Booth Price: $165
Each paid booth will come with a 6ft wide table and two chairs (half of our inventory are classroom tables), along with an 8ft wide curtained backdrop. You can hang lightweight signage/banner from there with pins, hooks, twine or actually, reversed shower hooks to hang over the top pole works best.

There is no extra charge for power, but outlets are very limited, so they will be reserved on a first-come, first-served basis. The vendor is responsible for providing a minimum of 20ft extension cord to reach power junction and then a power strip if you need to plug in more than one item.

VENDOR BOOTH ASSIGNMENTS: Vendor booth locations will be assigned based on the following criteria: (1) Date/time that applications and payment are received. (2) Power needs (3) Potential traffic from booth activities or special guests.

PLANNING YOUR BOOTH ACTIVITIES: Based on historical attendance, we suggest you prepare to greet over 600 families and over 2,500 individuals. Therefore, if you are preparing a handout with your program information, we recommend printing 600 copies so you don’t run out just in case we see an uptick in attendance. Please keep your activities confined to your booth space so that you don’t inconvenience your fellow vendors or impede aisle space that is necessary for us to keep traffic moving. Make sure the activities you have planned will fit within your booth space. Please refer to the below restricted activities or products in your booth.

BOOTH ACTIVITIES & RESTRICTIONS: We encourage you to provide a game, giveaway or activity at your booth to help you draw traffic. The museum also has restrictions when it comes to paint, glue and other liquids. If your plans include any of these materials, please contact Tammy at 253-212-7270 so she can discuss the guidelines with you in more detail to make sure we are in compliance with the museum. Same would apply for live animals, some may be allowed but would need pre-approval.

DO NOT PLAN AN ACTIVITY THAT INVOLVES FOOD OR BEVERAGES! THE NIM HAS A STRICT “NO OUTSIDE FOOD/BEVERAGES” POLICY. PLEASE CONFINE ALL ACTIVITIES AND GUESTS TO YOUR BOOTH SPACE. NO CANDY OR FOOD MAY BE GIVEN OUT FROM THE BOOTHS. NO GLITTER, CONFETTI, HELIUM BALLOONS, STICKERS, BUBBLES, AND RICE ARE PERMITTED. NO TYPE OF PYROTECHNIC EQUIPMENT OR FOG MACHINES MAY BE USED. NO FLASH PHOTOGRAPHY IN THE GALLERY AREAS. NO SOUND AMPLIFICATION FROM THE BOOTH. NO ADDITIONAL LIGHTING MAY BE USED FROM THE BOOTH WITHOUT ADVANCE PERMISSION.

DAY OF SHOW: Check-in begins at 9:30 AM. Booths need to be fully set up and staffed by 11:45 AM. Check-in will take place at the welcome table in the rotunda area in front of the main entrance of the museum. You will receive your booth assignment and last-minute instructions for the day. We expect the show to close at 4 PM, but if the crowds are heavy and are still there by then, we would hope you would stay a little longer to facilitate them. The museum closes regardless at 5 PM.

FOOD & DRINKS: A private space will be set aside as a Vendor Hospitality room for you to take a break. Please make sure if you do break, that your booth is never left unattended. The theater concession stand will be open during the event if you want to purchase drinks and hot and cold items from them. If you plan to pack lunch/snacks, you can consume them in the hospitality room. Remember, security will not allow you to enter the museum with food bags from outside providers. So please be discreet since they are making an exception to their ‘no outside food and beverage’ rule for our vendors. You may bring in a lunch size cooler but would need to leave it in the hospitality room since no coolers are allowed on the exhibit floor. You may have bottled water at your booth for your personal consumption. We will have some extra bottled water and light snacks available in the hospitality room as well.

COSTUMED CHARACTERS: We have set aside three “character safe” spaces for your special guests to take a break, other than the bathrooms where everyone will see them. There is a nook on the side elevator located at the back right of the exhibit floor, a draped maintenance area to the right of the Infantry Theater and the Vendor Hospitality room in the Lobby.

GRAND PRIZE GIVEAWAYS: Upon entry, each family will be given a “Passport to Summer Fun” which serves as their map of the vendors and a game piece to win different tiered prizes. They will be asked to stop by each booth to get a signature from you which will give them a token. Depending on how many “tokens” they collect, they will be eligible to for our different tiers of grand prizes when they drop the game piece in our bucket on the way out of the museum. This game is designed to bring parents to your booth, so use this opportunity to connect with them when they stop by. Please initial your square on their passport or feel free to get a tiny sticker or marker stamp to “sign” your square. The square is a little smaller than a 1/2 inch squared.
