Merchant Room Rules
The sale of food and beverages is not allowed by the Palais des Congrès.
Exhibitor badges cannot be transferred, sold or lent. They must be worn by all exhibitors at all times, and they should have the exhibitor booth, vendor or artist name clearly written on them. There must always be someone at the booth.
Nothing can be outside of your space (in front or on the sides) nor hinder circulation of other exhibitors that need to move in and out of their space. The tables can be removed from your space on demand. Installations may not be higher than 8'. We tolerate 9' if you are along the walls, however your installations must not be supported by the walls nor lean on them to damage them in any way. Please note that nothing can be hung, taped, glued or otherwise installed onto the walls.
Exhibitors must conform to the acceptable merchandise rules. Please consult the merchandise section and contact us if you have any questions. No sollicitation or pressure sales. Exhibitors may only operate within their booth space.
Exhibitors must respect the policies set by G-Anime, as well as the location and the staff of both the organisation and the Palais des Congrès.
At the end of the convention, the exhibitor must leave their space as it was upon their arrival. The exhibitor must assume all responsibility for any reparations or material damage they may have caused by their negligence.
The organizer guarantees that the exhibitors room will be locked from 6pm on Saturday until 8am on Sunday. The exhibitor can leave his equipment and goods in the room; however, the G-Anime convention cannot be hold responsible for loss, thievery of any personal objects or goods during the installation, opening or closing hours or during disassembling of the room. The exhibitor is responsible for his goods and must ensure the custody and control during the transport to and from the exhibitors room.
The exhibitor understands that the organizers and the Palais des Congrès do not offer any insurance that includes the exhibitors and their goods and that it is the exhibitors responsibility to obtain such insurance if it occurs. The exhibitor must subscribe to the insurance needed to cover for loss, damage to goods, injury or death and for all the responsibility that follows such events.
The exhibitor accepts that the organizers may modify the disposition of the room or booths and may have to move an exhibitor. The exhibitor understands that the eventual moving of their space does not give them the right to cancel their participation in the G-Anime convention nor to claim damages to the organisation.
If the location area is not occupied or not set up at the opening of the G-Anime festival, the exhibitor accepts that the organizer may use or redistribute to his own discretion without any obligation or refund to the exhibitor.
If, for any reason out of the organizer's control, G-Anime were to be cancelled, the organizer could not be held responsible for any losses to the exhibitor and will not have any other responsibility toward the exhibitor than to refund the costs related to the location of the exhibitor’s space. The exhibitor agrees to relieve the organizer of any obligation with respect to damages, claims, costs, judgments and legal fees arising from loss or damage to property and injury or death of persons in relation to the use of the leased space.
The responsibility of the organizer is limited to the location of the table and fees that are related to the rental.
Selling official images, reproductions or copies -- either in sum or parts -- is forbidden, no matter the format. The exhibitor may only sell arts or crafts made by them. Food is forbidden except if it is a collection product or Japanese or pre-s(ex.: Pocky).
If the exhibitor is part of a group, circle or studio (hereafter group) and is selling works of members who are not present, they must inform the staff upon arrival at the convention. A document of consent signed by the other members is required. If the exhibitor does not have such a document, they will only be allowed to sell their own work and not those of other members of their group.
Any art that includes nudity or sexual content cannot be displayed unless the explicit content is covered so it cannot be seen by minors. Selling or displaying items with sexual content to a minor is a criminal act. The exhibitor must ensure that their client is over 18 years old by requesting a photo identity card.
Acceptability of an art piece or a product is at the discretion of the staff responsible for the exhibitors room.
Any offender will be removed from the exhibitors room without refund.
NOTE: The organizer holds the rights to inspect any exhibitor's space during the installation or during the festival. The organizer could remove an exhibitor at any time without warning if the exhibitor breaches the rules of the exhibitors room, and is not responsible for any location fees, loss of revenue or any damage.
