PoleCon 2025 Volunteer Application/Contract
Thank you for wanting to be a volunteer at PoleCon!

General info: Volunteer spaces may be available and include the following duties: pole cleaning during performances, checking in attendees to paid workshop rooms, set-up, clean-up, assisting with registration/information desk and other general duties as assigned.

As of 2020, we ONLY accept volunteers who have previously volunteered at PoleCon OR pre-approved groups. To become a pre-approved group you must commit to organizing a set number of people greater than three. Many studios, including the studio sponsor organize pre-approved groups however this is not only for studios. If one of your group can no longer volunteer, you MUST fill that slot with another volunteer. Email to become a pre-approved group. Not all groups are accepted due to the number of volunteers already committed to the event which may change every event.

This is an agreement between: PoleCon AND you, the volunteer.

PoleCon 2025 volunteering is only available for people who have volunteered at previous PoleCons and approved groups. Shift sign-ups will be available by the end of February 2025 after full schedule is released. 

All volunteers will receive an email to sign up for specific volunteer shifts in different activities, as noted below.

Describe your previous PoleCon volunteer experience. Example: "I volunteered as a pole cleaner for the Sexy Showcase at PoleCon 2018" or "I am part of the approve group lead by <insert group leader name>."

DESCRIPTION OF SERVICES: 10-hours of volunteer time broken out into five, 2-hour shifts supporting PoleCon sometime between May 29-June 1 (mutually agree-to shift schedule for volunteering available for sign up in February 2025) in one or more of the following areas: set up, break down, pole cleaning,  playground or door monitor, free workshop monitor, paid workshop checkin/monitor, showcase checkin. Pole cleaners MUST be able to climb 12 ft poles safely. Pole cleaners may be required to wear tops/bottoms or other articles of clothing/accessories provided by showcase sponsors. We will ask for pole cleaner sizes in advance and make every effort to secure appropriate sizes.

RELATIONSHIP OF PARTIES: As a volunteer, I understand that I control the dates and times when I do the work during the available times that PoleCon specifies during scheduling period (mutually agree-to shift schedule for volunteering available for sign up in February 2025). I also understand that I will not be compensated for any time spent volunteering, nor am I entitled to benefits, including employment insurance benefits upon the termination of this agreement or as a result of this service. *

AVAILABILITY: If I am no longer able to volunteer at PoleCon, I will immediately notify PoleCon via email at info@poleconvention.com

SAFETY: I am aware that participation as a volunteer may require periods of climbing, standing, sitting, lifting and carrying equipment up to 35 pounds at a time and will require the exercise of reasonable care to avoid injury. I am voluntarily participating in this activity with knowledge of the hazards and potential dangers involved, and agree to accept any and all risks of personal injury and property damage. I UNDERSTAND THAT IF I AM INJURED IN THE COURSE OF THE PROJECT, I AM NOT COVERED BY PoleCon’s WORKERS’ COMPENSATION PROGRAM. I authorize PoleCon to seek emergency medical treatment on my behalf in case of injury, accident or illness to me arising from my involvement as a volunteer. I understand that I will be responsible for medical costs incurred by such accident, illness or injury. *

INDEMNIFICATION: As consideration for volunteering for PoleCon, I hereby agree that I, and my assignees, heirs, guardians, and legal representatives, will not make a claim against or sue PoleCon or its employees, agents or contractors for injury or damage resulting from the negligence, whether active or passive, or other acts, however caused, by any of its officers, employees, agents, or contractors of PoleCon as a result of my volunteering. I HEREBY RELEASE AND DISCHARGE POLECON AND ITS OFFICERS, EMPLOYEES, AGENTS AND CONTRACTORS FROM ALL ACTIONS, CLAIMS, OR DEMANDS THAT I, MY HEIRS, GUARDIANS, AND LEGAL REPRESENTATIVES NOW HAVE, OR MAY HAVE IN THE FUTURE, FOR INJURY OR DAMAGE RESULTING FROM MY PARTICIPATION IN THE PROJECT. *

CONFIDENTIALITY: I understand that the materials, emails and tools provided by PoleCon are and remain the property of PoleCon and I agree to return these tools and any remaining materials to PoleCon at the end of my volunteer service. I HAVE CAREFULLY READ THIS AGREEMENT AND FULLY UNDERSTAND ITS CONTENTS. I AM AWARE THAT THIS IS A RELEASE OF LIABILITY, AND SIGN IT OF MY OWN FREE WILL. *

ARBITRATION: If I have any complaints, comments or concerns about the PoleCon organization, attendees, performers, workshop/seminar leaders, staff, volunteers, hotel, etc. I will reach out to PoleCon directly to discuss those concerns.

AGREEMENT:
Teacher agrees to follow the Code of Conduct while at PoleCon:

Attendees must respect commonsense rules for public behavior, personal interaction, common courtesy, and respect for private property during PoleCon.

Attendees must receive explicit verbal or non-verbal consent before any interaction that involves physical contact.

Attendees must respect current and applicable rules and regulations for safety regarding COVID-19.

PoleCon reserves the right to revoke, without refund, the convention pass and/or workshop passes of any attendee not in compliance with this policy at PoleCon and/or before PoleCon if a legitimate safety concern is warranted as defined by PoleCon staff and relevant legal counsel.

Persons finding themselves in a situation where they feel their physical safety is at risk during PoleCon or who become aware of an attendee not in compliance with this policy should immediately notify the PoleCon front desk/registration desk so that the matter can be handled in an expeditious manner which may include involving local law enforcement.

TERMINATION: PoleCon or the volunteer may at any time terminate this contract at no cost and either party may notify the other via email of termination. This contract automatically terminates on June 2, 2025. If a volunteer terminates their volunteer contract, their free pass to PoleCon is revoked. If PoleCon terminates the contract with the volunteer, the volunteer's free pass to PoleCon is revoked.
