2026 Philly VegFest Exhibitor/Sponsor Registration Application and Information

EARLY-BIRD REGISTRATION DISCOUNTS:
20% Refund for First 2 Vendors to Pay (APPROVED and PAYMENT COMPLETED)
15% Refund for Next 5 Vendors To Pay (APPROVED and PAYMENT COMPLETED)
10% Refund on all others to Pay (APPROVED and PAYMENT COMPLETED Before Midnight on March 15)
*Discounts do not apply at Non-Profit, Corporate/Commercial nor Sponsor-Level 

FESTIVAL DATE: Saturday, June 13, 2026: 12pm - 7pm

ALL APPLICANTS:
1. Complete the application below to be accepted as an exhibitor/vendor/sponsor.
2. Upon acceptance, you will be notified and notified of related fees.
3. We will inform you of payment discrepancies, additional payment requirements or payment adjustments as they pertain to your vendor/exhibitor type. 
4,. Payment must be made promptly to secure your place. Your place will not be held without payment.

VENDOR SPACES:
Provided Vendor Spaces are based on 10' x 10' tent size or standard mobil unit.
Additional Space and Amenities may be purchased a la carte (below). 
No electricity will be provided.
Payment for Vendor Space may be paid to Philadelphia VegFest. We will provide an invoice upon approval.

VENDORS/EXHIBITORS PRODUCT GUIDELINES:
All food and products must be 100% vegan. No animal products nor animal byproducts (shells, feathers, bones, honey, hair, fur, leather, etc.)

Further instructions will be provided upon acceptance and invoicing.

FEES:
Food Vendors are responsible for required approval and licenses with the City of Philadelphia Department of Public Health (Food Services) and the Office of Licensing and Inspection (L&I). We can help if you need help.
1. Temporary or Permanent Event Food Service Application with Dept. of Public Health (SELLERS AND SAMPLERS)
2. Temporary or Permanent Special Event Vendor License (#3112) from Office of L&I (ALL FOOD SELLERS)

NOTIFICATION:
Payments due will be reviewed and matched to your application. You will be notified of receipt of your application and acceptance as an exhibitor/vendor. We will inform you of payment due, payment discrepancies, additional payment requirements or payment adjustments as they pertain to your vendor/exhibitor type. 

NON-ACCEPTANCE:
In the event of non-acceptance as a vendor/exhibitor, you will be notified and any monies paid to Phila VegFest will be returned (minus any transaction fees incurred by Phila VegFest for PayPal or Credit Card payments). 

PAYMENTS ARE NON-REFUNDABLE:
All payments are non-refundable in the event of cancellation or non-participation due to inclement weather, forfeiture of participation by vendor/exhibitor, and/or circumstances not created or generated by Philly VegFest. Certain circumstances will allow for transferrable credit or account credit at discretion of Philly VegFest LLC. Credits will be determined on a case-by-case basis at the discretion of Philly VegFest LLC.
