2024/2025 Technology Agreement


Ownership & Care

  • Devices, accessories, peripherals, software, and all related components are the property of Romulus Community Schools (RCS).

  • Students will be loaned a RCS-owned device for educational purposes only.

  • The device loaned to the student is in good working order. Students and their families agree to take responsibility at all times to ensure proper care and a safe environment for the equipment and ensure the return of the device in the same good condition.

  • The student’s use of RCS property is a privilege and may be suspended or revoked at any time and for any reason.

  • High School and Middle School students are expected to take their devices home. Elementary student devices will remain in the classroom.

  • Elementary students may check out a loaner device from the main office should they need to work from home.

  • The privilege of any student to bring home a device may be suspended or revoked due to misuse, misbehavior, or outstanding fees.

  • Families and students agree to all the rules for care and use of RCS technology, including but not limited to District Acceptable Use policies and the Student Handbook.

  • The student/family is responsible for damage, loss, or theft of RCS property, whether intentional or unintentional, just as with textbooks or other school materials loaned to students. Accidental Damage Insurance is available to lessen costs due to accidental, not loss or neglect.

  • Students shall not alter or download/upload apps/content onto RCS-owned devices.

  • Students must return all equipment to RCS upon request or unless they withdraw from RCS, whereby the student must return it before their last day of attendance.

  • Unauthorized tampering use, or lack of proper care violates this agreement.

  • RCS may remove data from the device at any time.

  • District Acceptable Use policies Student Handbook, and other applicable School/District rules apply to the device’s use at all times, in all places.


Damage

Students/families are responsible for damage to RCS-owned devices, whether intentional or unintentional.

  • Damage includes but is not limited to:

    • Apps-altered, missing, or downloaded

    • Broken Screens-Cracked, lines in the screen dim (hard to read), flickering or blurry

    • Broken Keyboard/Touchpad-Missing/broken keys or unusable touchpad

    • Broken System Issues-Camera, Chrome OS, power, sound, WIFI, internal settings

    • Damage/Vandalized parts-cracked covers, broken hinges, graffiti, missing pieces, or stickers

    • Water Damage

  • Student damage liability also extends to accessories and peripherals issued with the device, including power cords, cases, and keyboards.

  • Students/families are not responsible for the normal wear of the device due to daily use. RCS Technology Department shall determine “normal wear” versus “damage due to lack of proper use or care”.

  • The student/family must promptly report the issue to the student’s school office or media center. The RCS Technology Department will assess and repair the damage. Do not attempt to repair the damage, or you may incur additional costs.


Damage Repair

  • RCS determines if the damage claim was accidental or intentional.

  • The RCS Technology Department will assess the damage and oversee its repair in-house or with a vendor of their choosing.

  • Costs for repairs will be the student/family's responsibility and assessed per the fee schedule below.


Loss

  • Under no circumstances should a device be left in an unsupervised area.

  • Teachers are not responsible for students leaving their devices unsupervised in classrooms.

  • Students/families are responsible for lost or stolen devices.

  • Loss liability also extends to accessories and peripherals issued with the device, including power cords, cases and keyboards.

  • Contact the student’s school office promptly, but no later than seven school days after discovering the device was misplaced so RCS can lock the device to prevent unauthorized use.

  • File a police report no later than 14 calendar days after reporting the device loss, then bring the report to the student’s school office. RCS may aid the police in recovering the device.


Loss Replacement

  • Accidental Damage Insurance shall NOT apply to lost or stolen devices, accessories, or peripherals.

  • RCS will issue the student a loaner device after reporting it lost or stolen.

  • The loaner must remain at the school until receipt of payment for all assessed fees or an established payment plan is approved.

  • The student will be responsible for checking out the device at the beginning of each day and returning it to the designated location at the end of the school day.

  • RCS will wait 28 days before assessing the lost or stolen device fees.

  • RCS will assess fees for accessories and peripherals upon issuing a replacement.


Accidental Damage Insurance

  • Accidental Damage Insurance is OPTIONAL. Students/families are not required to purchase it. 

  • Accidental damage includes liquid spills, accidental drops, power surges, and natural disasters.

  • The Accidental Damage Insurance shall NOT apply to intentional damage, misuse, abuse, neglect, or loss of the device or any accessories and peripherals issued with the device.

  • The cost of Accidental Damage Insurance is $20 per device annually.

  • The Accidental Damage Insurance fee is non-refundable.

  • The Accidental Damage Insurance must be purchased by September 28th of each school year or two weeks after your student(s) enroll at RCS and is only available for District owned property. No Accidental Damage Insurance shall be purchased after these dates.

Fees

  • Accidental Damage Insurance does NOT apply to any intentional damage.

  • Students who do not return their device and any issued accessories and peripherals will be assessed fees for the device’s total replacement value and accessories and peripherals.

  • RCS will assess intentionally damaged devices fees up to $300 for repairing or replacing the device, depending on the severity of the damage.


Fee Schedule

  • With Accidental Damage Insurance

    • Claim #1: $20

    • Claim #2: $40

    • Claim #3: Up to the total value replacement cost of the device

  • NO Accidental Damage Insurance 

    • If the student/family has NOT purchased Accidental Damage Insurance, RCS will assess fees for each item’s replacement costs.

    • Fees will vary based on the extent of damage and device type. Also, prices may change at any time due to parts availability.
