PTO Executive Board Nomination for 2020-2021
FINAL DATE TO SUBMIT NOMINATIONS: WEDNESDAY, MARCH 18, 2020 by 3:30pm

Braeside PTO Executive Board Elections will take place at the PTO meeting April 3rd, 2020 at 9:15 a.m. at Braeside School. The Nominating Committee will select the slate of candidates during the month of March. If you are interested in being a candidate or wish to nominate another person as a candidate, please submit the candidate’s name and office of interest no later than 3:30pm on March 18, 2020. Forms are also available in the Braeside Office.

PTO Executive Board positions and responsibilities are:
Co-Presidents: The up to two (2) principal executive officers of the PTO, the Co-Presidents supervise the business and affairs of the PTO and are ex officio members of all PTO committees.

Administrative Co-Vice Presidents: The up to three (3) Administrative Co- V.P.s are responsible for all committees that are not fundraising in nature and coordinate the selection of committee chairpersons and members. They also serve as the Co-Presidents in the event the Co-Presidents are unable to perform their duties.

Ways and Means Vice Presidents: The up to three (3) Ways and Means V.P.s are responsible for all fundraising activities such as Food Days, Braeside Bucks, Spirit wear, Used Book sale, etc.

Co-Recording Secretaries: The up to two (2) Co-Recording Secretaries keep attendance at all PTO meetings, record and keep minutes of all PTO meetings, and are custodians of all PTO corporate records.

Co-Webmasters (Corresponding Secretaries): The up to two (2) Co-Corresponding Secretaries give notices as required by the PTO Bylaws needed by the Executive Board. They are also responsible for communication through the PTO’s website as well as maintenance of PTO website.

Co-Treasurers: The up to two (2) Co-Treasurers are responsible for all PTO funds and securities and chair the Budget Committee.

PRESIDENT:
The President shall be the principal executive officer of the PTO, shall supervise the business and affairs of the PTO, and shall be an ex-officio member of all PTO committees. The President shall preside at all meetings of the members, and the Executive Committee. The President shall sign contracts or other instruments which the President may be required by law to sign or execute (including all checks written by the Treasurer).
Other Responsibilities:
Prior to monthly meetings the President should seek input for the creation of, and then distribute meeting agendas.
Act as a liaison between the PTO and the school administration relaying information to/from the Executive Board and the organization’s members.
Execute decisions of the Executive Board
Attend President’s Council monthly meetings
Schedule and organize guest speakers and parent educational events.
Maintain an active presence on behalf of the organization on social media platforms including, but not limited to Facebook, Twitter and Instagram. Represent the organization, as requested, at community events including, but not limited to Open House and Newcomer’s Tea.
Represent the organization in dialogue with members of the community regarding PTO sponsored events and activities.
Organize and publish monthly newsletter to be distributed amongst the organization’s members.

TREASURER:
Office shared by two individuals. Expected commitment of two years.
The Treasurer shall have charge and custody of, and shall be responsible for, all PTO funds and securities, and shall deposit such funds in the name of the PTO in such banks, trust companies or other depositories as shall be selected by the Executive Committee.
Other Responsibilities:
Receive all monies of the organization, keep an accurate record of receipts and expenditures; and pay out local funds in accordance with the Executive Board.
Act as Administrator to all banking related entities including, but not limited to bank branches and online banking/bookkeeping services.
Present a financial statement at the first and last meeting of the school year and when requested by the Executive Board. Maintain a working relationship with the organization’s accountants ensuring legal paperwork and filings including, but not limited to tax related items, organization status and annual reports are in good standing and filed, if necessary, on time.
Assist committee chairs with all monetary needs and financial transactions associated with their event or activity.
Track all Grant Requests and their fulfillment.
Organize and present an annual budget to be approved at the last meeting of the Executive Board for the following school year.
Attend all PTO and Executive Board meetings.

RECORDING SECRETARY:
Office shared by two individuals. Expected commitment of two years.
The Recording Secretary shall record attendance at all meetings of the PTO membership and the Executive Committee; shall record and keep the minutes of such meetings in one or more books provided for that purpose.
Other Responsibilities:
Should organize and distribute minutes for approval at onset of each Executive Board meeting.
Attend all PTO and Executive Board meetings.

VICE PRESIDENT, ADMINISTRATIVE:
Office shared by three individuals. Expected Commitment of two years.
The Administrative Vice President shall perform the duties of the President in said person’s absence. The Administrative Vice President shall be responsible for all committees that are not fundraising in Nature. The Administrative Vice President shall be responsible for coordinating the Nominating Committee.

Hospitality and Beautification
IMC
5th Grade Promotion
Community Service
Braeside Gather
Yearbook
Nominating
Oversee the coordination and execution of the following event/activities:
School Supplies
Class Pictures
Fun(d) Run
Field Days
Oversee the coordination and operations of the Room Parents.
Attend all PTO and Executive Board meetings.

WEBMASTER (Formerly Corresponding Secretary)
Office shared by two individuals. Expected commitment of two years.
Responsibilities include:
All communications to the PTO membership including, but not limited to e-mail notifications and text blasts.
Maintenance of the PTO website through the Paperless PTO (PPTO) including any and all updates to the calendar and information associated with activities, events, committees or board positions.
Manage all e-commerce transactions via the PPTO including sales, refunds and credits.
Responsible for all PTO publicity including communications, marketing and advertising.
Attend all PTO and Executive Board meetings.

VICE PRESIDENT, WAYS AND MEANS
Office shared by three individuals. Expected Commitment of two years.
