I, the undersigned, acknowledge and agree to volunteer my services as a photographer for Special Olympics Montana (SOMT). I understand and agree with the following terms:
I acknowledge that I may use my personal photography equipment while volunteering. I understand and agree that Special Olympics Montana does not provide insurance coverage for personal equipment, including but not limited to cameras, lenses, lighting, memory cards, and related gear.
I accept full responsibility for the care, security, and maintenance of my own equipment. I release and hold harmless Special Olympics Montana, its staff, volunteers, and affiliates from any liability for loss, theft, or damage to my equipment during any SOMT-related activities or events.
I also understand and agree that SOMT is not responsible for any physical injury I may sustain while volunteering at SOMT events, and I participate at my own risk.

I agree to provide images taken during my volunteer service to Special Olympics Montana in digital format, free of watermarks or branding.
However, I may include my photography business name in small, unobtrusive print on the bottom of each photograph, as long as it does not interfere in any way with SOMT’s use of the image for marketing, communications, or other official purposes.
I agree to edit and curate my submission before sending, including removing near-identical or redundant images. (It is not necessary to high-touch edit photos unless you want to – removing duplicates is the only ask). I will submit final images via a Google Drive or Dropbox folder provided by SOMT. If I have problems using SOMT submission options, I will reach out to hnetz@somt.org for alternative options.
I understand that if I submit an excessive number of unedited images, SOMT staff may not have the time to review or use them effectively.

Promotion & Photo Crediting
SOMT will promote photographers who offer professional services via the following methods. We can only do so if you give us the needed information.
All photographers will be listed on the SOMT website. The “photo” page on our website has a landing page before the viewer selects an event. Photographers will be listed with the corresponding event. We will include any applicable links to social media or websites that you provide. If we are unable to support the use of a link, you will be notified via email.
Photographers will be tagged during our first social media posts promoting visits to our photo galleries. (We are unable to tag every photo used; mistakes happen. Please show grace as we commit to this process.)
When photographs are used in printed or marketing material that allows room for credit, SOMT will provide photographer credit. There are two ways you can help with this, as it can become a logistical nightmare.
When you name your photos during editing, including an acronym or other identifying piece as part of the image number helps us identify images to be credited. Example: netzphoto_1234.jpg
If you include your name/company on the bottom edge of the photo that helps. It may not make the crop when we use it, but it will trigger us to remember to credit you. (Example image at end of form)

I also acknowledge and agree that:
All submitted images become the property of Special Olympics Montana and may be used, reproduced, and distributed for promotional, marketing, communications, social media, and other organizational purposes, in perpetuity and without compensation.
I may not sell or distribute images taken at SOMT events to athletes, their families, or any third party.
Special Olympics Montana will make all images available to athletes and families at no charge via the SOMT photography portal.
I acknowledge that SOMT will make every effort to promote my professional services and credit any photos used for digital or print marketing materials, but understand that human resources are limited and there may be times when credit is not given. That does not mean that SOMT doesn’t GREATLY APPRECIATE the donation of my time and talent to capture the joy of the Special Olympics Mission.
