Room Reservation Guidelines
The Mountainlair offers sixteen meeting rooms, including (for limited special events) the Ballrooms. Partner organizations generally may reserve one room at a time, but if additional space is needed on the reserved day, the organization may reserve more space if available. Please request your room at least 2 weeks in advance, and much sooner for a large space. Please keep in mind that space is in higher demand during certain seasons and while we will make every effort to accommodate our partners, we are subject to space availability.

Food and Beverage
All food or beverages served in the Mountainlair must be provided through the WVU Culinary Creations catering office https://diningservices.wvu.edu/catering (304) 293-5105. Food and beverages purchased from food court vendors are permitted; however, outside or self-catering is not permitted.
The Mountainlair will permit fundraising subject to several regulations. All products to be sold in the building must be approved in advance. No items or products already sold in the Mountainlair may be sold as a fundraiser. Items bearing West Virginia University trademarks may not be sold. Bake Sales are prohibited. Please contact the Mountainlair Reservation Office (MRO) (304) 293-3520 for a complete explanation of applicable regulations.
After you complete this form you will receive a confirmation email in approximately one week with more information, including:
--A copy of these guidelines and contact information.
--Confirmation of your reservation, the name of your confirmed room and equipment reserved.

Most items are provided without additional cost, but there is a nominal fee for certain equipment and for technical support staff. These costs will be quoted in your reservation that will be provided for your final approval.
The Mountainlair does not assume responsibility for damage to or loss of any materials or equipment left in the building on display or in storage.
If you reserve a room, and find you no longer need the space, please let us know immediately so the room may be made available to other organizations. To cancel or change an existing reservation, please email Catherine Whitworth email@example.com.
