Welcome to the volunteer interest form for the AUTHORTUBE WRITING CONFERENCE (AWC) 2025.

We need a variety of volunteers for the AWC Team with some having small parts and some having more responsibility. Please mark all of those you are interested in. Some of these roles can be concurrently filled, but before we make any decisions, we will reach out to you for verification and agreement.

While we are unable to offer monetary compensation, we believe that your involvement in our conference offers invaluable non-financial rewards:

SUPPORT ROLES

These positions require less either in time committment and/or energy needed to complete the tasks associated with the roles compared to the CORE ROLES.

STREET TEAM: People who aren’t otherwise organizers but act as the champions for the AWC before and during the conference. Utilizes created graphics and promotional material to spread the word about the AWC through social media channels. COMMITMENT: Not daily or weekly or monthly. Small bursts of activity on various days in November 2024 - January 2025 and April-June 2025.

PROPOSAL REVIEWERS: People who aren’t otherwise organizers but act as blind scorers for all Guest Speaker pitches. COMMITMENT: One week to review and score speaker pitches.

MODERATORS: People who aren’t otherwise organizers but act as moderators during the presentations of the conference. Moderators must attend training beforehand. Only moderators who have finished training will be allowed to fulfill these duties during the conference. COMMITMENT: One 1-2 hour period of training and duties during the AWC.

CORE ROLES

These positions have more responsibility than the SUPPORT ROLES and typically require more in time commitment and energy to complete the tasks associated with them.

Note that for each role, you'll be working closely with one of the chairs, who will ensure you have all the information and guidance needed to be successful.

*We have done all of these roles ourselves or they just weren't done because we didn't have the time, so even if you don't think you'd be the best or the most qualified, just remember that anything you can do in these positions will mean the world to us. It will be helping us so much that even the smallest win will go a long way toward making the AWC more successful.

STREET TEAM COORDINATOR: Head of the Street Team. Responsible for personifying and championing the AWC in the real world through word-of-mouth marketing tactics on social media. Advocates for the AWC to people in known communities and aids the conference in reaching a wider customer base. In charge of the Street Team.Works closely with the Publicity Chair. COMMITMENT: Not daily or weekly or monthly. Small bursts of activity on various days in November 2024 - January 2025 and April-June 2025.

VOLUNTEER COORDINATOR: Organizes volunteer schedules, provides necessary training, and ensures a positive volunteer experience. Volunteer schedules include training times, meetings, due dates and deadlines on various tasks, and conference time slot assignments. Maintains volunteer spreadsheet. Coordinates and continually communicates with volunteers before and during the conference. Serves as volunteer point person and backup during conference. COMMITMENT: Time needed in early stages for finding volunteers. Monthly/Bi-Monthly meetings with the Recruitment Chair. Admin time to organize lists. 2-3 hours given to train Moderators.

WEBSITE COORDINATOR: Makes many of the updates to the AWC website. Clearly indicates deadlines for all needed information from the rest of the AWC Team. Works closely with the Conference Chair. COMMITMENT: Small updates to Speakers page in the beginning. The full month of April 2025 given to update the online schedule with all speakers and their presentations. One to two meetings with the Conference Chair.

GIVEAWAY PROGRAM COORDINATOR: Acts as the main point of contact for speakers participating in the Giveaways Program. Makes contact with possible organizations for giveaways and connects with the Authortube community to arrange for giveaways. Coordinates invitations and organizes giveaway information. Works closely with the Conference Chair. COMMITTMENT: Time needed to identify possible giveaway partners, make intial contact, and follow up. One to two meetings with the Conference Chair

SPEAKER COORDINATOR: Acts as the main point of contact for speakers participating in the AWC. Coordinates speaker invitations, manages speaker communication and logistics, and ensures speakers have the necessary information and support. COMMITTMENT: Two periods of large activity: (1) initial contact with speakers and follow ups [~2-3 hour a week for a month] and (2) speaker communications for deadlines and other appearances [~2-3 hours a week for 2 months]. Small bursts of time to support speakers. Two-three meetings with the Conference Chair.
