College of St Ursula - Exec Interest form 2025 AGM
AGM 2025
When: Wednesday 17/09/25 5-7pm

There are plenty of positions that are open for all members of the society. Please read the description of each position carefully before selecting. 

Seneschal (President)
The Seneschal (or President) of the society runs the show and acts as its Fearless Leader. They work with the rest of the executive team to coordinate the society’s events and activities, to make sure everything is running smoothly (to the best of their ability) behind the scenes. As the Seneschal you also communicate directly with the wider SCA (Australia) groups, which involves following the guidelines and procedures laid out by the SCA (Australia) where required.

Arts and Sciences Officer (Co-Vice President)
The Arts and Sciences Officer's role centres on fostering medieval arts and sciences in the society. Their tasks include arranging workshops, tailoring them to different skill levels, and adhering to guidelines from SCA (Australia). They maintain communication with the broader Barony for suitable workshop instructors, manage room bookings, and maintain attendance records throughout the semester.

Marshal (Co-Vice President)
The Marshal's role is to link new members with the SCA fighter community. They assess the abilities and interests of active Ursulan Warband newcomers, providing guidance to develop their fighting skills. Coordinating their needs and finding necessary support within the society is also a key aspect. The Marshal will maintain a thorough attendance record for the weekly fighter practice nights on Mondays from 7pm.

Reeve (Treasurer)
The treasurer of the university society is responsible for managing the society's finances as per the C&S Handbook for Treasurers. They handle member payments, deposit funds into the society's bank account, and provide financial statements to the president when needed. The treasurer presents a financial report at the Annual General Meeting and ensures a smooth handover to the next treasurer. Additionally, they act as a communication link with the SCA (Australia) and fulfil related responsibilities as required.

Secretary
The Secretary manages society communication, stepping in for the Social Media Officer if needed. They organize meeting rooms, record meeting minutes, and handle society records. They also maintain a member list as per university guidelines and ensure the society's registration with the University of Sydney Union remains active.

Acquisitor (Orientation Officer)
The Acquisitor oversees the society's loaner items, ensuring they're stored and maintained properly. They drive new member recruitment, preparing for events like Welcome Week, Welcome Fest, and Cocktail Night. They also offer support to newcomers joining the society.

The SCA (Australia) requires that all office bearers in the Society be members of the SCA
(Australia) by payment of an annual subscription fee. If you would like to become a member please visit this link to sign up. 

If you are interested in being a part of the Exec but cant afford the subscription fee please reach out to us. We understand that it is a big cost that might not be achievable at this stage. General Exec Positions
Social Media Officer (Webminister) - in charge of the Facebook, Instagram and Discord pages for the society. They would also oversee the maintenance of the website and USU Clubs page. Ensuring that events are well advertised and connecting new members with current members where necessary. 

First-Aid Officer (Chirugeon) - Must have a current First Aid certificate. Will be in charge of First Aid at events. Must maintain the society First Aid equipment.

Herald - officer who helps members come up with SCA names and heraldry ("Coat of Arms").The official who makes announcements during events and is the Master of Ceremonies for court held during events such as the Feast of St Ursula.

Constable - varied responsibilities which might include making sure that the entry gate is manned, ensuring that SCA and modern laws are followed, and taking care of “Lost and Found”.

Captain of Archers - shall see to the development of archery in the College and works closely with the Marshal to coordinate activities/events. 

Master of Fence - shall see to the development of rapier in the College and works closely with the Marshal to coordinate activities/events. 

Chronicler - the editor of the College newsletter. (NOTE: this position has not been filled in some time, however, it is likely that the Chronicler would take over the responsibility of updating and maintaining the College website).

To become an Exec member you must attend the AGM on the 17th of September 2025 (5-7pm). The AGM will be accessible in person or through Discord. Please indicate if you are able to attend.  *
