Lib-Con 2020 Vendor Policies

General Information
Each Vendor will have one booth space. Each space is 8ft by 6ft and has a 4ft walkway on one side or the other. If requested one 8ft by 2ft table and/or two chairs will be provided. Booths will be sold on a first-come-first-served basis. If needed a wait list will be formed for booths. Table skirting not provided. Signs and banners may be hung on the front of the table. Abilene Public Library (hereinafter referred to as APL) reserves the right to ask any Vendor to move items that block walkways, impede other Vendors, or present safety hazards. Free Wi-Fi is available throughout the library. There is no guarantee that electrical outlets will be available. All Vendors must be either a vendor, a non-profit organization, or part of a fan group. Personal collections are not allowed.

Each Vendors will be charged a $25.00 fee. Fees are donated to the Friends of the APL. Fee is due at the time of registration.

The Vendor area will only be open on Saturday April 25, 2020 at the Main Library located at 202 Cedar St. Vendors may set up that day, no earlier than 8:30am and must be completed by 10:30am. Vendor space will close at 5:00pm and vendors will need to be packed up and exiting the building by 6:00pm. Early pack up is allowed after 4:00pm.

Vendors may cancel up to 30 days before the start of the event to receive a full refund. Vendor cancellations after March 26, 2020 will not receive a refund. APL reserves the right to cancel and issue a full refund for any reason prior to April 15, 2020. If a Vendor is not set up at their booth by 10:30 am, the Vendor is considered a "No-Show." No refunds will be offered to "No-Shows."

Merchandise Quality Control
Vendors may not sell or display age restricted or adult materials, including art, films, videos, or promotional items. APL reserves the right to ask any Vendor to remove any product that is deemed defective, offensive, inappropriate, or has received multiple complaints.

It is the responsibility of the Vendors /Artists to ensure that their artworks do not violate any copyright laws. The APL cannot and will not provide legal protection to Artists under any circumstances. The APL staff reserve the right to challenge possible violations of copyright at their discretion.

Vendors must abide by our Lib-Con Weapons Policy, outlined below:
No real firearms (replica, antique or otherwise) will be allowed
“NERF”, airsoft, paintball and water guns with the firing mechanism disabled will be allowed. No “puffs of air” or other discharge should be detected upon testing.
Bows must not be fully strung and demonstrate to be unable to fire projectiles
Bladed Weapons:
Weapons with a metal blade (sharpened or not) will not be allowed.
All bladed weapons must be dull to the touch regardless of the material they are made of.
Blunt Force Weapons
Real blunt force weapons including, but not limited to, blackjacks, nightsticks, and maces will not be allowed.

Although we strive to provide a safe, secure environment, the APL is not responsible for damage to, or loss of, property, equipment, or personal vehicles. We strongly recommend that you provide customers with receipts to avoid potential disputes.

In Abilene, Texas, the applicable state and local sales tax rate is 8.25%. Please submit a copy of your Texas Tax certificate with the Vendors Registration Form and payment, if selling. A photograph or scan of your Texas Tax certificate sent to ellene.cudd@abilenetx.gov counts as providing a copy of you tax certificate.

If more Vendors sign up than current available space, Vendors will be moved to a Waitlist as needed. The Waitlist will be maintained based on the order of applications received.

Due to limited space, if registration is not completed with necessary documentation and Vendor fee, APL reserves the right to move the Vendor to a Waitlist on March 31st. On April 1st, Vendors on the Waitlist will be contacted for available spots.

Applications are not considered complete until all fees and paperwork have been submitted. Deadline for completed registrations is Friday, April 3rd. At this time APL is not able to accept online payment for Vendor fees. Checks may be mailed to:
