Ithaca Apple Harvest Festival 2018 Craft Vendor Application
The Downtown Ithaca Alliance is pleased to announce the 36th Annual Apple Harvest Festival Presented by Tompkins Trust Company. Last year was such a wonderful success, we are looking forward to working with you all again this year. Attracting an audience of over 35,000 people, the festival will be held on:

September 28 (Friday, 12 - 6pm)
September 29 (Saturday, 10am - 6pm)
September 30 (Sunday, 10am - 6pm)

Acceptance emails will be sent on a rolling basis, with all applicants being notified by the first week of September. The deadline for craft fair applications is Friday, August 10th, 2018. Applications received after the deadline will be placed on a waiting list in the order in which they are received.

Prices for booths depend on which days you will be present, your requested location, and there are discounts for downtown Ithaca BID merchants. Pricing is listed in the options further down in this form.

*Work submitted and sold must be the original work of the entrant. Commercial and manufactured items will not be allowed, and the Show management reserves the right to have you remove unacceptable merchandise from the display area. Each crafts vendor will handle her/his own sales. Collecting and reporting of sales tax is each craft vendor's responsibility.

*No awnings are allowed on tents as these interfere with the fire lane. If you need a shady location, please note that in the form below.

*You must bring tent weights. If you do not have tent weights, we will be happy to share information about how to easily make some. Tent weights are important, because without them, wind can cause the tent to fly into the air or move significantly, which could damage your or other vendors' items, and present a safety hazard.

*Your booth must be kept neat and clean. Your table should be covered to the ground and boxes must be hidden from view. Trash must be disposed of and recycled properly. Access to the stores and businesses must be maintained at all times. No alcoholic beverages are permitted. Ithaca has an open container law that is strictly enforced.

*We will have staff members walking around doing schedule Craft Relief Visits throughout the weekend to give you an opportunity to leave your booth for a few minutes.

*Please be prepared to stay the full hours of the craft fair (on the days you have applied to be present). If you know in advance you will need to leave early, please let us know far ahead of the craft fair so we can take that into account when placing booths and selecting vendors.

*You can park in the Parking Garage on Cayuga Street, across from the Hotel Ithaca or in the Green Street or Seneca Street garages. Parking is $7 for the day on Friday in the garages. Event parking is in place for $5 per day on Saturday and Sunday. If you cannot fit in a parking garage (7 foot clearance, no trailers), please indicate below that you'd like to make arrangements.

*At the end of the show on each night we must wait until the Ithaca Police Department clears the area for vehicles. This may take until 8pm or longer depending on crowds. If you will need to leave immediately after the craft fair hours end, please bring a hand truck to make this possible. We know you're eager to get home after the craft fair, and we will do our best to help you leave as soon and as conveniently as possible.

*We are not able to permit ANY vehicles into the area until this clearance is obtained. You may use a hand truck and the loading zones at the end of each intersection to remove your items prior to this clearance.

*You should pack your booth and place it on the sidewalk, directly behind your booth spot BEFORE you retrieve your vehicle.

*A show coordinator will be walking the site during tear down to help direct traffic. Please do not retrieve your car until we have let you know that we have space available for you to pull your car nearby. Any violation of a staff person or Police Department officers directions will make you ineligible to be included in future festivals, and possible ticketing, fines or other police action.

*Security during the festival is provided including overnight staff. However, we advise removing any valuable items from your site. You are able to leave your tent and belongings in place overnight.

*Please report any issues to the coordinator immediately so that they can be resolved.

Do you have a booth location request? A standard booth is a 10x10' booth, with other booths on one or both sides of you. If you have other specific needs regarding your booth location or setup, please let us know here

Do you need trailer or handicap parking? *
If so, please provide exact measurements in feet from the front of your vehicle to the end of your vehicle or trailer. This will help us determine if we need to reserve one or two parking spaces for you. The cost is $13.50 per space needed ($27 for the weekend if you need two spaces). Spaces are very limited and we will try our best to accommodate each request, however we cannot guarantee. Size: If you cannot fit in a parking garage (7 foot clearance, no trailers allowed in garage)--you qualify for these special arrangements. If you have a standard vehicle, please utilize regular garage or street parking.

All booths are 10' x 10'. (If you would like a 10' x 20' booth, please double the booth fee only.)
Booth fees, listed in the section below, vary based on location, how many days you are attending, and whether or not you are a Downtown Ithaca BID member.

Non-Refundable Application Fee: $20.00

Refund Info: If you apply and are accepted, you have until August 30th (or one week after your acceptance notification, if later) to notify by email of your cancellation to receive a refund of your booth fee. If you cancel after this date, you will not receive a refund of your booth fee.

Please send in two (2) separate checks for each fee (one for the application fee and one for the booth fee) made out to the Downtown Ithaca Alliance. Booth fee checks are not cashed until you are accepted and will be shredded if not accepted (or returned, if you send a money order).

PLEASE READ THIS CAREFULLY: Corner booth space requests will be acknowledged first come, first serve and we will confirm requests in a timely manner. Corner booth spaces are only available for 3-day vendors. Advantages of corner booth spaces are: higher visibility and the room to display on both the front and one side of your booth. Corner booth spaces are located at the following street corners: Cayuga & State, Cayuga & Seneca, Cayuga & Buffalo. We also have a limited number of spaces that are not corner booths but are in locations where there will only be a booth on one side of you, which will provide the ability to display on both the front and one side of your tent. ARE YOU A MERCHANT IN THE DOWNTOWN ITHACA BUSINESS IMPROVEMENT DISTRICT (EXCLUDING FOOD)? We have a merchant rate available so please select that option below. Booth allotments at this rate are space pending as we have to first accommodate merchants who reside on the space where the event is happening.
If you chose a CORNER BOOTH space, but one is not available, would you like to be considered for a booth space that is in a location where you will only have another booth on one side of you (so that you can display on the front and one side of your booth)? This is the same price as a corner booth.

As an exhibitor, I agree to comply with the rules and regulations of this event. That, in consideration of my application being accepted, I intend to be legally bound; that I do hereby, for myself and my heirs, executors, administrators, successors and assigns release and forever discharge any and all rights and claims for damages which I may have or here-after accrue to me against the City of Ithaca and the Downtown Ithaca Alliance, and their employees, officers, volunteers, members, and board of directors for any and all damages, losses and injuries sustained to me and/or my property during the Apple Harvest Festival.
