Payment Information

A non-refundable $200 program deposit is required with your application.
Program price is the price listed on the Arcos Journeys Abroad website the day you apply.
Final payment is due by the Payment Deadline as shown in your invoice.
Program payments can be made by credit card (with client paying the card fees), ACH, or personal check. A $10 fee will be assessed for all returned payments.
If final payment has not been received by the Payment Deadline, a $150 late fee will be assessed. If the payment is not received within 5 days of the Payment Deadline, you will be removed from the program. If final payment has not been received by the final deadline, and there is a Waitlist, you will lose your spot.

Withdrawal & Refund Policy

If not accepted, the $200 program deposit is refundable.
For all withdrawal or refund requests Arcos Journeys Abroad (AJA) must receive a request in writing via email (info@arcosabroad.com).
For any withdrawal request made 45 days or less before the program start date there is no refund.
Once the program begins there are no refunds. If a participant decides to withdraw prior to the end of the program, the participant is responsible for all fees and/or changes associated with their return home.
There is no refund issued if a participant is expelled from the program due to a violation of AJA's Conduct & Behavior Standards.

Program Cancellation Policy

Arcos Journeys Abroad reserves the right to cancel any of our programs as deemed necessary by the program administration prior to the program start date. This may arise from insufficient participation or for other reasons. Arcos Journeys Abroad will provide participants and their families with as much advance notice as possible of such a decision. Upon cancellation, accepted applicants are presented with the following choices: (i) change to a different program offered during a similar time period; (ii) defer your application to a future program that is offered within one year of the original program; (iii) request a refund (the amount of any potential refund will be calculated at the time of cancellation).
If a program must be cancelled for any reason once participants are in the host country, Arcos Journeys Abroad will not be responsible for any type of refund and bears no liability for any loss or claims resulting from program cancellation. Arcos Journeys Abroad will assist our participants to the best of its capacity in making arrangements to return to their home country. Any expenses that participants may incur are their sole responsibility.

Program Change

Changing a program to a different location or session after official program acceptance is permitted until the program Payment Deadline. Your program invoice will be updated accordingly.

Late Applications

Consideration may be given for applications submitted after the Payment Deadline. If Arcos Journeys Abroad is able to accept a late application, and if it is 45 days or less before the program start date, you must pay in full for your application to be processed. Depending on the circumstances, other conditions may apply.

Emergency Contact(s)

Arcos Journeys Abroad will send communications and program materials to parents/guardians or other persons at their provided email address and will contact the person(s) the participant designates in their Medical Background form in the case of an emergency.

Conduct & Behavior Standards

Zero Tolerance Policy: It is forbidden to consume or possess drugs, alcohol, or tobacco products.
Independent Travel Policy: The participants are not allowed to travel on their own outside the city limits unless accompanied by their director.
Any breach of these policies will result in immediate expulsion from the program and Arcos Journeys Abroad will no longer be responsible for the participant (except for assisting with their return home). There is no warning policy and it is the program director's sole prerogative to determine the breach. Arcos Journeys Abroad will inform the parents or legal guardians immediately and coordinate the anticipated participant's return home. All costs (new flights, temporary housing, etc.) will be paid for by the participant.
Respect and Non-Discrimination Policy: All participants are to treat each other with mutual respect and courtesy. Any behaviors deemed unacceptable and that put others under any risk or violate their privacy will not be tolerated and will result in dismissal from the program after first warning if unamended.
Insurance: International medical insurance is included in the program price for the official in-country dates of the program.
Curfew Policy: These are the times that participants must be in their residence during the program: Argentina: from 11:00 PM at night until 6:00 AM in the morning. Costa Rica: from 9:00 PM at night until 6:00 AM in the morning. Mexico: from 10:00 PM at night until 6:00 AM in the morning. Peru: Sun - Thu: from 10:00 PM at night until 6:00 AM in the morning, Fri - Sat: from 12:00 AM at night until 6:00 AM in the morning. Spain: Sun - Thu: from 11:00 PM at night until 6:00 AM in the morning, Fri - Sat: from 12:00 AM at night until 6:00 AM in the morning.
