PSD Spring Clean - Individual Space Clean
This form will help guide you through the application of LEAN 5S as we apply it to clean up our individual work spaces. You should use this form as a guide during the process and check off each of the required elements under the 5S categories. When you are done, hit "submit" and this will indicate you are completed. Name (Last, First)
The intent of of SORT is to choose the necessary from the unnecessary. Meaning, focus on keeping only those items necessary for work and eliminate unnecessary items located in your workspace as well as outdated physical files, etc.
Created a "red tag" location for items for which you are unsure you will need
All unnecessary items in the workspace have been removed
All "keep" Items in workspace have been sorted by frequency of use (daily, weekly, monthly or more frequent to less frequently used)
All "throw away" material has been removed (while adhering to records retention policy - link)
Set in Order
The intent of SET IN ORDER is to arrange needed items so they are easy to find, organized and always put away. A good example of SET IN ORDER would be placing items used most frequently within reach, facilitating access.
Items are stored based on frequency of use and are easily accessible
All necessary materials (example: supplies) are available in sufficient quantities and are organized
Visual cues are present (example: Inbox clearly marked, folders labeled for easy access)
Based on the new organization of your workspace, any staff member could find an item within your workspace within 5 minutes
The intent of SHINE is to make sure everything is clean, functional and ready to go. The idea is to refine both the sorting and set in order results so that items (folders, documents, supplies, etc) are easily obtained.
The overall "look" of your workspace is organized (example: stacks of papers are not covering your desktop surface)
Workspace surfaces have been wiped down
Floor in workspace is free of clutter and trash/recycle bins are easily accessible
The intent of STANDARDIZE is to implement the method you used to complete the first three Ss, only on a continual basis. For example, scheduling a designated time in your calendar weekly or monthly to organize and reevaluate items in the workspace.
A system you have developed has been put in place for keeping your items organized and your workspace free of clutter
Posted information (examples: phone lists, workflow charts, etc) is visible and up to date
The intent of SUSTAIN is to make a habit of properly maintaining your organized space and procedures.
I am committed to maintaining the results of the 5S spring cleaning project.
I have made an agreement with another staff member to perform a 5S evaluation on each other's workspace in the next 30 days (using the "PSD 5S Measurement Levels" sheet)
