2019 Cleveland Asian Festival Vendor Application for the World Marketplace
Sign-up for a booth space at the 10th Annual Cleveland Asian Festival May 18 & 19, 2019.  Space is limited and priority is given for merchant vendors, sponsors, exhibitors, and cultural nonprofit organizations. All exhibitors/vendors will be subject to review.  Once you are approved, a volunteer will email you an invoice at their earliest convenience.  Your payment will secure your space in the World Marketplace. Unpaid invoices after ten (10) business days may void your application due to high demand for this year's 10th anniversary.

* Booth assignments are based on your current application, not your previous year(s) location (Do not ask unless you are a sponsor or paying for prime location).
* Electricity is only available to those who reserve and pay in advance.
* Merchant Vendors have products onsite for immediate purchase; if not, you are considered an exhibitor.
* Vendors selling items must be registered with the Ohio Secretary of State, Cuyahoga County, or City of Cleveland to legally conduct business in OH and must submit a copy of your vendor license to vendor@clevelandasianfestival.org
* Online Form and payment due March 31st, 2019 (postmarked by 3/31 if mailing payment). LATE FEE $50 after 3/31 PENDING Approval AND Availability. ALL FEES ARE NON-REFUNDABLE.

This application is for NON-Food Service & NON-Drink Vendors ONLY. New Food Service/Beverage vendors can fill out a proposal form for consideration at http://goo.gl/forms/iaez1QT6t9 for this or future festivals. If accepted you will be invited to fill out a Food/Drink Vendor Form. Only those who are accepted will be contacted -- No Phone Calls Please.

All other exhibitors and vendors can fill out this application online (do not print out this form or you will miss the drop down menus).

Apply early, pay your invoice, and be an approved vendor. Unauthorized soliciting or "suitcasing" at the Cleveland Asian Festival is strictly prohibited.

Tent Rental Package *
All Exhibitors must provide a 10' x10' canopy tent for each both space. If you do not have your own tent, a Tent Rental Package is available for $175 (include one tent, one table, 2 chairs, and tent set-up/weighted down). A Tent Rental Package is provided for Sponsors at the Partner level and above unless you would like to bring your own Company tent. Will you need to rent a tent? If so, how many? Electricity *
Electricity is only available to Sponsors, Merchant Vendors, NGO/Nonprofits who reserve and pay in advance . Gas generators are not permitted. Will your booth need electricity? Pricing for electricity is listed in the Booth Fee Section. NOTE: This is a daytime event; no lights needed; TV/monitors have low visibilty during the day.

Program Book Ad *

Cleveland Asian Festival Rules & Regulation Consent Agreement *
All goods displayed and/or sold must meet guidelines of the Cleveland Asian Festival (CAF) vendor committee. (No swords, knives, or weapons of any kind). • No helium tanks (larger than 3 ft.) will be permitted. • Vendors may NOT leave their booth for the purpose of attracting customers or physically handling guest. Vendors should not distract guest with loud speech, sound, or performances outside of their booth space. Vendors may offer samples or giveaways and/or an activity within their booth to attract guest. • All Vendors must supply their own table covering/skirting and banner/signage • each vendor is responsible for the maintenance and clean-up of his/her own area. Please store boxes and additional supplies out of sight during festival hours (i.e. under your covered table). Please dispose of trash and recyclables in their proper containers (provided by the festival). Any booth-related item(s) left after the festival on Sunday will incur a $100 fee per item. • All booth/table spaces must remain open during festival hours. • Electricity that is ordered allows only one outlet connection (must bring own outdoor rated extension cord (50-100 ft.), surge protector, and cable cover or heavy duty tape) • All vendors are to comply with set-up schedule, rules, and regulations: (a) Set-up hours will be 7 a.m. to 10 a.m. Vehicles are permitted on-site for UNLOADING ONLY. Please do not park your vehicle while you set-up. All Vehicles must be removed from the area by 10 a.m. (b) All Vendors are required to be set-up and ready for inspection and operation no later than 11 a.m. (c) Food and Merchant Vendors should park in the designated lots North of Payne immediately after unloading. All other exhibitors will park in staff lot south of Payne Ave. (d) Vendors must not tear down/leave prior to close of event without prior permission from the CAF vendor committee chairs. • Security will be provided from 7 a.m. Saturday until 8 p.m. Sunday evening. However, the Cleveland Asian Festival, Asia Plaza, and the City of Cleveland shall not be responsible for and are not custodians of any of your equipment or property at the event, and shall not be liable for any loss or damage to such property. Any special storage needs must be discussed with CAF Executive committee prior to the event. • Chairs and tables specifically provided for the use of dining areas, entertainment areas or other booths must not be removed. If you supply your own table(s) and chair(s), clearly labeled them to prevent any confusion with rental property. • Do not leave cash or completed charge slips with signatures unsecured or visible to the public (do NOT use clear containers for cash boxes). • It will be the responsibility of each vendor to follow applicable federal, state and local laws and the Cleveland Asian Festival Rules and Regulations, and to maintain safe working conditions. Cleveland Asian Festival, Asia Plaza, and the Cleveland Police may stop any hazardous activities or the use of particular equipment/item which they deem unsafe. • NO weapons, smoking, illegal drugs, or other illegal substances on premises. • The CAF does NOT allow pets on festival grounds with the exception of working service/guide dogs. • NO SALE of alcoholic beverages allowed on the premises. No SALE of soft drinks or bottled water except approved FOOD vendors or NGO with approval. • Submission of Vendor Application does not guarantee acceptance. You will be invoiced via PayPal if accepted or you may call 216-264-6750 to verify total fee if paying by check/money order. You may also email vendor@clevelandasianfestival.org to check on the status of your application. • Return Vendor Application and City of Cleveland Permit forms (if applicable), photos, non-profit status letter of determination, etc. by March 30th. WAIVER AND RELEASE OF LIABILITY *
By signing this application form: the applicant, by and through its duly authorized undersigned representative, and including the applicant’s members, volunteers, staff and employees, if applicable, and the applicant’s heirs, affiliated subsidiaries and parent organizations, administrators and executors (hereinafter collectively referred to as “the applicant”), hereby waive, release, and forever discharge any and all rights, claims for damages, demands, or actions which the applicant may have or may hereafter accrue to the applicant against the Cleveland Asian Festival, its organizers, volunteers, independent contractors, sponsors and affiliated organizations, Asia Plaza, the City of Cleveland, St. Clair Superior Development Corporation, event sponsors, and all affiliate organizations and individuals of Cleveland Asian Festival for any and all property damage, illness, accident, injuries suffered, even death, by the applicant in any manner related to the Cleveland Asian Festival, including but not limited to set-up, festival events, breakdown, clean-up, any services rendered, first aid, marketing and publicity of said festival. The applicant acknowledges and understands that the applicant is responsible for complying with all federal, state and local laws and regulations including but not limited to tax, labor and workers compensation laws. The applicant, through its duly authorized representative, consents on its behalf, including its members, volunteers, staff and employees, if applicable, to the Cleveland Asian Festival (“CAF”)’s use of its names on CAF’s website(s) and social media sites as well as to authorize the Cleveland Asian Festival to photograph, videotape, film and record (including but not limited to film, tape, or any other medium), its appearance, performance, interviews, rehearsals, behind the scenes work, and work as crew at CAF. CAF may also edit the same at its discretion and to include it with other sights, sounds, performances, organizations, and people as well as sound effects, special effects, digital effects and music. CAF may incorporate the same into the picture, trailers, posters or other materials or programs related to the Cleveland Asian Festival; to use and to license others to use such records and photographs in any manner or media whatsoever, including without limitation unrestricted use for purposes of publicity, advertising and sales promotion; and to use its names, likeness, voice, biography and other information in connection with the Cleveland Asian Festival and for any other purpose associated with said festival. The Cleveland Asian Festival is not responsible for any unauthorized duplication, distribution and/or use by third parties. The undersigned, on behalf of the applicant, understands and agrees to comply with the above as well as with the Cleveland Asian Festival Rules and Regulations.
