Terms and Conditions

1. Booths and tables include a maximum of two people per booth or table. All other guests must pay full admission.   Vending is non-transferable to other people and may only be used by the Vendor specified in this contract. All displays must be complementary to the expo theme and must be confined within the booth space purchased.  No profanity.  No pornography.  No loud speakers or amplifiers or loud music is permitted.

2.YOU MUST SUBMIT PAYMENT TO COMPLETE YOUR APPLICATION.

One booth is roughly 8x6".  
1 table and 2 chairs are provided.
Vendors must provide their own table covers.
Vendors must stay within the space purchased and simply purchase additional space to accommodate their needs.

3. Vendor check-in and set-up is from 8:30-10:30am.  If a vendor has not checked-in, moved their vehicle and set-up by 11am, they forfeit their space.  It is important to allow adequate time to set-up so that the show.  With the exception of sponsors, designers and double booths, tables are assigned on site.  

The table must be set up by 11:00am. Tables must be manned at all times during the show. Unmanned tables will be reassigned without notice. No early breakdowns are allowed and vendors are expected to remove all materials at the end of the show.

4. Vendor assumes full liability and risk, and holds THE HEADWRAP EXPO,  Enliven Your Soul, Beautifully Wrapped, Niyah and any affiliates harmless against and from any loss or damage as a result of this show, including damage to personal property or guest injury.

Vendor waives, releases, discharges and covenants not to sue THE HEADWRAP EXPO, Beautifully Wrapped, Niyah, Zarinah El-Amin Naeem, affiliates, members, sponsors, organizers or other representatives or their successors and assigns, for any injuries or damages of any kind whatsoever suffered as a result of this show or any related activities.

Exhibitor shall indemnify and hold harmless the Ford Community & Performing Arts Center and Beautifully Wrapped, Niyah and its affiliates, agents, and employees from and against any and all claims, losses, actions, damages, expenses and all other liabilities, including but not limited to reasonable attorneys fees. Exhibitor is responsible for determining if they need liability insurance and obtaining it with their insurance agent.

This is a FAMILY-oriented event and businesses will be chosen accordingly. There will be children and strollers present, please take that into consideration when deciding on participation. All Exhibitors must conduct themselves with honesty, professionalism and exceptional business ethics. All business presentations and booth set-up shall be deemed “family-oriented” – Adult-oriented products and services may not be displayed.

5. Vendor further grants full permission perpetual and worldwide to THE HEADWRAP EXPO and affiliates to use all names, photographs, videotapes or quotations in accounts and promotions in any medium.

6. To maximize the effectiveness of the show marketing campaign, Vendors are also responsible for promoting the
show in their networks and circles. Vendors should publish show details on websites, email lists, Facebook and
other social networks.

7. THE HEADWRAP EXPO reserves the right to cancel, change the date and/or time of the show prior to the scheduled show opening.  In the event of an act of God or any outside cause that prevents the show from being held, THE HEADWRAP EXPO reserves the right to retain a portion of vending fee to cover expenses incurred up to the time that the ‘act’ or cancellation occurred.

8. Table assignments will be provided on the day of the event as you unload.

9. There will be NO REFUNDS once your application has been received and approved.

However, in extreme cases, you may transfer your booth to another vendor by notifying us of the change.  The original application will be deleted and the new vendor will be required to complete an application.  Because we promote our vendors prior to the show, this transferable right is determined by HWE staff only.

SUBMITTING THIS APPLICATION ENTERS VENDOR INTO A BINDING CONTRACT UPON ACCEPTANCE BY THE HEADWRAP EXPO TEAM.
