Agreements and Terms for Vendor Booth Rental
Booth Assignment: The event organizer reserves the right to assign booth spaces based on availability and suitability. Booth location preferences expressed by the vendor are considered but not guaranteed.
Booth Rental Fees: Payment of booth rental fees must be made in full by the specified deadline to secure the booth. Fees are non-refundable unless otherwise stated in writing by the event organizer.
Setup and Dismantling: Vendors are responsible for setting up their booths before the event begins and dismantling them promptly at the end of the event. Setup and dismantling times will be communicated closer to the event date.
Booth Equipment and Displays: Vendors are responsible for providing their own booth equipment, including tables, chairs, and any displays or signage. Any additional equipment or services required must be communicated to the event organizer in advance and may be subject to additional fees.
Products and Services: Vendors must display and sell only the products or services agreed upon during registration. The sale of unauthorized or illegal items is strictly prohibited and may result in immediate removal from the event without refund.
Conduct and Compliance: Vendors agree to conduct themselves in a professional manner and comply with all event rules, regulations, and local laws. Any behavior deemed inappropriate or disruptive by the event organizer may result in immediate removal from the event without refund.
Promotion and Marketing: Vendors are encouraged to actively promote their participation in the event through their own marketing channels. The event organizer may promote vendors and their products/services through event materials, social media, and other promotional channels.
Subletting and Sharing: Booths may not be sublet or shared without prior written approval from the event organizer.
Indemnification: Vendors agree to indemnify and hold harmless the event organizer from any claims, losses, damages, liabilities, costs, and expenses arising out of or related to their participation in the event.
Cancellation or Termination: In the event of cancellation by the vendor, booth rental fees are non-refundable unless otherwise stated in writing by the event organizer. The event organizer reserves the right to cancel or terminate a vendor’s participation in the event at any time for reasons including but not limited to breach of these terms, safety concerns, or unforeseen circumstances.
Changes to Terms: These Agreements and Terms may be subject to change at the discretion of the event organizer. Vendors will be notified of any changes in writing.
