EcoDay 2018 - Register your interest
Thanks for registering your interest in participating in EcoDay 2018. Vendors will be curated to complement the overall theme of this festival. The final selection of stalls for the festival is at the discretion of event organisers in accordance with the aims and objectives of the festival. EcoDay is an outdoor event and will go ahead rain or shine (subject to cancellation in the case of extreme weather conditions).

Sunday 4 February – Deadline to submit this registration of interest form
Friday 9 February – All applicants notified of acceptance and Stall Site Agreements sent out
Friday 16 February – Stall Site Agreements due and invoices sent out
Tuesday 20 March – All invoices paid. Anyone who has not paid will not be accepted
Sunday 15 April - EcoDay, 11am-4pm, at Olympic Place, New Lynn
• Stallholders will not be able to choose their site location.
• All stallholders are expected to use recyclable or compostable packaging as this event is working towards zero waste to landfill - further information will be provided.
• Stallholders may not on-sell or share their site with another organisation or business without prior agreement from the event team.
• All stallholders are to provide their own equipment. Equipment hire (gazebos, tables, and chairs) is available (more information below) or contact a reputable supplier and book directly.
• Stalls with gazebos / tents etc must bring their own weights and be event ready for any weather conditions.
• All stallholders must take care of rubbish, keeping stall areas clean and tidy at all times, including set up and pack down.
• All goods and equipment must be within the allocated stall area. The event management team may ask you to move if you exceed your allocated site.
• The contact person as entered on the Agreement Form should be the person in charge of the stall on the day, and will be the person held responsible for the stall and site.
• You will be provided with a pack-in time for event day which you'll need to stick to, to make sure everyone can get set up in time. All vehicles must be off-site by 10.15am. No vehicles are allowed access to the site during the event.
• There is no parking on site. There is nearby street parking.
• No vehicles are allowed onto site for pack-down until the event organisers have given the ‘all clear’ to event security. At times you may need to be escorted on / off site.
• All stallholders are responsible for cash handled at their site during the course of the event. Whilst we will have Eftpos facilities on site, these will be limited and you may wish to provide your own Eftpos machine for transactions.
• If you have a trailer, please factor in access requirements, tow bars etc, as you are limited to your allocated space.
• Stalls must be staffed at all times while operational.
• Stallholders must take all reasonable steps to ensure their site is safe and they must notify the festival team of any potential hazards or concerns.
• Walkways around/between stalls must be kept clear.
• The final selection of stalls for EcoDay is at the discretion of event organisers in accordance with the aims and objectives of the event.
Charitable organisations/community groups [only non-powered sites available]:
• 3m x 3m no charge

Market Stalls [only non-powered sites available]:
• 3m x 3m $70+gst
• 3m x 6m $120+gst

Food Stalls [price is for non-powered sites]:
• 3m x 3m $90+gst
• 3m x 6m $150+gst
• Power $50+gst
Food vendors must supply their own cooking facilities. If power is needed, this needs to be added to the booking.

The stall fee covers the allocation of space only, no power or equipment is included. Equipment hire will be available for an additional fee, see below for more information. Stalls will be restricted to the area specified in booking.

• If your application is successful, a Stall Site Agreement and invoice will be sent to you.
• Please do not send payment until invoiced.
• Stall sites will not be confirmed until signed agreement forms have been returned and with payment confirmed in full.
• Payments are due by 20 March. If you do not pay by this date your application may be cancelled and your site offered to someone on the waiting list.
• Any stallholder withdrawing from the event before Friday 30 March will be charged a $50 cancellation fee. Refunds will not be issued to any stallholder withdrawing from the event after Friday 30 March.
• There will be no refund in the case of a stallholder not turning up on the day.
• Due to unforeseen circumstances, such as extremely bad weather, the event may be cancelled. There is NO rain date scheduled for the event.
• If the event is cancelled a refund of 75% of the total stall fee will be issued. The cancellation procedure will be detailed in the on-site information sent to all confirmed applicants.
