COD NYC 2019 Participation Information
Please review the following information:

ITINERARY, INCLUSIONS, AND ACCOMMODATIONS
Dates of the trip will be an outbound flight from Palm Springs the evening of Thursday, March 28, 2019 with a return flight to Palm Springs on Tuesday, April 2nd, 2019.

Four nights' hotel accommodations will be at the Park Central Hotel in Manhattan: https://www.parkcentralny.com/

All travel costs including INSTRUMENT airline fees, and ground transportation to and from the airport will be included. Passengers will be responsible to pay their own airline fees for their checked luggage (Approx. $50.00 Round trip)

There will be two "free days" on Friday and Saturday.

On Sunday, we will have a mandatory rehearsal at the hotel site which should take about 2-3 hours out of your day. The rest of the day will be yours.

On concert day (Monday) we will have a sound check on stage at Carnegie Hall in the afternoon (approx. 1-2 hours). That evening we will perform. (Do not plan on any sight-seeing on this day).

At this point, there are no included meals, metro cards, or shows. If more money becomes available between now and the travel date, we will look into a per diem for food, etc. Otherwise, you are on your own for your activities, museums, meals, etc.

ELIGIBILITY FOR PERFORMERS:
PERFORMERS MUST BE ENROLLED IN THE SYMPHONIC BAND CLASS AT COD BOTH SEMESTERS TO ATTEND (OR AUDITING). Special circumstances may be made for the fall semester, but the Spring semester is mandatory.

PERFORMERS MUST ATTEND 11 of the 14 OF THE REHEARSALS IN THE FALL SEMESTER, AND THE PERFORMANCE ON DECEMBER 5TH TO BE ELIGIBLE TO TRAVEL.

IN ADDITION, PERFORMERS MUST ATTEND 8 of the FIRST 9 REHEARSALS IN THE SPRING SEMESTER LEADING UP TO THE TRIP (JAN 30 - MARCH 27), AS WELL AS ONE OF THE TWO PERFORMANCES SCHEDULED (FEBRUARY 23RD AND/OR MARCH 8TH)


COSTS:
To date, College of the Desert has GRACIOUSLY underwritten about 50% of the trip costs for performers. Because funding is coming primarily from the COD Foundation, there are stricter guidelines as to how this money can be spent.
For that reason, "Community Members" (Non-COD students who are auditing) will have a higher cost of travel. High School Students must be enrolled as COD Students, therefore, they are subject to the same travel rates as COD Students.

COD Faculty and Community Members who are also band directors traveling as performers will have MINOR chaperoning duties, and will therefore be asked to pay the same rates as COD Students.

COD Students who are auditing the course due to maximum credits are still subject to the COD Student Rates below.

Any family members/spouses/etc. who wish to travel with the group will be subject to the non-performer costs in the schedule below.

Triple Occupancy: $950.00*
Double Occupancy: $1,200.00*
Single Occupancy: $1,700.00*
* Community Members add $500.00 to the total rates above

Non-Performers (Family/Spouse)
Includes Hotel Accommodation, Travel Arrangements
Triple Occupancy: $1,020.00
Double Occupancy: $1,210.00

ALL Travelers must make payments at the COD Bursar's Office.

(This will likely be after July 1st, 2018, due to the end of the fiscal year)


REQUIRED PAPERWORK
ALL Travelers must complete the following paperwork:
1. TRIP CONTRACT: Bursar's Office
2. WAIVER, RELEASE AND INDEMNITY AGREEMENT
3. VOLUNTARY EXCURSION/FIELD TRIP WAVER NOTICE OF MEDICAL AUTHORIZATION
4. FIELD TRIP/EXCURSION NOTICE
* If you are a minor (under 18 years old) a parent/guardian must fill these forms out, and sign.
* These forms will be available on download on codband.net soon


REFUNDS/CANCELLATION
All payments are due in full to the Bursar’s Office by December 1, 2018.
Cancellation refunds are available in full until October 1, 2018 through the Bursar’s Office.
After October 1 2018, $800.00 will be non-refundable through the Bursar’s Office.
After December 1 2018, all money deposited to the Bursar’s Office is non-refundable.
