and focused learning environment, toys from home are not permitted at B-Smart Learning Center.

    Personal toys can lead to distraction, conflict, jealousy, loss, or damage and interfere with children’s ability to fully engage in learning and social interactions.

    If a toy is brought to the center, it will be safely held at the office and returned to the parent or guardian at pick-up. B-Smart is not responsible for lost or damaged personal toys brought from home.

    Emergency Contacts Policy

    As part of the registration process, parents are required to provide two emergency contacts who must meet the following criteria:

    Non-Parent Contacts: Emergency contacts must be individuals other than the parents and must be available to respond when parents cannot be reached.
    Availability and Accessibility: Emergency contacts must be reachable by phone during program hours.
    Responsiveness: Emergency contacts are expected to respond to calls from the center and, if required, pick up the child in case of an incident or if the child is sick and requires immediate medical attention.
    Child Release Policy
    For the safety of all children, the center will only release a child to individuals authorized in writing by the parent or guardian. Authorized individuals must present valid identification upon pick-up. No child will be released to anyone not listed as an authorized contact to ensure secure and controlled release procedures.
    Communication, Conduct, Participation & Respectful Boundaries  

    Communication: It is the responsibility of each parent to stay informed of all events and announcements from the center through HiMama, the monthly newsletter, and the WhatsApp mother’s group. The center is unable to provide individual reminders or tailored updates to each parent..

    Conduct: Parents are expected to communicate respectfully with staff and follow center policies. Abusive, aggressive, or inappropriate conduct may result in restricted communication or termination of enrollment.

    Non-Disparagement / Public Conduct: Concerns should be addressed directly with administration. Public or online commentary that misrepresents the program or compromises staff safety may result in restricted communication or review of enrollment.

    Participation: Parents are required to attend meetings, conferences, and reviews related to their child’s progress. Lack of involvement may impact continuity of enrollment.

    WhatsApp Parent Group & Privacy Policy: B-Smart Learning Center may use WhatsApp parent groups as an optional communication tool to share general updates and occasional highlights of classroom activities.

    To protect privacy and comply with FOIP legislation, the following rules apply:

    • Parents may only view content that includes their own child.

    • Parents are not authorized to save, download, screenshot, forward, or share images or videos that include any other child.

    • Content shared in WhatsApp groups is for private viewing only and remains the property of B-Smart Learning Center.

    • Any misuse of shared content constitutes a privacy breach and may result in removal from the group and further administrative action.

    Families are reminded that the program’s primary focus is teaching, supervision, and learning goals, not photography. Daily photos or videos of each child are not guaranteed, and the absence of photos does not reflect a lack of participation or care.

    Participation in WhatsApp groups is optional. Families who choose not to participate will continue to receive important information through official center communication channels.

    Staff Communication & Contact Information Policy: To maintain professional boundaries and protect staff privacy, sharing or requesting staff members’ personal phone numbers is not permitted.

    All communication between families and B-Smart staff must take place through official communication channels only, including:

    • HiMama

    • The B-Smart office phone number or email

    Staff are not authorized to communicate with families through personal phone numbers, personal messaging apps, or social media platforms.

    Gifts to Staff Policy

    Families are welcome to offer small, non-monetary tokens of appreciation to staff. Cash gifts or monetary contributions are not permitted.

    This policy helps maintain professional boundaries and ensures fairness and consistency within our community. Gifts, when offered, should be given in the spirit of appreciation only and are never expected.

    Events and Activities Policy 
    These permissions ensure children have opportunities to participate in a variety of engaging activities, enhancing their learning and social experiences.
    Consent Forms: Parents must sign separate consent forms for each event organized by the center.
    Play Equipment and Activities: Permission is granted for children to use indoor and outdoor play equipment and participate in center-organized activities unless parents provide a written objection.
    Neighborhood Walks: Permission is granted for children to participate in supervised neighborhood walks unless a written objection is provided by parents.
    Academic Assessments and Competitions: Permission is granted for children to participate in academic assessments and competitions unless parents provide a written objection.
    Media Consent Policy
    This policy allows us to share moments from your child’s learning and activities while respecting parental preferences for privacy.
    Photography and Video Consent: Written objections must be submitted prior to enrollment or immediately upon change in consent.
    Technology and Screen Time Policy
    Educational Use Only: Screen time, if used, is strictly for educational purposes and limited to short, supervised sessions.
    Screen Time Limits: No more than 30 minutes of screen time will be allowed per day.
    Device Usage by Staff: Staff devices are to be used only for official communication and documentation purposes.
    Meals and Snacks

    This policy ensures that all meals align with nutritional standards and support a safe, healthy eating environment for every child.

    B-Smart Learning Center follows the Canada Food Guide and promotes healthy food choices to support the well-being of all children.

    Parent-Provided Meals: Snacks and meals provided by parents must be:
    Sufficient in quantity to meet the child’s needs.
    Stored in a labeled container.
    Nut-free and aligned with healthy food options as outlined by the center’s guidelines.

    Meal Program: Children enrolled in the center’s meal program must have a signed meal authorization form on file before being served food provided by the center.

    Outside Food, Treats & Celebrations Policy

    Outside food, treats, or celebratory items may not be brought to the center unless pre-approved by administration. This policy supports allergy management, inclusion, and classroom consistency.

    Birthday cakes are welcomed under the following conditions:

    • The classroom teacher must be notified at least 48 hours in advance.

    • Cakes must be store-boughtnut-free, and sealed in the original packaging with visible ingredients.

    • The cake must be sufficient for all children attending the classroom on that day.

    • Candle blowing is not permitted for health and safety reasons.

    The center reserves the right to decline any food item that does not meet safety or allergy guidelines.

    Liability and Legal Waiver Policy

    By enrolling your child at B-Smart Learning Center Inc., you acknowledge and accept that participation in Daycare & OSC activities carries inherent risks. While we prioritize the safety and well-being of each child, certain situations may arise that are beyond our control. As such, you agree to the following conditions as part of your child’s enrollment:

    • Waiver of Liability: Parents and guardians waive the right to hold B-Smart Learning Center, its owners, staff, or affiliates legally responsible for any claims, damages, injuries, or losses that may occur in connection with attendance at the center or participation in center activities, except in cases of gross negligence or intentional misconduct.

    • Assumption of Risk: Parents acknowledge that, despite safety protocols and precautions, certain risks are inherent in group childcare settings, activities, field trips, and other events offered by the center.

    • Indemnification: Parents agree to indemnify and hold harmless B-Smart Learning Center, its owners, and staff against any claims or actions that may arise as a result of the child’s participation, except where prohibited by law.

    • In addition to this agreement, all policies under Registration, Emergency Procedures also apply and must be adhered to. These policies are essential for ensuring the safety, well-being, and smooth operation of our program, and all participants are expected to comply with them.  

    Parent Agreement Acknowledgment

    This document serves as both the B-Smart Parent Handbook and Parent Agreement.

    By completing this document, parents and guardians acknowledge that they have read, understood, and agree to comply with all policies and agreement terms contained herein, as well as all registration, emergency, and consent forms submitted.

    In the event of any inconsistency, the Parent Agreement terms, registration forms, and emergency policies shall take precedence over general policy descriptions.

    B-Smart Learning Center reserves the right to update or introduce new policies as needed to meet program, licensing, or operational requirements. Families will be notified in writing of any policy updates, and such updates will be incorporated into this live document and will form part of the Parent Agreement.

    I have read, understood, and agree to comply with and follow the Parent Agreement Contract of B-Smart Learning Center Inc.

    I understand that completion and submission of this agreement is mandatory and forms part of my child’s registration. Enrollment is not complete and a space is not secured until all required registration documents, including this Parent Agreement, have been fully completed and submitted.

    I further acknowledge that my child may not begin attendance at B-Smart Learning Center until all required documents have been received and approved by the center.
