Reforest Fest 2026 - Team Application Form
The Reforest Fest is a tree planting celebration like no other, combining music, food, and reconnection to each other and the planet. Our team is made up of Greenpop's long-term staff and contractors, plus amazing volunteers (possibly you!). The team work hard to run a smooth and slick event - it includes long shifts, late nights and a lot of dedication... but also lots of fun! We're looking for hard working volunteer team members who are willing to get really stuck in and help us make this a success. 

Festival Dates: Easter Weekend 3-6 April 2026
Venue: Bodhi Khaya Nature Retreat in the Overberg
To be selected as a volunteer you will need to be available before and after these dates - see below. 

You can volunteer for the following:

1. Pre-production Volunteering: 29 March - 2 April 2026 - Please note applicants who apply for both pre-production and weekend volunteering hold preference. 
- Set-up and build of event (Set-up, decor and building)
- A core build team arrive on 29th, other volunteers must must arrive between 30th and 2nd to help with the set up
- Volunteers who join us for the pre-production must also remain to help for the festival weekend period if they are staying for the festival

and/or

2. Reforest Fest Weekend Volunteering: 2 - 7 April 2026
- Be part of the festival management team in various roles
- Must arrive at the very latest by 15:00 the afternoon of Thursday 2 April as we will have a 17:00 briefing. This is NB.
- Friday briefings start in the early morning. We will not be accepting people that can only arrive on the Friday unless agreed with Claudia, our Events Manager
- Volunteers must be present during the whole period
- Must stay until at least Tuesday 7 April at 14:00 to assist with the strike of the event (strike team ideally stays longer until the end of the day on Tuesday)

If you have further capacity to volunteer prior to these dates, mention dates and your availability in hours per week, in your application form and areas of interest. We have ad hoc roles that we need help with in the months prior too.

We will select your role based on the skills and experience you include on your application.

Note for Planting Team: only people who have been on our planting team with Greenpop at Reforest Fest, Eden or in Cape Town, or who have planted with Greenpop more than twice before, will be eligible. If you do not have this experience, do not apply to be a part of the planting team. 

Other teams may not get to join the planting day at the fest as we have so much to do, but we will try to arrange a team planting session for those who'd like to plant at a later stage.

Volunteer team members agree to the following:
- Volunteering in an unpaid voluntary capacity (we have a few paid roles for managers)
- Bringing your energy, determination, enthusiasm, flexibility, resilience, resourcefulness, and an ethic of hard work
- To being as flexible as possible and being prepared to adapt to changes that may have to be made right up until the festival starts 
- To committing to Greenpop’s vision and values and to representing these at Reforest Fest. Read them here: https://greenpop.org/about-us/
- Arriving in good time to set up your tent and get organised. By latest 15:00 Thursday 2 April 2026
- Arranging your own transport to the festival and back (Bodhi Khaya is about 2.5 hours from Cape Town between Stanford and Gansbaai)
- Bringing your own tent and sleeping gear
- Bringing a fresh face and a great attitude!

As a volunteer team member you will receive the following:
- Meals during your time as a volunteer at the festival (all vegetarian/vegan)
- A team shirt (if we manage to arrange funds to make these)
- A certificate, highlighting your participation after the event, if requested
- Reference letter, if requested

Being part of the team is seriously hard work... but lots of fun too. We're looking for people who like getting stuck in, roughing it a bit, working late, being part of a tight team and having a laugh while doing it.

A description of what you can expect when volunteering at Reforest Fest 2026 - please read this carefully!

*Most roles are more physically demanding that an average desk job and you will have to deliver these outdoors come rain or shine!

During the Pre-Production period 
- During pre-production you may or may not be given any specific shifts. We all work together to do what needs to be done!
- We meet each morning and discuss what needs to happen during that day- then we divide into smaller teams and work our magic to get the festival ready
- We all build, clean, paint, carry, put up tents, sort, organise and decorate. It's hard work and long days but loads of fun!
- If you have a specific skill or strength then we will try to give you tasks that suit you. If you don't have any specific hardware or decor skills then we will ask you to help with all the other necessary jobs and tasks.

During the Reforest Fest Weekend 
- During the festival you will have to follow the specific shifts/brief that we will give to you once we confirm your place on the team.
- You will be part of a specific team (e.g. bar, door or waste management team). You will be assigned a team based on what you tell us in this form and what we need help with.
- You will need to be on time for all your team meetings and shifts.
- In-between your shifts you can enjoy the festival and participate in all of the wonderful celebrations.
- You are requested to stay until 7 April 2026 to assist with striking the event 

Catering/dietary note- all team catering is vegetarian and/or vegan. And delicious!

Which teams would you most like to be a part of during the festival weekend?
The next three questions will allow you to choose your 1st, 2nd and 3rd choice of teams to be a part of during the festival weekend.
Though some of you may end up in more than one, we'll try to keep most of you in just one team for the full weekend. We will try to place you in one of your top three favourite teams if possible! Select these below.

Hardware team (helping with hardware during the festival, fixing, building, sorting, generators etc)

Welcome and Door team (welcome people as they arrive, get forms signed, tickets scanned. Helping them to park, taking them to their tents, being a friendly and informative host)

Food and Snack team (helping in the team kitchen to cook for team, prepare snacks, serve and tidy up after meals. Ideally love food and being in the kitchen with a bit of experience)

Hygiene team (beautifying our rustic but lovely composting loos and outdoor showers, ensuring there is incense and soap and they are decorated etc.)

Bar team (serving drinks at the bar, managing stock, re-stocking ice, cash ups, friendly service etc.)

Waste Warrior team (helping with recycling sorting, ensuring people know what it's all about, ensuring no litter is left anywhere, general waste squad)

Photography/Videography team (a shot list will be provided by Greenpop)

Decor team (are you an artist, set dresser, painter or have an eye for decor?)

Health and Safety team (are you a doctor or medic or have some health and safety experience? Have you been a lifeguard? Fire fighting knowlege? Security?)

Kiddies Corner team (decorating, supervising, holding a safe and happy space for little ones, managing kiddies activities, being fun!)

Activations team (assisting in myriad pop up activations throughout the weekend, from hosting wine tasting to Sunday feasts, feeding the hungry planters to setting up the stages, hospitality experience ideal)

Stewarding / Parking team (this team helps steward guests around the site, parking, and showing them where to go - enthusiastic bubbly happy people to show the Greenpop shine!) 

Planting team (only people who have been on our planting team with Greenpop at Platbos, Eden or in Cape Town, or who have planted with Greenpop more than twice before, will be eligible. If you choose Planting Team, you must meet these requirements, and choose Planting Team for all three options below, you will not be able to be a part of any other team. Please provide details in the section below as to when you have previously planted with Greenpop, and your related skills thereof)
