General Board Information
Girls+ Rock! Pittsburgh is led by a working, volunteer board. The board is responsible for all decision making and running of camp. This is currently not a paid role.

- a term typically runs for a year (January-December), with busy times usually being March through August depending on roles
- minimum one year commitment (currently, no term limits are in place)
- meet once a month for board meetings (approximately 1 hour long), currently most of our meetings are virtual and happen on the first Wednesday of every month but we are flexible to changing this 
- work between meeting is done via e-mail or with small groups working on a specific task
- optional work days are scheduled in between official meetings as camp nears or as tasks need to be completed!
Description of Roles

Current Director positions include Operations, Volunteer Coordination, Development/Fundraising, Programming/Outreach, Marketing/Graphics, & Gear/Supplies. Directors are free to form committees (Bylaw 4.1) to accomplish the tasks of their position but are ultimately responsible for making sure that all of the responsibilities of their position are met.


Responsibilities of the Girls+ Rock! Pittsburgh Board of Directors:

  • Advance the organization’s vision, mission, and direction;

  • Make a commitment to actively participate in board work and responsibilities throughout the year;

  • Willingly volunteer for and complete duties;

  • Attend monthly board meetings;

  • Respond to e-mail communications between scheduled meetings;

  • Provide general organizational support for camp, events, and other programming

Helpful (but not required) skill-sets for Board Members

  • Experience with fundraising campaigns, strategic planning, grant-writing, marketing, donor relations;

  • Experience in volunteer management, community education, teaching, or youth development;

  • Experience in nonprofit/business law or finance/bookkeeping; or

  • Experience in the music industry, business management, or non-profit leadership

BOARD OF DIRECTOR POSITIONS


Directors are free to form committees or delegate to others to accomplish the tasks of their position but are ultimately responsible for making sure that all of the responsibilities of their position are met thoroughly and on time. Directors who form committees are free to set the qualifications for and limits on committee membership.

There is overlap between Director responsibilities and Directors are expected to work together to meet the Organization's needs. Co-chairs may be added when necessary!



Operations Management

  • Ensure organizational compliance with all laws and regulations;

  • Monitor income/expenses, make purchases, and pay bills;

  • File organizational taxes and other required paperwork;

  • Monitor and respond to info@ and forward messages as necessary;

  • Communicate with parents and guardians;

  • Handle organizational and camp logistics;

  • Maintain website, email newsletters, camp applications, and camp invoices;

  • Provide logistical support to other Directors;

  • Coordinate with other directors to ensure sure that organizational needs are met; 

  • Work with other Directors as necessary to accomplish the organization's goals; and

  • Other tasks as necessary to meet the organization's needs


Volunteer Coordination

  • Plan and execute volunteer recruitment and outreach;

  • Plan and execute volunteer training;

  • Update volunteer handbook and other volunteer materials as needed;

  • Create volunteer schedules and assign volunteer roles;

  • Review/update volunteer application form;

  • Review and keep track of volunteer applications;

  • Maintain volunteer engagement and communicate with volunteers throughout the year;

  • Recruit volunteers for specific roles as needed;

  • Work with other Directors as necessary to accomplish the organization's goals; &

  • Other tasks as necessary to meet the organization's needs


Development/Fundraising

  • Promote camp and other programming to local schools and community organizations;

  • Identify and develop relationships with potential partnerships and donors;

  • Identify and apply for grants and other sources of revenue;

  • Plan and execute fundraising events and campaigns;

  • Maintain donor engagement through the year;

  • Coordinate donations and external fundraising efforts;

  • Work with other Directors as necessary to accomplish the organization's goals; &

  • Other tasks as necessary to meet the organization's needs


Design/Marketing/Social Media

  • Design annual camp logo and design theme;

  • Design organizational merch, including t-shirts, stickers, buttons, tote bags, and other items;

  • Design organizational materials, including fliers, brochures, showcase programs, and other promotional materials;

  • Design graphics for use in social media campaigns and profiles, the website, and email newsletters;

  • Create marketing plan for social media campaigns 

  • Post regularly to social media in promote events for the organization

  • Maintain organization’s website and social media channels 

  • Coordinate with other Directors to assess and respond to design needs; 

  • Work with other Directors as necessary to accomplish the organization's goals; &

  • Other tasks as necessary to meet the organization's needs


Programming

  • Recruit and schedule volunteers for camp workshops, assemblies, and lunchtime band performances;

  • Identify and develop opportunities for year-round workshops and other programming;

  • Identify and develop potential partnerships with other community organizations and schools;

  • Serve as point person for tabling opportunities and band performances;

  • Serve as point person for camp showcase and album release party;

  • Work with other Directors as necessary to accomplish the organization's goals; &

  • Other tasks as necessary to meet the organization's needs


Gear/Inventory

  • Maintain gear inventory system;

  • Plan and execute gear loan program;

  • Arrange for gear repairs and replacements as needed;

  • Ensure that organizational gear and supply needs are met;

  • Plan and execute storage unit organization and gear inventory days;

  • Arrange and process gear donations;

  • Serve as gear needs point person during camp week and the showcase;

  • Serve as point point for camp load-in and load-out;

  • Maintain the organization’s storage unit throughout the year;

  • Work with other Directors as necessary to accomplish the organization's goals; &

  • Other tasks as necessary to meet the organization's needs
